BANK RECONCILIATION PROCESS

Bank Reconciliation Statement in SAP (ZBRS) should be done for all the bank
units in APSPDCL from April 2018.

This document explains the procedure to do the ZBRS in SAP.

Understanding Bank G/L’s

2XXXXX0  “0” G/L or Main Bank G/L


2XXXXX1  “1” G/L or Remittance or Incoming Bank G/L(Receipt Account)
2XXXXX2  “2” G/L or Outgoing G/L (Drawing Account)
2XXXXX3  “3” G/L or Incoming G/L (Drawing Account)
2XXXXX4  “4” G/L or Fundsout G/L (Receipt Account)
2XXXXX5  “5” G/L or Unidentified G/L

With this document we are preparing ZBRS for the month of APR/2018 by taking the closing
balances of MAR/2018 as opening balances for APR/2018.

Initial checks to be done before starting the ZBRS in SAP.


1. Check the “0” G/L balance for MAR/18 of the respective bank in FAGLB03, this balance should be
tallied with respective month scroll balance as on last day of the month i.e 31.03.2018.
2. Check the “0” to “5” G/L balance for MAR/18 of the respective bank in FAGLB03, this balance
should be equal to CB(Scroll balance)+Company Excess - Bank Excess.

Settings in FF67 T.code.


Go to the Settings -> Specifications from menu and put the details as
shown in the following screen. This is user level one time activity.
Prerequisites
Before going to do the BRS process we have to check the followings

T Code: FAGLL03- G/L Account Line Items (New)- STATEMENT OF GL LINE ITEMWISE
BALANCES
1) Remittance into Bank:
Check the Remittance amount in Incoming G/L (24xxxx1) or given period

2) Dishonor of Cheques:
Check all the Cheques dishonored as Bank Statement posted for given period or not

3) Transfer to Head Quarter:


Check the Transfer to Head Office amount in G/L (24xxxx4) or given period

4) Payments:
Check all Payments are made are not in Bank G/L (24xxxx2) for given period

5) LOC Receipt

Check LOC Receipt items with bank Statements in G/L (24xxxx3) for given period

Check if any Confirmation pending for the given period

BRS PROCESS
House Bank and Account id can be found using “fs03” t-code using Bank GL

Also search in Account id field using Bank Account Number in “ZBRS” t-code.
T.CODE: ZBRS

House Bank: It is the code representing Bank Branch.

Account ID: It is the code representing Bank Account Number at your House Bank.

Note : To find your House Bank and Account ID use F4 key by keeping the cursor in the Account ID field by leaving
other fields blank, From the list search your bank account to get respective House Bank and Account ID.

Statement Date: It is the date up to which you want to do the Bank Reconciliation. (Bank scroll ending date)

Beginning balance: Opening Balance of Bank Account.( bank scroll opening balance)

Ending balance: Bank Account closing balance as on posting Date.

Posting Date: It is the date up to which you want to do the Bank Reconciliation.

After entered the above details hit the ‘Execute’ button at top right, (or F8), it goes to following screen.
Opening Balance is the Bank Scroll Opening Balance and Closing Balance is the Scroll Closing Balance.

Assignment is Cheque Number for cheque remittances or cheque issued.

Date is remitted into Bank or cheque issue Date.

Select each Check Box against the Document. No. based on the Assignment, if that Amount is available
in Bank Statement otherwise leave it as it is.

Once all items in bank statement are selected in screen, hit to check the BRS is tallied or not.
IF not tallied, find the items in Bank statement which are not in the cash book(Bank Excess) and the items in
cash book but not present in bank statement(Company Excess) , these items are to be entered as wrong
credit(Bank Excess) or Debits(Company Excess) as in the below step.

Hit it displays the following screeen.


Choose the F4 help for Transactions as displayed below.

Select the AP10 for ‘Wrong credit(Bank Excess),

Select the AP12 for ‘Wrong debit’(Board Excess or Company Excess) in bank stataement.

Fill the following fields

Amount : Amount as per Bank Statement

Bank Reference : Reference as per Bank Scroll for that Bank Excess/Company Excess.
Then hit . Again hit . If ’Balance’ and ‘Actual Balance’ are equal BRS is tallied status
(Can be Posted) as shown in the following screen.

If not tallied, recheck each line in bank statement and the above screen, find the mistake and correct it.

Hit button when ‘Balance’ and ‘Acatual Balance’ are equal. System will display the following screen.

FEBAN: Post Process Bank Statement

Go to the transaction code: FEBAN to post the error bank transactions if any.
Hit button to view the Bank Statement’s line items.

Post line items indivdiually (Unposted line item) where line item status is , If there are any unposted
transactions in FEBAN it is not possible to process the next BRS.

After clearing all the items FEBAN screen will be left only with scroll balance of that respective month.
ZBRS post checks.

1. “0” GL balance of respective bank GL in FAGLB03 should show scroll balance of respective month.

2. Debit & Credit balances of 1,2,3,4 GL’s should be equal for all the months for which ZBRS completed.
Generate the Bank Reconciliation Statement using Tcode ZBRSREPORT.

T.code: ZBRSREPORT

After clicking on “print preview” above ZBRSREPORT will display on screen.

Enter “PDF!” will give you the ZBRS Report output file in PDF form which can be saved for reporting and for
future reference purposes.
Note: we can generate ZBRS Report using ZBRSREPORT t-code as and when required.
