1.0 PURPOSE:
To establish and maintain a plan to identify the potential emergency situations, incidents
and accidents for respond to them and for preventing and mitigating the likely illness,
injury and impact (s) on environment that may associate with them.
2.0 SCOPE:
Applicable to manufacturing operations and associated site activities of Ashapura’s
Group Of Companies
3.0 RESPONSIBILITY:
All Key Personnel are responsible for implementation of this plan.
4.0 AUTHORITY:
IMS Representative is authorized to revise this plan and Unit Head will approve the same.
5.0 PROCEDURE:
5.1 INTRODUCTION
An Emergency is a situation, which may lead to or cause a large scale damage or
destruction to life, property or environment within or outside the organization.
All Service Activity at Ashapura’s Group Of Companies, Site have a minimal impact on
health, safety and external environment. In spite of various preventive and precautionary
measures taken in the organization, the possibility of mishap cannot be totally ruled out.
Hence, it is needed to prepare Emergency Preparedness and Response Plan (EPRP) for
dealing with incidents to minimize hazards to human health, safety, external environment
as well as preventing loss to the company property and immediate neighborhood.
The EPRP explains code of conduct for all personnel in the plant along with the actions to
be carried out in the event of an Emergency. This plan gives the guidelines for
employees, contractors, transporters etc. It not only defines responsibilities but also
informs about the prompt rescue operations, evacuations, rehabilitation, co-ordination
and communication.
At the time of preparing of EPRP emphasis is given to demarcate clear responsibility of
individual concern to avoid any confusion during actual emergency situation and to
accelerate the tackling of crisis.

Nature of Emergency
The emergency specified in the EPRP refers to occurrence of one or more of the following
events:
a) Fire due to chemicals / due to electrical short circuit
➢ Mitigation Action:
1) Close supply of chemical at fire affected area / machine / location
2) Switch off electricity supply and do barricading of fire affected area / machine /
location
3) Remove additional workmen / visitor from fire affected area / machine / location
4) Use portable fire extinguishers to extinguish the fire
5) Inform main security gate / HR department about the fire incident
6) In case of major fire, blow emergency siren to inform all about the emergency
7) If required, call fire brigade / ambulance for additional help
➢ Mitigation Action:
1) Inform to HOD / Security / Safety Officer.
2) Blow emergency siren to inform all about the emergency
3) In case of electric shock, provide isolation to the person who got a shock
4) In case of collapse of building barricade affected area and rescue trapped person from
there
5) Attend injured person and give him necessary first aid treatment
6) Shift injured person to nearby hospital with the help of Ambulance for further
treatment
c) Natural calamities like sever storm, flood, earthquake, acid rain etc.
➢ Mitigation Action:
1) Blow emergency siren to inform all about the emergency
2) All personnel has to stop them work, switch off them machine and rush to Assembly
Point from nearby Exit

3) If required, shift all personnel to safe location as per the instructions receive from
office of District Collector
5.4 Medical Facilities
➢ Car / Scooter facilities are available round the clock in the campus.
➢ First Aid box is available at various locations inside the campus.
➢ Checking of first aid box should be conducted on Monthly basis.
A person who first notice the incident will inform to HOD, Security & Safety Officer

Incident Controller
On hearing of alarm, he rushes to the site and takes overall charge and reports to site
controller. He assesses the magnitude of emergency and informs the communication
coordinator accordingly. His Responsibilities further includes:
1) Direct all operations within the affected areas considering the safety of personnel,
minimizing damage to the plant, property and environment.
2) In case of delayed arrival of site controller, assume the duties of his post and in
particular direct the shutting down and evacuation of plant and areas likely to be
adversely affected. Ensure that all-key personnel and requisite outside help is
called in.
3) Provide advice and information to the safety & Security Personnel and the fire
brigade as required.
4) Reports to communication coordinator on all significant developments.
5) Ensure that all non-essential workers/staffs of the areas affected are evacuated.
6) Preserve evidence to facilitate any enquiry.

Communication Coordinator
He proceeds to control room on hearing emergency and maintain communication with
incident controller. He will work under direction of site controller. He attends to police,
press & other enquiries. He is also responsible to,
1) Pass information to the site controller / incident controller accordingly.
2) Engage HOD to act as messenger between Incident Controller and himself if
telephones fail due to any reason.
3) Inform out side agency for mutual aid if:
• Fire brigade’s help is sought;
• Emergency medical help is required;
• Public notification to be issued
4) Arrange for roll call at Assembly point
5) Ensure that casualties receive adequate attention, help and inform relatives, if
necessary.
6) Control traffic movement in the factory
7) Arrange for refreshment and catering facilities, as required when the emergency
prolongs for a longer duration.
Engineering Coordinator
He arranges for substitute power supply in case of emergency and arranges for shutting
down plant if required.
SAFETY OFFICER
1) Proceed to the scene; establish contact with firemen and incident controller to
supplement efforts in fire fighting.
2) Assist in searching casualties and help to remove them to hospital after providing first
aid treatment.
3) Organize outside assistance in fire fighting and rescue operations if required.
4) Mobilize personal protective equipment and safety appliances and assist personnel
handling emergency in using them.
5) Keep and check on any new development of unsafe situation and report the same to
Site Controller.
6) Collect and preserve evidence to facilitate future inquiries.

Security In-charge
1) Control Traffic Movement.
2) Remove truck and other external vehicle at outside the premises.
3) Prohibited entry of unauthorized public inside the organization.
4) Provide help in first aid treatment to injured employees.
5) Arrange for vehicles for shifting casualties and essential workers to safe assembly
points.
The Key Personnel meet to evaluate their individual level of response & involvement
of emergency situation after the incident. The review shall determine:
1) Effectiveness of emergency response plan.
2) Performance of Plant crew.
3) Any need for updating or revision of the emergency response plan.
4) Suitable arrangement to restart f the plant.
5) Evaluation and control of effluent arising out of mitigating measures like foam
discharge & overflow of oil in water, etc.
6) Rehabilitate evacuated area.
7) Adopt measures to prevent similar recurrence.
