There will be a scheduled roster of arrival time slots for each exhibitor. Please ensure your arrival coincides with
your allocated timeslot or you run the risk of your space not being completed. Timeslots will be communicated
via the Portal. Bump In will commence from 1pm on Thursday 20th June.You will NOT be given access prior to
your allocated timeslot.

ACCESSING THE LOADING DOCK


All vehicles requiring access to any of the Sydney Showground loading docks are required to display their vehicle
Dashboard Sign. NO entry is permitted into a loading dock without this sign completed with the following
details:
• Stand Name
• Stand No.
• Contact/Driver Name
• Mb No

Alley Exhibitors requiring the use of the Southee Pavilion loading dock will need
to scan their passes and have wristbands before accessing the loading dock

Cars arriving without a dashboard sign will cause delays while trying to gain access as these details will then
need to be recorded by security at the gate manually which is time consuming. The flow on effect to traffic and
other exhbitors can be considerable.

Please ensure your dashboard sign is complete upon arrival to the venue. You can download the sign template
via the exhibitor portal.

EXHIBITOR ACCESS & WRISTBANDS


Exhibitor Passes will sent to the primary email address supplied in your booking

As of November 2018, exhibitor passes will NOT be issued and collected from the exhibitor check-in desk.
Allocated exhibitor passes for each booking are now emailed directly to the email address used to make the
booking as an electronic ticket or E-Ticket, these will be sent approx. one week prior to an event. Exhibitor
e-tickets can be distributed to your staff for individual arrival. The number of e-tickets sent will be determined
by your booking inclusions and or additional passes purchased.

Upon arrival, exhibitor e-tickets will be scanned by ticketing staff at either:


• Loading Dock Entry
• Nominated Exhibitor Entry Door

Once scanned, ticketing staff will issue an exhibitor wristband which must be worn throughout the duration
of the event as per usual. An exhibitor wristband grants access to the event throughout the weekend. ALL
exhibitors MUST be scanned prior to entry. Wristbands will not be issued unless the e-ticket is scanned.

Each e-ticket is individually numbered and can only be scanned once. It is the responsibility of the exhibitor
to distribute passes to staff prior to arrival either via email or as a printed ticket. If arriving as a group, all
e-tickets must be individually scanned. Tickets can be scanned either from a device or printed copy.

THERE WILL NO LONGER BE AN EXHIBITOR CHECK-IN DESK TO COLLECT PASSES

STRICTLY NO WRISTBAND, NO ENTRY - NO EXCEPTIONS

EXHIBITOR PARKING
SYDNEY Designated Exhibitor Parking Areas P1, P5 & P6
30 Mins max. is allowed in the loading zone, this is free of charge. After the 30 min. grace period, parking
for exhibitors can be located at any of the surrounding car parks. P1, P5 and P6 car parks are the closest
to the Dome. A discounted rate of $10 per day (single entry) or $13.50 (unlimited entry & exit per day)
is available. You MUST complete the Car Park Account Form found in the Venue Services Document Pack
on your PORTAL Dashboard a min. 14 Days prior to the event. Regular cost of parking is $25per day.
Automated parking machines accept coins and credit cards. ANY vehicle entering the loading dock
must display a completed DASHBOARD sign. No sign, no entry. You can download this via the portal also.
PERTH Carpark is located directly beneath the PCEC
PCEC Carpark Details:
10 hour maximum (Monday - Friday) $23.30*
24 hour maximum (Monday – Sunday) $32.30*
Hourly Rate (Monday – Sunday) $5
A vehicle checkpoint is located at the entry of the one-way access ramp. A truck holding area is
located off Mounts Bay Road, below the Mitchell Freeway and may be used during major bump in / bump out.

FREIGHT
DELIVERIES
No deliveries will be accepted at the expo venue prior to the first day of venue occupancy. Neither Supanova
nor the venue will take delivery of any goods on behalf of an exhibitor, unless prior arrangements have been
made - which no liability is accepted by doing so. It is very important that all items are clearly marked with your
company name and stand number. It is advised that all stock and exhibits are insured from the day of dispatch
through to delivery of their usual address. Items for delivery should use the Delivery Labels found in your
PORTAL Dashboard.

COLLECTIONS
For goods arranged for collection after the event closes, it is advised not to leave them unattended on your stand
at any time before they are collected. Supanova cannot and will not be held responsible for any items that may
appear to be missing when a courier arrives. Supanova cannot accept responsibility for damage or loss to any
stands or goods in transit to and from the show.

If you foresee any problems with arranging collection by midnight Sunday, freight and logistics will be managed
on the Monday after an event with 24 hour security onsite.

POST EVENT FREIGHT PICK UP


Sydney & Perth Courier & Logistics Access from 0800 to 1300 Monday

Supanova staff will be onsite to manage and supervise. All pallets and large freight can be collected from the
venue from this time. Please ensure to advise your transport companies that ALL items must be removed from
the venue by 1pm or risk being unsecured until pick up can be arranged. Additional charges may be incurred
for forklift use after 1pm.

LABELS - POST EVENT


All freight to be picked up must be labelled correctly. Please use the POST EVENT FREIGHT label which
is now available via the Exhibitor Portal to use on each and every item being collected or alternatively please
ensure the following information is clear and present on your freight;

• Freight company name


• Your company name
• Contact person
• Contact details
• Destination address
• Number of boxes / items being picked up

SUPA-LOGISTICS
SUPANOVA MANAGED FREIGHT
Supanova now offers a full freight service including pick-up form your business address, delivery to the event
and back. This also includes freight between Sydney and Perth then back to your designated final address for
those exhibitors trading at both events.

• Freight will be delivered to the venue direct and unloaded upon bump in
• All freight travelling between events from SYD-PER must be on pallets - rates are determined on a “per
pallet” space
• Pallets larger than standard or oversized items will be charged as two pallet spaces - NO EXCEPTIONS
• Standard pallet weight should not exceed 250kg

Full details and rates are available via the exhibitor portal.

Full payment for all freight must be made prior to collection. Invoives will be raised for pickups
travelling to Supanova. EFTPOS and cash facitlies are availabe at bump out Sunday for all other
freight services

EVENT ONSITE STORAGE


Supanova organisers will allocate a dedicated and secure onsite storage area for the exclusive use of exhibitors
and contractors. You are free to move stock, pallets, packaging etc in and out of this space. Please ensure
appropriate equipment is used for movement of larger and heavy items such as pallet jacks, trolleys as well as
the use of forklifts where required. Care must be taken when moving goods across the expo floor.

During event operating times with the public present STRICTLY NO EQUIPMENT can be used to
move items from the storage area to your booth. If you require heavy or bulky items moved please
see the Floor Manager prior to moving your goods.

This space is limited and if your storage requirements are excessive, alternate arrangements should be made
for pick up of excess stock and packaging prior to the event commencing.

The storage area location will be labelled on the floorplan.

GENERAL BUMP IN GUIDELINES


SAFETY VESTS
It is mandatory for all personnel during bump in and bump out periods to wear approved
safety vests at all times. Everyone MUST wear a safety vest and will not be allowed entry to
the hall or the loading dock unless worn.
Limited quantities of safety vests are available for purchase at the exhibitor registration
point for $12 each. There is no guarantee that one can be obtained onsite therefore it is
strongly advised that these are procured prior to bump in. All contractors that are onsite
building stands are required to provide all staff and sub-contractors with a hi-viz safety vest.
These can be ordered through the Portal as part of your booking.

Please note: Any persons that do not have a safety vest and closed
shoes when entering the loading dock and hall WILL be turned away
by security and venue staff.

• Supanova reserves the right of final approval of every display, and the ability to take any course of action it
deems necessary to rectify a situation that may impact upon the expo negatively, including expulsion of any
Exhibitor from the Supanova Expo, who does not comply with the stated requests. No compensation for loss
of monies will be accepted for failing to obey instructions resulting in expulsion from Supanova.
• Displays must stay within the confines of the space allocated. Racks, cabinets, glass displays, personal card
tables etc, must be wholly inside your specified area.
• It is reccommended that all tables have table covers, recommended to be the approximate length to reach
the floor in front of your booth. Table covers are NOT provided; they can be ordered through ExpoNet or
ExpoHire or exhibitors may provide these themselves. Supanova recommends plastic drop sheets or extra
table covers to cover stock overnight.
• Children under 16 years of age will NOT be granted permission to enter the hall from bump in or bump out
time periods inclusive of show open days. Security Officers have instructions not to allow children under 16
years of age on site during these times.
• The official closing time of each Supanova Comic Con & Gaming event is 1800 (6pm) on the Sunday.
Strictly NO dismantling of displays is permitted until the site is cleared of visitors and Supanova makes the
appropriate announcement. This is to ensure the safety of the general public still occupying the space.
• All exhibitors must have all products removed from the venue by midnight Sunday.
• Covered shoes must be worn during bump in or bump out. Heels, flats, thongs or sandals are NOT acceptable
footwear during these times.
• Do NOT use tables, chairs or boxes to stand on when erecting or reaching items at height. Only approved
ladders, steps or lifters (with licences for operators required) may be used.
• You are permitted to leave rubbish items such as cardboard boxes and general waste, providing it is contained
within a garbage bag or box in the aisles at the end of bump in or an event day. Venue cleaning services will
remove this. Please comply with any venue or event authority that requests you move rubbish where it
obstructs other exhibitors or safe passage of persons or vehicles.
• Cardboard boxes must be broken down prior to disposal.

ONSITE VEHICLES - WHERE APPLICABLE


If you have a vehicle or trailer to bring in you must provide a spotter to separate pedestrians from a vehicles’
path and ensure safe passage for the vehicle.
• A strict walking pace only speed limit (5km/h) to all vehicles on site will be enforced.
• Vehicles are to have their hazard lights flashing when moving within a shared use area.
• Riding unrestrained on the back of utilities, running boards, up on forklifts and moving of forklifts while
persons are on the tynes (whether in cage or not) is not permitted.
• Vehicles must be turned off and park brake applied when stationary.
• Scuffs, leaks or spills from a vehicle must be cleaned up immediately or cleaning costs will be passed to the
exhibitor.The use of drip trays (eg: cardboard or other absorbent material) are mandatory and must be used.
• All drivers must follow the instructions and directions of the Venue, Show Organiser, Security or Workplace
Health & Safety Officer at all times. Any of these may refuse vehicle entry due to building occupancy, time
restrictions, public access, vehicle size or condition, or any other reasonable cause.
• Any damage resulting from a vehicle, whether to the building, booth structures, or goods, will be the
responsibility of the driver and associated exhibitor.

RIGGING & SIGNAGE


DELIVERY & FEES
All items intended to be rigged & hung must be done prior to bump in.
Fees will be invoiced directly by Supanova prior to the event. Signage and materials must be delivered onsite
on the specified days below or risk not being rigged. Fees and charges will still apply for items not arriving on
site at the correct times. Please refer to the delivery details below;

VENUE SERVICES
COMMUNICATIONS
Please complete the necessary forms found on the Portal for the required location. The venue will provide any
communication requirements such as:
• Phone lines
• Wi-Fi
• ISDN

All prices for these services are listed on the appropriate form located in your PORTAL Dashboard.

The venue may have free public Wi-Fi available, however it is recommended that if you require a secure or high
speed connection that you apply for a service connection.

NOTE: Due to high celluar traffic during events, Wi-Fi enabled EFTPOS systems may be unreliable. It is
recommended you plan for backup payment options, or provide back-up wifi services for your personal use.

RIGGING, STAGING & BANNERS


Supanova does not provide rigging services, however some venues may be able to arrange for rigging for you.
Please check your city’s Service Packs in the PORTAL Dashboard for booking forms. No unauthorized personnel
are permitted to conduct rigging, work from heights or the building of structures above 2.4 metres without the
approval of the Expo Organiser or Venue Coordinator and must be presented with all relevant licenses, work
method statements and insurance certificates before beginning any work.

A structural engineer must approve all rigging and structures completed by third parties before the show opens.
A copy of this approval is to be supplied to the Supanova Event Manager.

CLEANING
Exhibitors are to maintain the stand in a clean condition at all times. Place all rubbish in the aisles at the end of
each day after the exhibition has closed for removal by venue staff. For security reasons rubbish left on the stand
will not be removed. Please ensure no item is affixed to the venue doors, glass, floors etc. Any infractions will
create a removal, cleaning and/or resurfacing cost charged to the exhibitor. Boxes must be broken down or they
will not be collected by the cleaners.

Any waste building materials left onsite after 2400 (midnight) on Sunday of the expo, that is not appropriately
packaged for collection, will be deemed as rubbish, removed and thrown away. Any costs incurred as a result will
be forwarded to the Exhibitor concerned.

Exhibitors requiring individual stand cleaning should complete the applicable section of the Exhibitor Services
Form.

Other services such as catering accounts can be booked directly with the appropriate venue management office.

STAND TYPES
Supanova offers three primary options for exhibiting at an event. A Shell Scheme Booth, The Alley or Space
Only for a custom stand of your design.

Exhibitor booths are be booked in block sizes of 3 x 3m only. Sizes range from 3 x 3m, 3 x 6m, 3 x 9m, 6 x 6m,
6 x 9m, 12 x 6m up to 18 x 18m depending on your budget. The Alley Table spaces are booked in block sizes of
2 x 2m only.

Inclusions for booked spaces increase as per the quantity of each “block space” that is booked.

Exhibitors arranging their own custom built stand must forward a copy of their stand designs featuring all
aspects of the display to Supanova for approval by the Event Manager of Supanova Comic Con & Gaming.
Exhibitors are permitted to employ the contractor of their choice, provided that the contractor has been
approved by Supanova. We reserve the right to exclude any design and construction that does not adhere to
regulations applicable to this Event and to provide our Official Contractors priority access. Build submissions
can be sent directly to the Supanova Event Manager via email at: exhibitor.enquiries@supanova.com.au
All third party contractors must provide prior to arrival onsite:
• Certificate of Currency for Public Liability Insurance
• Workers Compensation Insurance
• Work Health & Safety Policies

Exhibitors must, at all times, remain within their designated booked space – this includes patrons
using any interactive display, or any audience the stand generates. At no times must the stand, or any
of its components including furniture, fixtures or stock, restrict or block access to aisles or exits.

RESTRICTIONS AND USE


Exhibitors are responsible for any damage caused to any hired equipment, booth structure or furniture, by you
(the exhibitor), your agents, staff or contractors. Upon arrival, check the condition of your stand site before
occupancy and before leaving the building after its clearance. It is essential that recognised products are used
for affixing items to walls of the booth (eg: Velcro). All fixtures must be removed from hired equipment before
the completion of bump out, including tape, Velcro, pins, tacks etc. Any damage caused by an Exhibitor or their
Staff to the facility, fittings, walls, or furniture, will be invoiced accordingly. Nothing may be fixed to the fabric of
the building or bolted to the floor. Screws and nails are strictly not permitted to be used to affix items to walls.

*Trestle tables and chairs are not incuded in exhibitor bookings. Any furniture requirements can be booked
online via the portal. Once you have made your booking, you can go back to add or change any additional items

SUPANOVA EXHIBITOR LUNCH ORDERS


THE SERVICE
The Supanova team have offered this service for a number of years with great success and convenience to our
exhibitors throughout the event. Supanova staff will collate and process any lunch orders made by exhibitors
prior to the event commencing for the venue’s food outlets.This saves exhibitors having to leave their stands and
wait in lines to purchase meals. We will do that for you then deliver your order directly to your stand.

HOW TO PLACE YOUR ORDERS


STEP 1: Print out the order form via the exhibitor portal
STEP 2: Complete the form with your requirements, remember to enter the following details:
• Tick whether its for “Saturday” or “Sunday”
• Include Stand Name
• Include Stand No.
• Enter quantities & amounts
• Enter the order “Total” on each form
STEP 3: Take your completed forms to the Exhibitor Services Desk between 7am-9.30am on

STEP 4: Hand over your payment to the Supanova Team member, correct change is preferable
STEP 5: If change is required it will be handed to you upon delivery of your order

Note that you can place both your Saturday & Sunday orders together in the one transaction. If you have
different staff or want to place orders for each day separately you can, just be sure to drop off your order and

Supanova Comic Con & Gaming is dedicated to providing a safe and harassment-free experience for
everyone; we do not tolerate harassment, bullying, or assault of participants in any form.
The definitions of harassment extend to all patrons, performers, media practitioners, exhibitors, contractors,
workers & volunteers, venue staff, and celebrity guests. Harassment from or towards anyone, anywhere, is not
acceptable.

DEFINITION OF HARASSMENT
Harassment / Bullying includes, but is not limited to:

• audible or visual threats or blackmail

CONSEQUENCES OF BEHAVIOUR
Staff may take any action they deem appropriate within the scope of the Law – Participants asked by staff
to stop any harassing behaviour are expected to comply immediately. One warning only will be given. Supanova
will expel offenders who repeatedly violate these policies; organisers may also notify local law enforcement
authorities.

REPORTING HARASSMENT
If you are being harassed or bullied please contact a member of staff immediately, or go to the Information
Desk for help. If you wish to make a report, staff will record all relevant details, including witness statements,
in an Incident Report Form, and further assist participants to contact venue security or local law enforcement,
provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the event.

If you witness harassment or bullying, contact Staff or Security, and do not engage directly.Take note of the
culprit’s appearance and any other information, such as what time and location the incident occurred, what was
said or done, and whether the person or persons moved to a different location after the incident. You may be
called upon to provide a witness statement in the case of an Incident Report being completed.

Supanova discourages individuals from taking any personal physical action against someone they
have witnessed engaging in harassing or bullying behaviour, or whom they suspect to be a culprit
of such behaviour.

WEAPONS POLICY
Restrictions and legislative requirements surrounding the following:

• Display and sale of weapons, replica weapons, dangerous props or other items of this nature
• Interactive elements that are considered combat, or contain or use weapons or replicas weapons

Please indicate in your PORTAL Registration whether your retail outlet or booth display fall under either of
these categories listed above. Additional information will be supplied to you, or you will be contacted by our
Work Health & Safety Consultant to further discuss compliance in these areas.

The Supanova Comic Con & Gaming Weapons Policy (Exhibitors) can be found on your PORTAL Dashboard.
Any items that are approved for sale but breach Supanova’s Public Weapon’s Policy, must be wrapped securely
and accompanied by appropriate instructions for compliance - both verbal and in print. These instructions are
available on the PORTAL Dashboard and must be displayed in your booth during trading hours.

Exhibitors cannot remove from their booth or table, or wear outside their booth or table space, any item
(weapon, armour, prop or costume) that contravenes the Public Weapons Policy, during public opening hours.
Any requirement to do so must have a staff or security escort, so please make arrangements for this in advance.

Any product or display items that contain fuel of any kind, produce flame or heat, are a projectile (even when
unloaded) or contain compressed air are PROHIBITED from sale or display at Supanova Comic Con & Gaming.
