Steps to be taken to organise and plan the workshop
1.Define the goals
The goal is to come up as a successful business where both the artist and the organising team(us) and the learners are benefited either monetarily or knowledge wise. 2.Decide who will attend People from schools and colleges and people with special needs will be attending the workshop. If there is a much larger group then it can be divided into smaller groups for discussion. 3.Choose the right location Depending on the bookings a hall/conference room can be selected for a smaller group but if the group is large an outside location can be chosen. 4. Managing the artists We will have to organise accommodation and food expenses for the artists coming from a long way 5.Managing the Equipment needed Mikes and speakers are to be rented so that the voice of the artist reaches to all the learners. All the necessary materials and resources as asked by the artist should be provided. A projector may also be needed. Visual aids and technical support will come under this. 6. Discussions and Activities We will have to create a list of main points to discuss, and then break down each larger point into details that we want to communicate to our audience. Extensive research about the topic to be presented have to be done beforehand. We will have to take time to list exactly which group discussions and activities we'll have at which point in the workshop. How much time has to be allowed for each exercise. Making sure the activities are appropriate for the size of the group, and ensure that the venue has the resources needed to run sessions. 7. Develop a follow up plan To check whether the workshop was a success is to have an effective follow-up plan. We will create a questionnaire to give to all participants at the end of the event, and give them plenty of opportunities to share their opinions on how well it went. It could be a way to learn – and improve – for the next time.
