The 1st transnational project meeting Date: 21st – 24th November

- All teams agreed on writing minutes = each country is responsible for their own minutes
writer in the hosting county and the minutes will be given to the main coordinator
- All teams agreed on the order of the mobilities In the following order:

1st mobility – Greece (23rd- 28th April, 2018)

2nd mobility – Sweden (24th- 29th September, 2018)

3rd mobility – Slovakia (the dates will be specified in Greece)

 Teams identified main risks in the project:


The language – the level of English of the students was concluded as satisfactory by all the
participants.
Availability during email communication – all the communication should be conducted in
advance to avoid non-realistic deadlines (it’s essential to answer as soon as possible, but it’s
acceptable to wait few days if the issue isn’t “dead serious”).
Planning – the activities and the important things, such as transport and accommodation
must be planned ahead of mobility.
 Teams agreed on the content of the project and on the way how they are going to fulfil the
aims of the project (which will be shared by PowerPoint presentation).
 All stages of the project were presented - creating content, performing the content,
workshops for teachers and students, feedback, involvement.
 The main coordinator presented the ways to blend SCIENCE and LITERATURE – stories with
scientific topic or references working with stories. The Greek and Swedish teams proposed
the improvement – the SCIENCES should have some common feature – WATER in any form.
Slovak coordinator agreed that having one umbrella term will make the general project idea
more comprehensible for students. Another proposal, that the stories should be only
detective stories, was not accepted, since we agreed that it might be too restrictive for
students to have two such restraints.
 The ways to blend the literature and science were introduced and proposed – writing a brand
new story, adapting an original story, making the use of national folk tales
 Possible risks for students were introduced and discussed
 Possible risks for teachers were introduced and discussed
 Possible resources were presented
 Slovak teams said they are going to make a selection of students in groups of 4. Every
country is responsible for their selection process, though.
 The main criteria are:
- Every student must provide accommodation and meals when hosting foreign students
- Every student must contribute on project activities
- Students in Greece shouldn’t be older than 17
- They should be balanced groups of students based on the requirements of the project
- Age of the participants was discussed in regards to the time span of the project (2 years),
agreed age was from 14 – 17, the Greek team expressed some doubts about the
appropriateness of matching too young students with for example 3 years older peers.
Slovak and Swedish team has generally a bit older students than Greek one. All agreed that
they will do their best to select and match the students according to general needs.
However, we cannot guarantee that there will occur some complications regarding this, so
every team must let their students know in advance about that. Gender matching – all
students are aware that they can be matched with the student of opposite gender, however
we will do our best to match them according to their matching cards to everyone’s
satisfaction (28 students altogether par country)
 Matching cards – forms will be filled with the information about students involved in the
project (name, surname, age, gender, interests, hobbies, preferences, diets, allergies
 Selection process of teachers – each country is responsible for the criteria for the selection
process of the teachers in accordance to the project requirements
 Agreed number of teachers for the mobilities:
 To Greece:
3 teachers from Sweden plus national coordinator
3 teachers from Slovakia plus national coordinator
 To Sweden:
3 teachers from Greece plus national coordinator
3 teachers from Slovakia plus national coordinator
 To Slovakia:
2 teachers from Sweden plus national coordinator
2 teachers from Greece plus national coordinator

 Meetings for the coordinators should happen within two days of the each mobility because
Swedish coordinator has too many projects to handle and it’s not too effective for her to be
present all week long as she doesn’t participate on other project activities as a non-teacher,
which is different from Slovak and Greek national coordinators who are also teachers and
will help with arranging the rest of the stuff that need to be done during mobilities at home
and abroad.
 Agreed dates for the mobilities
Mobility to Greece – 23.4.2018 to 28.4.2018 (travelling dates – 22.4. 2018 and 29.4. 2018)
Mobility to Sweden – 24.9.2018 to 29.9.2018 (travelling dates accordingly)
Mobility to Slovakia – spring 2019 (to be agreed on)

Common agreements during mobilities were discussed and agreed on:


 lunch, supper times – according to the country’s habits that mobility happens in
 bed times – reasonable times according to the schedule
 duration of seminars – 2 days for 2 seminars, 90 minutes each
 non-smoking restaurants are preferred
 welcome dinners – paid by hosting country
 local transport – shared costs
 local activities (tours, guides) – shared costs
 students’ expenses - based on the family they stay with
 students should be instructed about possible situations that may occur in regards to the
difference of cultures and moreover in differences between individual families

Activities during mobilities

- short-term joint staff training events – the content was presented and agreed on, each
country was presented what is expected from them, each country agreed on topics and tasks
they were assigned

- group work on tasks - duration of the activities is not specified


- public event organised by students – place for the event – preferably not happening in school
in order to change the environment and the feel about overall thing (hosting country
responsible for choosing place), there should be some catering (snacks, etc.) provided by
students to participating students (and teachers), the content should be somehow project-
oriented, but It doesn’t apply to 100% of program – students may invite anyone.

- students’ committee – provides the feedback, evaluation, talks about pros and cons, next
plans, etc.

- business plan – one common business plan for all the participating countries was agreed on
(major work should be done during Swedish mobility), it’s only logical because every
countries’ public event will have the same features so there’s no use to make it
independently, what’s event better because students will work together in mixed groups

- issuing document – Slovak coordinator is responsible for preparing EUROPASS MOBILITY


documents – electronic version of certificates was agreed on (e-certificates) – the document
must contain signature of the relevant person, stamp and everything that is typical for such
papers

- platforms used in dissemination were presented (eTwinning, WEEBLY, etc. see presentation)

- local media – presentation of the project to the public, YouTube channel, closed Facebook
group for the participating teachers will be used

- during mobility each country brings and presents an introductory video (2 – 5 minutes)
about school and the country they are from

- logo – students will design and there will be competition (national teams will vote for the
winner)

- template for the banner – Slovak coordinator – responsible

- to keep all the worksheets the student produce in regards to the project

OTHER AGREEMENTS

Main coordinator is going to make a timetable that is going to be shared with the rest of the
participants.

The first dinner is paid by hosting country. There are two common dinners arranged that every team
will attend (the first and the last one) and there will be more freedom at lunches and dinners as we
agreed that sometimes after all day long activities some of the team members might need rest or just
go to eat on their own. The hosting country will provide the list of restaurants and places to go in
order to propose some nice places to go.

There is one day with no main program so the teachers can do some activities they would do on their
own or their students and colleagues.
There will be one sightseeing day (connected to the topic WATER + art or environment) arranged by
the hosting country. The travel expenses will be shared between all countries. In case there are some
tickets, participating countries pay on their own, including students from the implementation
budget. Hosting country should let other countries know in advance what kind of activities are
planned (especially with focus on money) to avoid inconveniences. Countries should approve the
amount of money they are going to spend in advance via emails.

Each country will have to bring and present two pieces of their content ready (short films, plays,
reciting or singing) and present them during the mobility (public event).

The Swedish coordinator needs to be on mobility for 2 days (roughly) so we have to adjust the
program accordingly.

There will be:

- Creating content day


- 2 teacher training days with accompanying activities in mixed groups with supervising
teachers/trainees
- 1st “official” day – meeting local authorities, headmasters/mistresses, opening ceremony (not
public event), city/town guide tour, treasure hunt, whatever that will help teams to better
know each other (ice-breaking activities)
