Delegation of Authority (revision – July 31, 2012):


Allows user to share his/her folder with another user.

1. Go to File > Preferences > Mail > Access and Delegation


2. Under Delegate access to these people or groups, click Add.
How to access the mail and/or calendar of the user who provided access:
Method A:
First, look up the mail file of the user who shared his folders:

Open the Address Book and (If you don’t have a link to the Address Book yet, press Ctrl + O > type
'vshb001/srvc7/srvc/cag', press Enter > open CONTI07 Address Book) and search for the specific name
and open the person document. Take note of the Mail File directory.
Type Ctrl + O > type 'mllc001/srvc/as/au/cag', then press Enter > search for specific mailbox.

Double-click the name of user.

Method B:
On the mail view, go to the folder Other Mail and click Open Other Mail to lookup the name of the user
whose mail you want to access.

Method C:
Go to File > Preferences > Access and Delegation > Shortcut to Others’ Mail.
In Create shortcuts to open the mail files of these people, look up the name of the user who delegated his
mail.

To add the calendar, go to Calendar view and select Add a Calendar on the left-hand side.
Search for the name of the user.
Tip: To easily discern the calendar entries of another user, try to change the background or text color.

How to check if you have access to the mail file:


You may check your access by opening the Access Control List. Do this on the client of the user who
delegated access to his/her mail.

Depending on the access that was given, the delegate might have Reader or Editor status.
If user is only given Read rights, user will only be given rights to read, replicate, or copy public
documents.
If user is given Author rights, he can create, delete, read, write, and replicate or copy documents.

How to Bookmark Applications in Lotus Notes:


1. Right-click the tab and select Create Bookmark.

2. Choose either View or Application. You may also rename the title for easy reference. When done,
click OK.
3. You can either find it on the left-hand side if your list is docked:

Some users prefer to make the Workspace their homepage. This may be done by right-clicking
the Workspace in the Open List view and selecting Set Bookmark as Homepage.

How to Enable/Disable Email History or Conversations:


You may enable/disable the email history or conversations using several options.
1. Open an email document and selet Display then check/uncheck Conversation.

2. From the mail view, click Show and select Individual Messages, if user wants to view the mails
one by one, or select Conversation, if user wants to show the email history.

TROUBLESHOOTING
Lotus Notes Password Recovery
Procedure after receiving a password recovery code from Sys Ops:
1. Open Lotus Notes > Dropdown – Other > Select the id file you want to recover password for >
Exit
2. Click Try to Recover Password > Select the correct id file > Enter Recovery code > Screen will
prompt you to enter a new password.

Error: Account Locked Out – Clear Password Digest


“You have a different password on another copy of your ID file and you must change the password on this
copy to match.”
1. Access the Conti07 address book and search for the user > Double-click user’s name
2. Select Action >Select Other > Select Local Admin Tools > Select Local Admin / Clear Password

Error: User does not Exist


1. At the lower-right portion of Lotus Notes window, click Online > Edit Locations > Select Online or
Office > click Edit
2. Check Server Tab and Mail Tab and determine if these fields are populated with the right server
and mail file path.

Error: Unable to Find Server Path


1. Check user’s server:
a. Start > run >cmd > type ping (mail server) (e.g. ping mllc001)
o If there is a response, server is working fine.
b. Repeat process (a), but this time, type ping (IP address) (e.g. ping 172.21.33.206)

Error: Application did not get Installed


Option 1:
1. In user’s Data folder, rename the following:
busytime.nsf
log.nsf
Workspace folder
Then, delete Cache.NDK
Option 2:
1. You can try reconfiguring by opening notes.ini under Data folder
2. Delete text after ‘Installmode=1’.

3. Delete Cache.NDK

Option 3:
1. Go to C:\Documents and Settings\x-makv\Local Settings\Application Data\Lotus\Notes
2. Rename Data folder.

Option 4:
1. Open the plugins folder by going to C:\Documents and Settings\x-makv\Local Settings\Application
Data\Lotus\Notes\Data\workspace\.metadata\.plugins

2. Rename the ff. folders:


com.ibm.portal.app
com.ibm.rcp.portal.app

Error: CEOS Application- Lotus Notes Crash


User’s Lotus Notes FP5 Application crashes upon approving CEOS.
1. Go to File > Preference > Basic Notes Client Configuration.
2. Check ‘Show in-line MIME images as attachments’ and ‘Disable embedded browser for MIME
mail’.
For CW01 users:
Renaming the data folder and restarting LN will prompt user for his UID and Windows password.
This is only done as a last resort.

To Access User Workflow:


Ctrl + 0 > Look up ‘frld004’ > appl > UserWorkflow > Continental Authorization Request Tool

Error: ‘getContent’ has encountered a problem


The error will pop-up randomly, while trying to create a mail, or clicking one of your Sametime contacts.

1. Right click on 'My Computer' and choose properties (make sure to RUN AS Local Admin)
2. Go to Advanced tab
3. Click 'Environment Variables'
4. Look for 'PATH' and select Edit
5. Enter ;C:\Program Files\IBM\Lotus\Notes85 (or whatever your program path is) and click OK

Error: "Shared Memory from a previous Notes/Domino run has been detected, this process will
exit now"
This happens when there is another instance of Lotus Notes running in the background.

Do this while the Notes client is closed:


1. Open user’s Notes.INI file and delete these fields:
AddInsMenus=NCMenu
EXTMGR_ADDINS=NCExtMgr

2. Save the file and restart the computer.

Note: These lines will be removed from the McAfee Scanner and this is what is detected by Notes as a
similar process that causes the shared memory error to occur.

Error: "There Is No SMTP Account Specified for this Location"

Users can’t send mails or they are working with a local replica of their mail file, and when they try to
replicate and send out mail sitting in their Sent folder, they receive the error on the Replication tab.

In this case, the users did not intend to send their mail immediately via SMTP. They wanted to send it
through a Domino server and have the Domino server send it out.
The current Location document --> Mail --> Send Outgoing Mail field was set to "directly to Internet". This
should be set to "through Domino Server". Note that this setting is cached, so the client needs to be
restarted before this change goes into effect, after which the error message goes away and replication
works fine.

Option 2:
Create a new Location document for Online/Office network. Select the new Location document you
created and resend the mail in the Replication tab.

Error: Mail view - “Cannot find view”


User can’t open his mailbox, even if you try to manually open it on the server.

1. Close the client and go to user’s Data folder to rename bookmarks.nsf.


2. Launch the client again.

Error: Mail and/or Calendar view is Blank


At times, user’s views get corrupted and user will not be able to view his/her mailbox and/or calendar.

1. Close the client and open user’s Data folder.


2. Rename/delete cache.NDK, log.nsf, and bookmarks.nsf.
3. Reopen the client.

Error: To Do List / Follow-up Notifications Disappears in Mail View
This is a bug in the Notes 85 design. The follow-up/to do box will be available at times but would
suddenly disappear.

1. Open the user’s local replica either from the workspace or manually from the file path.
2. Switch back to the mail file on the server (Might need to close all the open tabs in Lotus Notes
and restart client). The box should reappear again.

Error: Lotus Notes – Column Headers are not showing


User’s inbox view would normally look like this:

When you minimize the client, column headers such as "Sender", "Time", "Date" and "Subject" in
the inbox may disappear.

Renaming bookmark.nsf will fix this issue OR change user’s screen resolution.

Error: Encrypted Email – “You cannot access portions of the document because it is encrypted
and was not intended for you, or you do not have the decryption key.”
User is unable to access an e-mail because it is encrypted.
1. Check if the e-mail is addressed to the user in any of the three fields, to:, cc:, or bcc..
2. If yes, check if user changed her name recently.
How to check:
Option 1:
1. Create a new e-mail
2. Type the name of the user
3. Right-click and select Name Details
4. Check under Basics and under Username

3. If user did not change his name, the problem might be with the certificates.
4. Go to File > Security > User Security

5. Go to Your Identity > Your Certificates > Other Actions > Select ‘Mail, Copy Certificate (Public
Key)’.
Select Copy Certificates.

6. Open Notepad or Word and paste the certificates. Open Name Details again and compare the
two lists of certificates. If there is at least one certificate that has changed, the certificate list must
be updated.

7. Go back to File > Security > User Security > Your Identity > Your Certificates. Then Go to ‘Get
Certificates’ and select ‘Request New Notes Flat Certificate’.

Archive-related Issues
Error: “Database is corrupted. Cannot Allocate Space.”
Follow these steps:
1. Go to Start > Run > type ‘cmd’

Type ‘cd’
cd\program files\lotus\notes85\
nfixup –f archive file path (e.g.: nfixup –f d:\mak.vanessa\files.nsf)
- If archive has been saved in its default folder, just type the archive name.nsf
Enter password and hit Enter key. The following command lines should appear:

2. Next, type ‘ncompact –i-c-d-K archive file path’ (e.g.: ncompact –i-c-d-K d:\mak.vanessa\files.nsf)
Type in password and hit Enter key. Note the following command lines:

Type in password and hit Enter key.

Error: No Authorization to Acess Database


This usually happens when user has had a name change. Request for a copy of user’s previous ID file
from sys ops. Once you receive the old ID file, open the user’s Lotus Notes and start initial set-up using
the old ID file.

Option 1:
1. From the bookmarks page, go to File > Application > New Copy:

- Uncheck Access Control List


- Select Archive path
2. Manually open archive file.

Option 2:
1. Open Lotus Notes by going to C:\Program Files\Lotus\Notes85\nlnotes.exe
2. Follow Step (1) from Option 1.

Error: Illegal Circular Use: Doc Exp Processing


Users get this error when opening their archive after upgrading to version 8.5.

1. While on the Inbox window, go to Actions > folder > Upgrade Folder Design
2. Select Manual Upgrade
3. Select all folders and Check Inbox box.

Error: Type mismatch on external name: UIMEMODOCUMENT and Variant does not contain an
object.
Error occurs when opening the Lotus Notes archive.
Try to replace and refresh template design from File > Application. (IBM Technote 1297582)

Error: Cannot find default form


When user opens his archive, he gets the error message. This usually happens when user’s template is
not up to date. Replace Design should fix the problem.

If, for some reason, this is not possible because user does not have the rights to change his mail
template, make a copy of the archive without encryption and ACL. Open the backup copy and replace the
template from there.

1. Open the archive that needs to be repaired and go to File > Application > New Copy
2. Change the file path and file name. Save the file in the same location as the original archive for
easy reference. It is recommended to rename the file with “…backup” or the number “2” at the
end.
3. Uncheck Access Control List and for Encryption, select Do not locally encrypt this database.
4. Once the copy has been made, open it and go to File > Application > Replace Design.
5. Select user’s server, i.e., mllc001, yolc001, etc.
6. Select the appropriate template. If user is using English, select inotes851en.

Click Yes.

7. Close the archive and reopen it.

Error: Windows 7 – Drive is not ready


When opening the Lotus Notes archive, the error, “Drive is not ready” occurs:
1. Go to Archive > Settings > Advanced
2. Uncheck Log all archiving activity into a long application.

Mail Quota
User might call in because he/she says that he/she is unable to receive or send mail. It is possible that
user’s mail quota is almost full.
How to Adjust Mail Quota:
1. Ctrl + O > Select user’s server > Admin > DbInfo
2. Search for user > While his/her name is highlighted (make sure that the name is marked with a
‘check’), select Create Request > Quota and Warning
3. Adjust Quota and Warning appropriately. For example, Abegale Pontanares’ Quota is 470 mb,
Warming is 450mb. When his mail quota reaches 450 mb, Lotus Notes will warn user that his
quota is almost used up. We can adjust user’s quota temporarily to 500 mb and quota warning to
480 mb.

4. Take note of the adjustment made and include it in your ticket:


‘User’s quota and warning was adjusted from 250/240 to 300/380mb.’
If user is requesting for a permanent mail quota adjustment, course through local IT.

How to Access Web-based iNotes


1. Open your web browser and type in url ‘mllc001’.
2. Select Continue
3. Change server according to appropriate location
username: First Name (space) Last Name
password: Lotus Notes password

OR, type inotes.conti.de in a web browser. For Sametime web client, type stproxy.conti.de .

iNotes – "Your access has been restricted because your password is expired. Please contact your
Administrator."
Synchronize iNotes and Lotus Notes Password:
1. Ctrl + O > Type vshb001 > apps > Application > iNotes Password Reset
2. Type in same password used in Lotus Notes.
3. Changes will take effect within an hour.

iNotes – Password Locked


1. Open user’s mail server
2. In Look in: iNotes Password Lockout OR, type inetlockout.nsf in File Name.
3. Search the user in the list and select him

4. Click the Delete button on your keyboard

5. Hit the F9 button


6. And confirm the deletion

7. The user should not appear anymore in the database

8. He should be able to login to iNotes again.

iNotes - Error occurs when sending email through iNotes (by Charmina Castro)
There are users who encounter an error below when sending an email thru iNotes. The ID vault server is
checking for the authentication of the user when trying to send an email on iNotes.

Below is what they see when they try to send an email through iNotes.

Checking further on the iNotes settings for the user’s Security tab, the ID file’s vault server is set as
undefined. This is both true for existing and new users.

Procedures done:
1) Close the iNotes.
2) Call Service Desk to increase the ID Download count of the user.
3) Log in back to iNotes and let the user send an email again .
4) User will be able to send afterwards, and checking back the Notes ID Info from the Security tab, it
will now specify the correct vault and when to change the notes password.

Alternative Procedure:
1) From the iNotes, go to Prefence then Security and click on Import Notes ID.

2) Locate the ID file of the user and supply the password.


3) User should be able to send email again using his iNotes.

Sametime
Sametime Awareness Issue
User is logged into Sametime but his status is offline. Restarting the client may resolve the issue. But if
not, a hotfix may be installed, which is located in \\rbgs99ra\STClient852IFR1$.
