Topic:
‘Digitisation of Class Attendance’
Problem Statement:
While the world is progressing faster than ever before with everything getting
digitised and automated, the students of GIK Institute are still forced to bear
with an outdated and cumbersome process of manually managing their Mess
book in, book out and meal tracking system.
Motivation:
Most of the students of GIKI who visit the Mess on a regular basis can relate to
the fact of going through the inconvenient system of booking in and out that is
in practice. How the students have to take out time from their busy schedules
and go in person before 10 am to book out or in from the current day manually
in registers which are then reviewed one by one by mess attendants to mark the
dining status of a particular person where there is every chance that they might
miss a particular entry.
This project seeks to provide a digital solution to this problem by proposing a
Central Mess Portal i.e. CMP. This portal will have the capability of being
accessed through the CMS of each student under his/her ID. Not only will the
CMP be beneficial for students by providing them the facility of booking their
Mess in and out from anywhere with internet access but it will also make the
process more efficient and effective by reducing the chances of human induced
errors.
The current Mess booking system is centred on registers in which students
manually enter their change in dining status and separate lists on which the
record of each meal is maintained. This process is old and outdated, proven by
the fact that it is very easy to cheat it by ticking someone else’s room number
on the counter in case of overcrowding and also the fact that it is a tiresome and
inconvenient process to review the records manually.
The system lacks efficiency and effectiveness. In order to incorporate these two
characteristics this Project proposes to setup card scanners at each mess
counter at which at the time of every meal students will simply scan their
Student ID cards to maintain the record of each meal instead of resorting to
manually ticking lists.
The mess system setup is in urgent need of an update and the proposed
methods will provide a refreshing addition of automation. Not only will the
implementation of Central Mess Portal (CMP) benefit the students but it will also
help the mess employees in focusing more on other important tasks rather than
wasting substantial amount of time in record keeping and reviewing. Hence, it
will result in a more efficiently operated mess providing a much more improved
experience.
