The goal of this plan is to respond to an emergency or unforeseen situation which include:
The safety of all students delegates during their attendance to the said activity.
The physical and emotional well-being of staff, students, and guests.
The timely stabilization of an emergency situation.
Emergency Communications
During an emergency, will use the following means and methods of communication.
Possible means and methods:
Landline Telephones: (Office)
Cell Phones (possible outages during emergency)
Texting (more reliable during an emergency)
Email
NOTE:
Take time to develop specific communications procedures and mechanisms defining who will be
responsible for communications and what information will be communicated. Provide copies of
directories of delegates who will attend the seminar including faculty advisers who will accompany
the said students.
1. Provide and state details as to specific faculty chaperon in charge for specific section
2. Create Buddy System
3. Remind students to charge cellphones and other gadgets necessary for communication
4. Provide Directory of Contact Number of Person in Case of Emergency.

SUPPLY, KITS and other Documents Needed (Supply the necessary information)
1. State the available first aid kits to include medicine for stomachaches headaches, motion sickness
and allergies and how to avail them. Provide details as to protocol when experiencing medical
problems.
2. Provide details as to the necessary hygiene kit, emergency food and transportation expenses and
other supply depending on the nature of activity.
E.G
Water and high energy/calorie food
Maps and compass or GPS
Gloves, sturdy shoes and warm socks
Flashlight, light sticks, extra batteries
Blankets/space blankets for warmth, hand warmers
Rain gear and extra clothing
Battery powered radio and extra batteries, charger for cell phone
Tools, spare fuses, lighter
Other safety gears if applicable)
3. Specify necessary documents needed to bring such as Identification Card , Acknowledgement and
Official Receipt, Pre-registration Forms, and Name
