Description for Trust MIS Officer



Responsible to: Trust MIS Manager

Based at: New College Pontefract

Paid on: Band G of the NCLT Support Staff Payscale
Full time, 40 weeks (it is expected that at least 3 of these weeks will be worked
during the July/August holiday period)

Post holders are entitled to join the West Yorkshire Pension Fund
Typically 37 hours per week with the flexibility to adjust to suit the needs of the trust.


New Collaborative Learning Trust (NCLT) is inviting applications for an MIS Officer to join the Trust MIS Team.
We are seeking an individual that is well organised, logical, and confident with both IT and number and who
ideally has experience and success of working in a similar role. This role will be to work closely with, and
support the work of, the MIS Manager.


OVERALL PURPOSE OF THE POST

• Support the development, coordination and management of MIS systems and processes for data
reporting and data management.
• To deputise for the MIS Manager and provide support, guidance and training within the MIS Team.
• To assist in managing the technical functionality of reporting systems.


MAIN DUTIES

• Assist and support the co-ordination and delivery of the work of the MIS Team.
• Develop, implement and maintain appropriate systems and procedures for the collection, maintenance,
integrity and currency of data.
• Support the MIS and Cedar (web-based database) Co-ordinator with new data systems and reports
within the MIS Team, in collaboration with the MIS Manager and Senior Management.
• Support the MIS Manager with the system administration of Unit–e (student records database) to
include documentation of system enhancements and the application of upgrades.
• Support the MIS Manager with the co-ordination and production of external returns/reports/data such
as the ILR, Ofsted, etc, working with other managers, as appropriate.
• Support the MIS Manager in the management of resources, including the production of the college
timetables where appropriate.
• Support the MIS Manager by ensuring that college and trust data, such as student records and
enrolments, is accurate, for example by completing course and enrolment changes when appropriate.
• Support the MIS Manager by liaising with other trust/college teams, departments, working parties and
individuals to ascertain their requirements regarding data storage, access, reporting facilities and
training needs.

• Process student changes of course and withdrawals, including entering withdrawal information on to the
Prospects system. Liaising with staff, managers and Student Services regarding the completion of
relevant paperwork.
• Assist with the development of the timetabling and on the production of taster day timetables and
taster day website.
• Support the MIS Manager in the identifying and developing skills and knowledge required across the MIS
Team in order to reflect developments in systems and software, reforms of funding and reporting
methodologies, evolving needs and the dynamic educational context.
• Support the development of quality assurance mechanisms within the MIS Team and support the MIS
Manager in developing and maintaining systems and procedures to ensure the integrity of ILR data to
satisfy the Audit Committee and external auditors.
• Assist with all aspects of data, functionality and configuration of student systems, in conjunction with
relevant members of Senior Management and through liaison with external developers.
• Liaise with software supplier(s) and other external agencies as required.
• Develop effective working relationships with partner colleges to best support the sharing of knowledge
regarding MIS systems and reports.
• Support procedures for backup and recovery of MIS data held on the administrative network.
• Ensure procedures prescribed by the Data Protection Act, General Data Protection Regulation, Freedom
of Information Act and other relevant Acts, are observed.
• Undertake other duties, as requested.
• You may be required to work up to 2 evenings per academic year to support trust events.
