I dedicate this project to God Almighty my creator, my strong pillar, my source of inspiration,
wisdom, knowledge and understanding. He has been the source of my strength throughout this
program and on His wings only have I soared. I also dedicate this work to my respectable teachers,
parent and my whole class who has encouraged me all the way and whose encouragement has
made sure that I give it all it takes to finish that which I have started

are abundant and favors are unlimited.” As a mater a fact, people tend to forget those who are
behind their achievements and have stood for them whenever they need assistant. Our gratitude
will be meaningless if we are not grateful to almighty Allah for His kindness upon us. His
benevolence and blessings have made us capable. We are extremely grateful to our course
instructor and project supervisor Ma’am Afshan Shafique who spent a lot of valuable time with
us and gave all the related information and expertise very generously about project. We are also
very grateful to our whole class; all of them spent lot of time in helping completion and execution
of this project.

Executive summary:

Events are happenings, often used to suggest that what happened was on an unusual scale, Memorable
etc. Most of us participated in events but organizing the events are the difficult task to achieve its
objective. There are many reasons for organizing event. To celebrate community identity and spirit;
to showcase local talent and achievements; to educate, inform and celebrate your community’s
culture and heritage or fill a perceived gap in the recognition of arts and culture where you live.
Big bazar is an event which provide platform to people to do their business and earn money plus
experience in limited area of market.
As this is our promotion and advertising management project. Ma’am Afshan which is our course
instructor also project supervisor. She assigns us this task to create event and promote business
environment in collage so that business culture develops.
First we conduct short research to analyze whether students will be willing to booked stalls in their
busy schedule. After analyzing we conclude that students prefer new thing in collage. We have
planned whole event and assigns duties and responsibilities to each member.
Basic purpose for organizing Big bazar was to develop a sense of mechanism, to increase confident
level and practical implementation regarding entrepreneurship and to get a implementation of
theoretical concepts studies in course.

At the end of event we learned that how things actual worked. Concepts which we studied in books
were slightly different in real life. Confidence, team, spirit and capability are main things which
required to arrange any event.

OVERVIEW OF EVENT:

Objectives of event (BIG BAZAR)


 To learn promotion and advertising principles.
 To get the implementation of theoretical work
 Practice in business establishment
 Create healthy atmosphere
 Promote free business culture and provide entertainment to the society.

THE PLANNING STAGES:

1. EVENT PLANNING:

Before start to do work all of we together and develop a framework of event and detailed discuss of
how will things happened. First we set an Event purpose and concept. Defining the purpose and
concept of our event is an essential starting point to ensure that we will achieve our objectives.

Whole class sit together and brainstorm some ideas and their executions. We all have reached a
plan to “arrange a market place where we arrange a stalls for other and design different activities for
students.

We planned time, venue, estimated budget, registration fees, number of stalls, expected return and
others activities. We wrote a project proposal and application for approving project idea, “Madam
Afshan” and HOD “Madam Farah Naz” approved our idea.

Concept testing:

Research Before investing a lot of time and money into an event, we conduct a small level market
research and fill out questionnaire to our audience. By interpreting result, we reached a result that
our audience accept our idea and event became successful. (appendix)

Organizing group/planning committee:

We divide the class into 3 teams.

1. Communication team (7 members)


2. Management team (6 members)
3. Documentation team (5 members)

Each team is assigned with their relevant responsibility. (appendix)

2. BUDGETED COST SHEET:

Budgeted cost sheet was prepared which shows the estimated cost needed for organizing BIG
BAZAR and expected revenues and profit earn form it. Also it was adjusted by the actual cost and
revenues then we calculate variance to show the difference exist in estimation or we achieve our
targeted income or not.

3. MANAGING FINANCE AND FINDING FUNDING

‘It’s worth trying at least! Even if some "informed" people says there is nothing, or it's
impossible to get any funding’

We needed finance to execute project. Whole class is contributed 50 RS. Per student (50*18)

For funding:

 We sale out 120 lottery tickets. (20 RS. Each)
 Stall registration/pitch fee (200 RS.)
 pitch revenue (20% of revenue)
 Certificates (40 RS. Each)
4. VENUE AND FURNITURE:

For decided venue and furniture which we required for stalls (tables and chairs), approved
application from HOD and Head of library to allow us to use library furniture. (Appendix)

Our decided venue was parking area opposite of B-BLOCK psychology department. All of us
together set furniture in decided area.

5. STALL BOOKING:

Planned number of stalls per day was 6. There was formal procedure for stalling. First client was
given verbal information about requirements then they applied for reserving stalls by filled up form
and after pay 200 RS. For booking.

REGISTRATION FORM:

For stall booking, we design forms which mention stall number, type, stall holder name, email
address, special requirements, estimated cost and other.

With these elements, stall holder’s also have to signed agreement which bound them to contractual
duties and responsibilities.

After fulfilling form, they are notified. Congratulation mail was sent all confirmed stallholders.

6. EMPLOYEE HIRING:

For managing activities of stalls, different type of staff needed.

1. Cashier/ accountant
2. Management
3. Assist stall holder

Advertisement of “HIRING STAFF” was placed which mention job title, eligibility criteria,
responsibilities and non-monetary compensation.

For employee hiring there were formal procedure, interested candidate first send their’s CV’s to
mention address. After review CV’s hiring team called selected candidate for filled employee
registration form. (Appendix)

We hired cashier/accountant from BBA-8TH finance student. Management staff was hired from
BBA-8TH HRM students. And other staff was hired from BBA 4th & 6th.

WORK HOUR SHEET:

Work hour sheet prepared in which all duty timing and hour of employee mention i.e. in which stall
employee give duty and responsible for.

7. ADVERTISING AND MARKETING MEDIA:

For promoting our event we created separate Facebook page named as” BIG BAZAR”. Media
campaign was operated by Tooba, Hira, Talia and Zanib. Small banner was placed to attract more
people. Detailed information about event, offers, stalls and items was given. Stall booking also
made through Face book.

8. DECORATION:

All team members of project décor whole stall area. We set 7 tables per day and each table was
decorated by 3 members. We used ribbons, balloons, curtain, hard charts, crape paper, silver balls,
formic sheets and other materials in decorating venue.

ON EVENT’s FIRST DAY (10th aug-2017)

INAUGURATION:
The inauguration ceremony of event was held on Thursday, 10th august 2017 at UOG RWP
campus. The Chief Guest for the event was our beloved principle MADAM ALIA SOHAIL We
received the Chief Guest at the venue, followed by presentation of flower bouquet by our team
leaders. The Chief Guest delivered her short speech afterwards and highlighted the importance of
recreational activities in studies. And gives us best wishes.

ALLOTTED STALLS:

After beautiful inauguration we allotted stalls to registered members. Each stall designated special
code and name to distinguish it from others. At each stall we have 1 cashier, 1 management person
and 1 for assist stall. Which has responsibility to note down all transaction. Transaction sheet was
given to them to record data. (Appendix)

STALLS:

There was variety of stalls which we arranged at first day.

Stall 1.A Gola bar

Stall 1-B Refreshment

Stall 1-C handmade craft

Stall 1-D mehndi

Stall 1-E calligraphy and biryani

Stall 1-F pizza and stationary

GAMES AND ACTIVITIES:

Side by side, different activities and games were arranging. Team of marketing students, arrange
games for students to have participated for make fun and enjoy with their friends.

Number of games was arranged:

 Bubble eating
 Balloons
 Candle blowing
 Green chilies
 Song guessing

Students enjoyed a lot these activities.

PHOTOGRAPHY:

All small moments were click. We assign this responsibility to permanent member Alisha Ejaz for
taking photographs. She is responsible for saving every moment in the eye of camera.

MANAGEMENT TEAM:

Management team throughout the event, kept eye on each and every activity and mange people.
Whole Team wear ‘black color caps with their designated position” as their dress code to represent
that they are organizer and team of this event.

ENDING TIME OF STALLS:

Stalls timing was end on 1:30 pm. All substantial was packed by the team members. Senior cashier
Ayesha hafeez collected cash from all the stalls. She gives cash to stalls holders.i.e. 80% of revenue
and remaining 20% was given to administration of event as per agreement. Tables and chairs set
aside and located area was onslaught.

ON EVENT’S 2ND DAY (10th august 2017)

On 2nd day, same activities were performed as 1st day. But games and stalls were different.

STALLS:

Stall 2-A Marconi & lemonade

Stall 2-B Gola ganda

Stall 2-C Chana chat & lemon soda

Stall 2-D Hand made crafts

GAMES AND ACTIVITIES:

On 2nd day, we arranged some others games and activities. Which are as follows,

 Candle blowing

 Balls throwing
 Song guessing

ENDING TIME OF STALLS:

2nd day was Friday so stall timing was little bit short. Stalls timing was end on 12:30 pm. All
substantial was packed by the team members. Senior cashier Ayesha hafeez collected cash form all
the stalls. She gives cash to stalls holders.i.e. 80% of revenue and remaining 20% was given to
administration of event as per agreement.

All furniture and other provisions were kept in their original place. Furniture has to be returned to
their owners and bring back our collage ID Card which they kept as security of furniture.

OBSERVATION:

On these days of event we observe that customers were attract by the food stalls more and they
were willing to pay high prices on stalls. Other stalls which include items (painting, mehndi,
handmade crafts or jewelry) were less attractive for students. They prefer eatable things which are
of tasty and hygienic. We observe that most of famous and demanding stalls was “gola ganda” and
“lemon soda” due to high demand theirs’s stall holders earned more.

CLOSING EVENT:

closing presentation was the last of the activity held during the Big Bazar event. This presentation
sums up the learning objectives which we learned in this event. Last of the presentation, we show
gratitude all respected staff, our supportive class and team participants who make their presence
very excellently. This event was arranged to take initiative step for creating entrepreneurship
culture and promote peaceful environment in market place. The event was attended by almost 500+
people.

Our team members were highly motivated to arrange the event and we learnt:

 How to plan Event:

We learnt how to plan this project. The planning of BIG BAZAR includes:
Cash Planning: our planning for cash includes equity, sales revenue and cash form
registration etc.
Location planning: our team planned to utilize the parking area opposite to psychology
Dept.
Date & time planning: Our team decides to organize event on 10th and 11th August from
10:00 am to 1:30 Pm.
 How to Manage the Event?
Selection of leader: Our team selected three very motivated and active leaders Hira,Tooba
and Iqra sajid
Documentation: Hira and her group members (Talia,Javeria,Aneeqa and Sara) make
documents and records .
Management: Tooba and her group members manage the event.
Communication: Iqra sajid and her group members handle the communication work.
Leading: the group leaders lead us.
 How to Promote and advertise Event:

Also apply knowledge of business concepts and functions in an integrated manner
 Designing of Tickets and certificates: we learnt how to design the tickets, certificates and
time tables in professional and attractive way
 How to Make Contingency Plan: Due to political instability we learnt how to reschedule
and rearrange the event and run the event smoothly.
 How to act according to the managements procedures

Our team learnt what is the official method of approving applications, acquiring campus assets and
location and how to invite the senior authority.

 How to make coordination: whole team members work with each other and create a
healthy coordination and learn to work effectively in teams and/or groups
 How to generate the Profits: how sale the goods and services, arranging the games and
lottery tickets beneficially?
 Confidence & professionalism: From this project we learnt how to make things clearly,
how to deal with clients and customers in a confident and professional manners.
 How to promote entrepreneurship: we promote the entrepreneurship culture in the girls
so the feel their power and utilize it in profitable manners
 How to attract the audience: we attracted audience by lottery ticket, broachers, flyers,
music decoration and through face book.
 How to successfully run the event: our energetic team members manage the whole event
very impressively and manage each event.
 How to windup the event:
We pack-up the event on time and return all the assets in original form.

Recommendations
Our recommendations for future Marketing students are:
 Promote your event as effectively as possible.
 Check all political situations in the city as it has impact on the event.
 Get the precious advice from mentors and follow them.
 Check weather updates.
 Involve higher authority in each step because their permission is important.
 Get updated about the marketing trends and follow them through your events.
 Time management, resource management and finance management is key factors to
make any project successful.
 Get in touch with your senior fellows for further recommendation and help.

 The department needs to develop a junior year course that allows cross functional
teams to work together on projects and refresh their knowledge in the functional
areas.
