Project Scope Statement

Scope Objectives

1)The main objective of the project is the successful Implementation of the

Convocation programme of NIM which is going to be held in Nagpur for the very
first time
2)A roadmap for the event has to be created for listing out the key activities

3)Then the key activities has to be divided into sub headings and weneed to
identify what work has to be done under that umbrella

4)A formal committee for each activity has to be established and a principal co-
ordinator for each committee has to be appointed to monitor the activities and report
on its progress

5)There needs to be co-ordination and co-operation amongst the groups in order to

make the event a grand success.

6)A proper layout plan is essential to make the event a grand success, like which
event is going to be held where, etc

Project Limitations and Exclusions

1)The Campus had no prior experience in holding the event. All that the faculties used
to do is to go to the Delhi Campus and watch the event. As it was the first time the
event was being held at the Central India Campus and they had no idea as to how to
go about it initially.

2)The time frame which was provided was just 81 days to plan as big an event as
convocation which is very less. Generally, it takes about 5-6 months of the entire
planning and execution of such a big event. What made it tougher was there was no
prior experience as well which made it even tougher to schedule the event within such
a limited time frame
3)The distance between the two campuses was about a 100 kms so arrangement of
transportation facilities for student’s parents, finalizing the gown supplier and
arranging for the catering facilities would be a big problem

4)The number of hours per each course was reduced from 20 to 18 to save the time
for preparation of convocation mark sheets and diplomas ready in time for the event.
By doing this, the students were deprived from getting industry knowledge from the
industry experts.

5)There was a sudden change in the schedule from Hyderabad to Nagpur of the ICC
Cricket World Cup match between India and South Africa because of political
disturbances in the city of Hyderabad. As world cup being such a major event which
is being held once in 4 years, the first preference would obviously be given to it by the
government. So the hotel rooms which were booked by Mahesh would not be
honoured which is a disadvantage.
