exhibit and talk show wherein audiences/guests will be entertained.

It is quite good enough for the exhibitors who wants to join. With it is better
because of the exposure of their travel agencies where the travelers or people will
know what’s the better place where it needed.

We will be responsible in terms of their needs and suggestions. Also the arranging

Duties and Responsibilities

Event Director

 Development, production and delivery of projects from proposal right up to


delivery.
 Delivering events on time, within budget, that meet (and hopefully
exceed)expectations.
 Setting, communicating and maintaining timelines and priorities on every project
 Communicating, maintaining and developing client relationships
 Managing supplier relationships
 Managing operational and administrative functions to ensure specific projects
are delivered efficiently
 Providing leadership, motivation, direction and support to your team
 Travelling to on site inspections and project managing events
 Being responsible for all project budgets from start to finish.
 Ensuring excellent customer service and quality delivery

Programme Coordinator

 work with staff members, budgets, and procedures to ensure the
implementation and success of programs.
 You'll monitor your staff members' workloads and hours, coordinate their
schedules, and plan their time off.
 You'll be in charge of tracking as well as monitoring program budget
limitations. In addition, you'll make sure program plans stay within time
constraints and deliver it successfully

Venue Coordinator

 Identifying Autscape's requirements for a suitable venue


 Co-ordinating the selection of a suitable venue including ensuring that the
venue meets essential requirements
 Co-ordinating communication with the venue and reporting back to the
board
 Checking that necessary administration in relation to the venue is carried
out (including booking, contractual arrangements and payment)
 Keeping records of information related to the venue
 Collecting information relating to accommodation and room sharing, meal
provision and other venue-specific information from participants
 Overseeing the allocation of accommodation to individual participants
 Communicating information about the venue to participants
 Gathering feedback about the venue from participants
 Recruiting and supervising 'site managers' for Autscape
 Checking with other board members to identify legislation relating to the
venue and checking that Autscape complies (e.g. health and safety)

Equipment Coordinator

 Construct and Manage the Equipment

 Undertake the responsible care of all equipment to ensure safe working


condition

 Recommend repair / replacement as required

 Coordinate sales force promotions stimulating performance and produce


incrementally.
 Assist in development and implementation process for sales force promotions.

 liaising with suppliers such as florists and external caterers

 arranging security and advising on health and safety

Merchandising Coordinator

 Responsible for the supplies like souvenirs or giveaways.


Monitor all sale campaigns and prepare designs for all merchandise plans.
 Develop budgets for all commercial merchandising projects.
 Coordinate with category manager and vendor and resolve all pricing issues.
 Manage and provide updates on modern system for technical systems.
 Manage all client issues and ensure effective resolution for same.

THE SECRETARIAT

The secretariat is responsible for coordination and management of each activity


related to the event. Preparing mailing list in coordination with the organizers
routine correspondence. Booking arrangement for the venue and hotel
accommodations and transportation. Preparing conference program with the
assistance of committee, planning /Coordinating opening/ closing ceremony,
Planning and coordination Social and Cultural Events and Accompanying Person
Program, Coordination with support agencies to ensure completion of the job
within time schedule. Assistance in preparing event budget, handling pre-
convention account, Convention accounting, complete management of
accounting, extra manpower, equipment’s etc. Post event account management,
Management of the budget to ensure that there is no over-expenditure and
designing of Conference brochures.

6.Scope of work: It is hereby agreed to and understood that The Quezon Trends
Agreement, I The Quezon Trends will provide the following services: (Input
scope of services here)

7.The total event planning fee agreed upon is Php671,686.25 . A non-refundable


reservation fee Php100,00 is required to secure D’side Event Services for the
event. This amount shall be subtracted from the event planning fee. The
remaining balance of the event planning

fee must be paid in full BEFORE the start of your event (unless other
arrangements are accepted by . D’side Event Services. Any payments received
less than 2 weeks before the event must be by cash. Personal checks are
accepted up to 2 weeks before the event. All checks shall be made payable to
Ms. Andrea Javillo

8. D’side Event Services represents and warrants to Client that it has the
experience and ability to perform the services required by this Agreement; that it
will perform said services in a professional, competent and timely manner; that it
has the power to enter into and perform this Agreement; and that its
performance of this Agreement shall not infringe upon or violate the rights of any
third party or violate any federal, state and municipal laws. However, Client will
not determine or exercise control as to general procedures or formats necessary
to have these services meet Client's satisfaction.

9.This agreement of to perform shall be excused by acts of God, or any other


legitimate condition D’side Event Services. If such circumstances arise, all
reasonable efforts will be made by The Quezon Trends to find comparable
replacement event planning at the agreed upon fees. In the 142 Cabunag St.

unable to procure a replacement, Client shall receive a full refund of all fees paid
to D’side Event Services. Client agrees that in all such circumstances, The
Quezon Trends liability shall be exclusively limited to refunding the fees paid and
that The Quezon Trends shall not be liable for indirect or consequential
damages arising from any breach of this contract.

10.In the event of non-payment, D’side Event Services retains the right to
attempt collection through all legal and permissible means. Client will be
responsible for all court fees, legal fees, and collection costs incurred by D’side
Event Services

11.It is further agreed to and understood that Client shall be charged Php500 for
each returned check plus a Php1,000 service charge for each collection notice.

12.It is agreed to that Client will take reasonable steps to protect D’side Event
Services personnel and equipment during the contracted period. In the event of
injuries or
damages resulting from insufficient protection on Client’s part (except in the case
of gross negligence on the part of I D’side Event Services), Client will be
responsible for

Paying for all of Yves Gene Decillarico Special Events resulting costs (including,
but not limited to, insurance deductibles, medical treatment) that are not
reimbursed by insurance.

13.This agreement cannot be canceled except by mutual written consent of both


the Client and The Quezon Trends. If cancellation is initiated by the Client in
writing and agreed to by D’side Event Services in writing, Client will be required
to pay any unrecoverable costs already incurred by D’side Event Services (but
not more than the total fee agreed upon).
14.Client shall pay any charges imposed by the venue. These charges may
include, but are not limited to, parking, use of electric power, etc.

15.It is hereby agreed and understood that the laws of Philippine Client agrees
to defend, indemnify, assume liability for and hold D’side Event Services
harmless from any and all claims, demands, damages, losses, suits,
proceedings, penalties, expenses or other liabilities including attorney fees and
court costs, arising out of or resulting from the performance of this contract,
regardless of the basis (except for gross negligence on the part of D’side Event
Services )

16.Client may not transfer this contract to another party without the prior written
consent of D’side Event Services

17.This agreement is not binding until received and signed by D’side Event
Services
