RECEPTIONIST

About FNTI (First Nations Technical Institute)
Since establishment in 1985, over 4000 students have graduated successfully from FNTI with
certificates, diplomas and degrees, granted in partnership with Ontario’s Colleges and
Universities. An Indigenous post-secondary institution, FNTI offers programs targeted at
Indigenous learners across a wide range of post-secondary disciplines including aviation,
health, business, and public administration. FNTI delivers programming locally through its main
campus in Tyendinaga on Ontario’s beautiful Bay of Quinte, as well as in numerous community
locations throughout Ontario.

Description:
The Receptionist works closely with the Vice President, Corporate Services, the other
employees in the Corporate Services Department, and FNTI staff in support of all corporate
operations of FNTI. The Receptionist is responsible for greeting visitors and guests, handling
all incoming telephone calls, processing incoming/outgoing mail and faxes and providing
general administrative support for all departments.

Duties:
Key responsibilities include, but are not limited to, the following:
• General reception duties (answering FNTI phone, responding to requests for
information, directing telephone inquiries).
• Providing administrative support to Corporate Services, Academic and all other staff in
the Cooperate Services department.
• Preparing and receiving correspondence (email, Word documents, etc.)
• Conducting research as requested.
• Maintaining reporting logs (mail log, visitor log, fax log, copier readings, phone calls,
vans, etc.).
• Opening, recording and distributing mail and faxes.
• Arranging courier pickup, as required.
• Meeting and greeting students, parents, potential students, members of the community,
staff, visitors and guests;
• Making travel arrangements for staff as requested and preparing and providing
itineraries.
• Composing, typing, and proofreading draft letters and email correspondence.
• Acting as administrator of FNTI attendance management system. Monitoring and
reconciling employee attendance, completing attendance reports as requested by the
management and executive teams, as required.

Qualifications:
• A Diploma in Office Administration and two years related experience; or an acceptable
combination of education and experience.
• Demonstrated strong customer service focus with a pleasant attitude.
• Excellent interpersonal, verbal, and written communication skills.
• Excellent knowledge of Microsoft Office 365, related MS, programs, internet, web-based
data systems and other relevant technologies.
• Excellent knowledge of general office procedures.
• Ability to use sound judgement and discretion, with strong problem-solving skills
