INVENTORY SYSTEM FOR PET FAMILY ANIMAL CLINIC


AND GROOMING SERVICES

INTRODUCTION

This system is designed to provide automated system for our client to speed-up and

to improve their inventory management for input, update, and check of daily/weekly

records of their clinic stocks.

In the past years, almost all company used manual system in their paper works.

From the beginning up to the end of the process, there should be no single mistake to be

done because if this happens there will be a problem in achieving the goal.

But in present days, automated system is the best way to easily done each task. All

those methodologies are turned into a process that will lead to goal. A mistake

done can be fixed by correcting a single step in the process. Because of that, each task

given to man will be done easily yet accurately due to simple process requirements.

A recent survey of animal welfare experts including veterinarians identified 85

potential factors that could influence dog and cat welfare in relation to veterinary care

(Dawson, et al.).

Since the demand in animal clinics is growing so rapidly in the Philippine due to

the gradual increase in the number of people who are attached with their pets. The

automation of patient inventory system will serve as a development on a customer

satisfaction that will lead to more effective and efficient organization to the company. The

veterinary staff’s first impressions of pet’s behaviour are very important, as many puppy

behaviours may persist in adulthood and anxious dogs can be identified at a young age

(Overall, 2013).

To provide a fast processing of the records for the products. Client really needs this

system, because they have problem in managing their stocks.

Statement of the Problem

This study will focus on the creation of Inventory System for Pet Family Animal

Clinic and Grooming Services.

1. How to create a system that will avoid the expiry of the products and loss of income?

2. What is the demographic profile of the respondents of Pet Family Animal Clinic and

Grooming Center in terms of:

a. Age;

b. Gender; and

c. Monthly Income?

3. How effective is the system in terms of:

a. Reliability;

b. User friendly;

c. Acceptability; and

d. Multi-user?

Significance of Study

This study is about the importance of pet clinic and grooming of animals. The data

gathered from this study may beneficial to the following:

The Students. This study will be beneficial to the students for them to gain more

knowledge about pet clinic and grooming of animals.

The Staff. This study will help the staff of the pet clinic and grooming center to speed-up

their working duties.

The Owners. This study will help the pet owners to improve their business about pet

clinic and animal’s grooming.

The Future Pet Owners. This study will provide ideas that can help new owners in

managing their business related to this study.

Scopes and Limitation

This study will focus in developing a window-based inventory system using Visual

Basic.Net. Veterinarian, staff, business owner and pet owner, are the selected respondents

of this research. It has file maintenance, generation report, and security for the owner and

staff.

The system is not applicable in mobile phone and web-based application. Only user

can manage it.

Definition of Terms

The following terms are used in this study for the purpose of clarification:

File maintenance refers to the updating of their system.

Report refers to the daily or weekly reports generated of their system.

Inventory refers to the complete list of items to be used as data in this system.

Inventory System refers to the proposed system to be undertaken by the researchers for

their client.

Pet product refers to the item to be managed by the system.

Programming language refers to the language to be used in making their system.

Security refers to the process by which an individual gains access to a computer system by

identifying and authenticating themselves.

Visual Basic.Net refers to the programming language used in creating the program for this

system.

Window-based refers to the system that can be accessed through windows platform to be

used in this system.

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents a large compilation of related literature and studies written

local and abroad. These resources were taken from various researchers to serve as a guide

and model on helping the researchers to build the system.

Local Literature

Balagosa (2017) writes that inventory system will help us in handling your

inventory, facilities, finance. Companies have their own ways in controlling their

inventories, like spreadsheets is the most basic. Being automated in inventory system will

make the paperwork lessen.

Because of the system, employees gain more time to focus on other part of their

jobs, and lessen the time in monitoring the inventory. This also gives access to the

employee about stocks to be facilitated.

Writes that the goal of the inventory management is to handle the best and to

maintain the inventory for the business and to avoid losing sales. Exact type of inventory

is just needed. There are types of inventory, here are the following: raw materials, work in

progress, finished goods. (Cabrera, 2013)

Mendoza (2018) writes that everywhere business needs inventory management to

achieve their goals, it was easy to understand but the actual process is really difficult. We

all know if inventory management is mentioned, we think of only products and goods but

the real deal is it was the process.

The main goal of inventory management is to balance all levels of inventory,

effectiveness will be executed if the goal is accomplished and will benefit the process of

the inventory. Almost everywhere use inventory because it was part of the job they have,

but not all understand how it will benefit them if the process properly done.

Writes that inventory management of those independent company gives up to the

moment information on current stock levels, inbound stock, and associates your key

financials like deals and cost of products sold. This information is basic to tweaking

benefits, cutting misfortunes, and spotting robbery and wasteful aspects. (Fabregas, 2017)

Ong (2013) Inventory System is efficient stock control allows you to track the

amount of product into your inventory. It will also allow you to follow products from

supplier to customer and understand the flow.

Local Studies

Balangue, et al. (2015) writes that in this days computerized or automated systems

are preferable than manual process, computerized systems developed the productivity and

efficiency of the processing data. The manual system makes more time and make data

processing inaccurate and may lead to losing data’s. Because of the time consuming of

manual process they choose computer-based system to records all the stocks and upcoming

items. And it will help to monitor all the item.

The study of San Miguel (2014) entitled, “Laboratory Inventory Monitoring

System”, inventory management system main objective is to minimize the carrying cost.

Determining the importance of the best stock and time to the restoration of inventory to

meet the future demand but demand for physical goods, may be time dependent, price

dependent and stock dependent.

According to Dayday, et al. (2013), Technology today places a vital role in our

society especially in business world, with the help of the other computer technologies.

From the old inventory manual counting to computerized sales and inventory system with

SMS notification, the users can automatically and immediately receive the notification

through SMS technology. The inventory system it lessen the time and burden in search for

the inventory products and monitoring the levels of a product at all locations. And we can

see our ordered product from our suppliers, and it helps the management to monitor the

products is running out of stock, and it can secure the overall data inside the system.

According to Tapado and Delluza (2015) Inventory management system are mostly

used in company producing raw materials that used in manufacturing, and the spending is

made until the product is produced. Inventory management systems are needed in schools

because of the quality of instruction and the paper is automated system for inventory

management of the Universities and Colleges of the Country. The system also collects data

and record each employee equipment, and track its history where the equipment is on the

each employee, and automatically record its history for the inventory of the equipment.

They result will improved and effective for the performance of the inventory of the school.

According to Salvador (2016) in his study, adding the Inventory Management in

Information Communication Technology enclosing the development of the process to have

a satisfaction in every transaction that is created in a given office with inventory

management it will lessen the paperwork and will fasten the transactions.

Foreign Literature

Pontius (2018) “Inventory control systems are technology solutions that integrate

all aspects of an organization’s inventory tasks, including shipping, purchasing, receiving,

warehouse storage, turnover, tracking, and reordering. While there is some debate about

differences between inventory management and inventory control, the truth is that a holistic

approach to inventory and empowering organizations to utilize lean practices to optimize

productivity and efficiency along the supply chain while having the right inventory at the

right locations to meet customer expectations.”

Humphlett (2018) states that “ Inventory management is one of the most pivotal

areas impacted by innovation, yet one that is often overlooked and underestimated for its

value when it is time to allocate funds. But, pausing to recognize the significance of readily

available raw resources, parts and components helps managers see why investing time and

dollars in smart inventory management solutions is a critical part of keeping operations on

track and on budget.”

Danford (2013) in his study entitled, “The fact that 5S emphasizes goals like

ensuring the floors are clean, items are clearly labeled and so forth exemplifies the extent

to which real sustainable change depends on small details. It follows that in the long run,

honing in on sources of waste that aren’t always easy to measure directly can be just as

important as addressing more obvious, immediately significant concerns. With lean

principles embodied in their very design, the shop’s inventory control systems-and

particularly the software that monitors and controls them-have proven ideal for that

purpose.

Marder (2017) states that “inventory management systems track goods through the

entire supply chain or the portion of a business it operates in. That covers everything from

production to retail, warehousing to shipping and all the movements of stock and parts

between.”

Jane (2017) points out “Inventory systems are tracking systems that inform you of

the amount of raw materials, supplies or final products you have readily available. The

inventory system is updated each time you sell an item or use raw materials to create a

product, so you know what you have available for the following day or week. This type of

system also allows you to order products in advance, so you have everything you need at

all times.”

Foreign Studies

Kheng (2015) states “Inventory Management System (IMS) are widely used in

industry nowadays to increase the efficiency of item flow. The traditional method of IMS

involved a lot of paper work such as spreadsheet and order list which will be more difficult

to manage as the storage grew bigger. Therefore, inventory management system can be

computerized to further increase the efficiency of IMS”.

According to Chan, et al. (2017),”Effectiveness of inventory management is a vital

part in the manufacturing organization to be more competitive. The previous studies have

indicated that there are several factors influencing the effectiveness of inventory

management in the organization but there is lack of researchers who carried out the research

in the manufacturing small medium enterprise in Johor. Therefore, the purpose of this

research is to identify the problem of inventory management faced by the manufacturing

small medium enterprise and also to determine the factors that will influence the

effectiveness of inventory management“.

According to Leung, et al. (2016),” Inventory management policies is widely

recommend to control the stock-out in Saharan Africa, Medicines at the clinic in sub-

Sahara Africa is important for the public health with negative impact on population, death

rate because of the lack of medicine stocks and the possible reason are the financing, late

delivery by the suppliers because of the location and the road problem, supply capacity,

communication in the location of place where the clinic is located, planning method and

training, staff and the stakeholder. Medicine in Zambia is free because the Government of

Zambia, donor support and from the Lusaka’s warehouse that have 70 stores and 20

hospitals, and 1500 health clinics, some medicine have low stocks. Clinic staff can plan,

enter, and document warehouse and internal stock movements by managing goods receipts,

goods issues, storage, picking and packing, physical stock transfers, and transfer postings.”

Ziukov (2015) states “The earliest scientific inventory management researches date

back to the second decade of the past century, but the interest in this scientific area is still

great. Again considering the reliability of any process is an important feature in the research

activities. Values of some factors are very hard to define or almost unreal. In such cases,

fuzzy models of inventory management take an important place.”

A study on inventory management system conducted by Loizides (2013), cited that

“inventory management system is a software or application that tracks and monitors sales

and available inventory of a business. The Inventory Management System is usually one

of the most important and biggest financial investments a business must make.”

METHODOLOGY

This chapter presents the research design, sample and sampling techniques,

instrumentation, data gathering procedure, and statistical treatment of data.

Research Design

This study is anchored in descriptive method of research to describe the data

gathered fifty six (56) selected respondents through survey. This research design will be

applied to come up with accurate and adequate interpretation of results based on the

individual responses of Pet Clinic’s customers, staffs and the owner. Since the purpose of

this study is to improve the accuracy of the inventory system and data records, the

researchers will interpret the results to determine the efficiency and effectiveness of the

Inventory System.

Sample and Sampling Techniques

A sample in this study is fifty (50) selected respondents composed of customers,

five (5) staff, and one (1) owner of the Pet Animal Clinic and Grooming Center at Buhay

na Tubig Highway, B4 L6-B Green Villas 2, Imus, 4103 Cavite.

They will be selected through convenience technique to get an accurate data coming

from those customers.

Instrumentation

The research instrument used in this study will be the survey questionnaires. Each

questionnaire will be divided into three parts: (1) questions about the demographic profile

of the respondents; and (2) questions about the efficiency and effectiveness of the

inventory system. In addition, the comments and suggestions part of the questionnaire will

reflect each personal opinion and commentary for further improvement of the system.

Data Gathering Procedure

The researchers will ask permission from the employee and the costumers to

conduct a survey. The questionnaire will be distributed to the respondents after securing

the permit. Copies of the questionnaire will be distributed in order to gather the relevant

data. The instruments will be retrieved after they finished answering them.

Statistical Treatment of Data

To interpret the date effectively, the researchers will use frequency counts and

percentage distribution of personal related variables of the respondents, a weighted mean

will be used to determine the efficiency and effective of the Inventory System. Each

criterion is rated in a scale of one being lowest and five being the highest. The scale values,

assigned weight, and interpretation are as follows:
