Subject: Guidelines for US Visa Application

This memo is intended to provide guideline to Burns & McDonnell Engineering India Pvt. Ltd.
(BM India) employee chosen for a potential deputation to Burns & McDonnell’s US office and
who is required to apply for a US business visa. Below are the things to know and steps to follow
for securing the visa.
1. Mr. Pravin Mohite (022-25196708 / pymohite@burnsmcd.in) will be the prime contact
in BM India office for all and any requests regarding US visa applications either new or
renewals.
2. Project managers or department managers selecting resources for a specific deputation
shall inform Mr. Mohite of the same.
3. BM India employee intending to apply for US visa application shall have a formal
approval, in form of an email confirmation or written note, from his/her department
manager or project manager. The note from concerned manager shall clearly indicate the
following details pertaining to the deputation –
a. Project and Client
b. Purpose
c. Skillset of requested resource for deputation
d. Timeline / Schedule
e. Duration of deputation and

f. Location for potential deputation of BM India employee.


6. BM India employee shall fill form DS-160 visa application form online by visiting the
website https://ceac.state.gov/genniv/. Use the attached example for company related
information that needs to be filled in online visa application form. (See sample attached
with this memo).
a. Applicant is required to upload a digital image while filling the DS-160 form.
Digital image requirements for visa application can be found at website –
http://www.travel.state.gov/visa/visaphotoreq/visaphotoreq_5334.html#nonimmig
rant.
b. The completed DS-160 application form will generate an alpha-numeric barcode
confirmation page, which is required during the visa interview at the US Embassy.
c. Take a print out of the completed DS-160 form which will be required for visa
interview at the US Embassy.
d. Take two (2) prints of the alpha-numeric barcode confirmation page. One should
be handed to Mr. Mohite or Mr. More for initiating the visa fee payment. Second
one should be maintained by the BM India employee for his/her visa interview.

7. Once the deputation is approved, the BM India employee will contact Mr. Mohite to
request the following things for filing his/her visa application –
a. Letter from Burns & McDonnell Engineering Company, Inc. to US Consul
General informing the consul about requirement they have and the request sent to
BM India for deputing their employee to the US office of BMcD US for project
alignment meetings or any training sessions. (See template attached with this
memo).

1. Passport details of the BMI employee slated for deputation.


2. Designation of the BMI employee
3. Schedule of deputation indicating the start date
4. Client and project requesting the deputation.
5. Purpose of deputation.
b. Letter from BM India to US Consul General requesting the Consul to grant the
requested visa to the employee. This letter will be issued by Mr. Mohite on behalf
of BM India. (See template attached with this memo).
c. Pay the US visa fees in Axis bank. BM India employee shall provide the copy of
alpha-numeric barcode confirmation page to Mr. Mohite to facilitate the fee
payment at the designated bank. The Consular fee schedule can be found at
http://mumbai.usconsulate.gov/fees-main.html#nivfees
8. After receiving the US visa fee receipt from BM India administration group, the
employee should wait for two (2) days for receipt number to get activated.
9. Visit the website www.ustraveldocs.com/in for scheduling two (2) separate
appointments for the visa using the activated receipt number.
a. The first appointment is for the finger printing and photo at the Offsite
Facilitation Center (OFC). OFC in Mumbai is located at Trade Center, Gr. Floor,
G Block, BandraKurla Complex, Bandra (E), Mumbai – 400 051. The timing of
the OFC center are M-F: 8:00 AM – 5:00 PM.
b. The second appointment is for the visa interview at the US Embassy in
BandraKurla Complex.
10. Submit the documents at the OFC on schedule day/date. Carry with you the following
documents –
a. Valid passport and previously issued passports.
b. DS-160 confirmation page with barcode.
c. VFS / OFC appointment letter

11. Appear for the visa interview at the US Embassy at the scheduled time.

Subject: Preparation for Business Visa (B1) Interview at US Embassy

A team from Burns & McDonnell Engineering India Pvt. Ltd visited the US Embassy in Mumbai
to meet the Consul General in month of March 2013. The intent of this meeting was to establish
an executive relationship with the US Embassy so that we could update the Consul about Burns
& McDonnell’s plan as we grow our operation in India and at the same time understand US
Consul General’s views while screening visa applicants. Below information was divulged by the
consul staff during our meeting.

General Information:
1. The US government encourages people travelling to US and wants many people to
travel to US every year. Travel promotions are important to US government.
2. Every year 200,000 people travel to US from all countries.
3. There is no quota (daily / monthly / yearly) for issuing business or tourist visas.
4. The screening at the consulate is mainly to avoid potential migrants to enter the
country.
5. Every applicant appearing for visa interview is seen as a potential migrant until the
candidate proves otherwise during the visa interview.
6. The US Embassy in Mumbai is processing upwards of 1500 applications every day of
various visa categories and therefore based on their staffing, they could only allow
minimum of 1-minute to a maximum of 3-minutes to every candidates for interview.
7. The consular officer has no time to review documents during the interview hence the
visa decision is purely based on the short interview.
8. Things that US Consular officer is looking for during visa interview especially for
business visa category are –
a. What is the individual doing? (In present role, during deputation, etc.)

b. Type of activities the individual is going to be involved in while in the US on


business (B1) visa.
c. Is the stay of the individual temporary?
d. Is the individual established in his home country? What is his/her potential to
migrate to the US?
9. Individual holding a business (B1) visa can participate in business activities of
commercial or professional nature while in US. These include but are not limited to the
following –
a. Consulting with business associates
b. Attending business, technical, professional, educational conferences
c. Negotiating a contract
d. Participating in short term training.
e. On-site meeting with the immediate client.
10. Activities that an individual on business visa should NOT INDULGE in while in the
US are as follows –
a. Cannot engage in PRODUCTIVE WORK or ACTIVITY.
b. Cannot visit end customer’s office or site for meetings.

Preparation for the Visa Interview:

2. Understand the working relationship between BMI and BMcD US so that it could be
explained if requested or as felt necessary during the interview.

During the Visa Interview:


1. Reach on time for the interview.
2. Do not carry any bags, purses, mobile phone, electronic gadgets, water bottles, eatables
etc. with you for the interview. These items are not allowed in the US Embassy premises.
You will be asked to throw them or arrange for its custody outside of the Embassy
premises.
3. Carry all required documents duly arranged in a file / document folder.
4. Be confident, calm and composed.
5. Speak clearly and concisely.
6. Do not lie or make up stories on the spot.
7. Do not go with a script.
8. Listen to the question clearly and understand it properly before you answer. It is fine to
request the consular officer to repeat the question if it is not understood the first time.
9. Articulate to the consular officer
10. Do not utter the word “WORK” ever in any answer. Note that deputation is for
alignment meeting, training or project handover mainly to discuss scope, schedule and
budget.
11. Go prepared with reasoning and arguments to convince the consul officer about your
stay being TEMPORARY.
12. Go prepared with reasoning and arguments to convince the consul officer about you
being ESTABLISHED in home country. Things that will help prove that candidate is
established in home country are –
a. Long term service history with the company
b. Strong family ties. (Singles / bachelors are at risk of proving this point.) and
Possession of non-movable assets.
