Position Administrative Assistant

Faith and Justice Network is an apolitical, nonprofit and Christian Institution base
Administrative Assistant
in Monrovia, Liberia. It has Christian goals and objectives and operates
according to Christian Ethics and Moral Principles.
Faith and Justice Network is recruiting Administrative Assistant who will provide
administrative and clerical services in order to ensure effective and efficient
operations at the Regional Secretariat of the Faith and Justice Network (FJN),
based in Monrovia, Liberia. The administrative Assistant shall carry out his/her
duties at Monrovia General Secretariat of the Network on 24th Street, Wroto Town
Junction, Sinkor.

Job Summary:

She/he will provide administrative support to ensure that the Regional Secretariat
operation and coordination are maintained in an effect, up to date and accurate
manner. The Administrative Assistant will support managers and employees in
daily office needs and manages FJN’s general administrative activities. The
administrative Assistant is likely to provide required support to the Network in any
other field.

Responsibilities:
 Type correspondence, report and other documents
 Maintaining the achieves of the Regional Secretariat files and orderly and
accurately maintained
 Handle administrative request and queries from senior staff
 Organize and schedule daily appoints for the Regional Executive Directors
and other senior staff members
 Open and distribute internal mails to offices/team members
 Maintain confidential records and files at the Regional Secretariat
 Plan meetings, maintain records of all major decisions , press releases ,
communiqué
 Take minutes, translate, produce, edit and circulate meeting minutes to
participation member organization.
 Receive telephone calls and perform reception duties, as needed, in a
professional and courteous manner;
 Handle logistical arrangements for meetings and workshops i.e., preparation
(printing/collating) of training materials, request for workshop supplies,
arrangement of travel and lodging accommodation of participants, request
for cash advance, as applicable and necessary;
 Provide support to the project in producing and delivering letters and other
correspondences, preparing basic tables and graphics, as needed, and in
the reproduction and assembling of reports;
 Assist in the collection/collation of data or information needed in the
preparation of reports, as necessary, particularly collection of attendance
sheets from events and meetings;

Qualifications Qualifications and Requirements:


Bachelor Degree in English, Computer Science, Secretariat Science or any
of the Social Sciences or above in related field, more education and
experience is generally preferred.
At least 2 - 4 years working experience as administrative assistant, preferably
with NGO.
Skills & Abilities:
 Excellent knowledge of MS Word, PowerPoint, Excel
 Ability to multi-task
 Ability to listen and communicate well both verbally and in writing
 Ability to work independently
 Attention to detail and accuracy
 Effective verbal and listening communication skills
 Attention to details and high level of accuracy in receiving instruction
 Computer skill-Making Graphic designing , headers, endnotes, endnotes
and automatic numbering on all reports
Personal Attributes  Be honest and trustworthy Christian in good moral standing
 Be respectful and diligent
 Demonstrate sound work ethics and Christian Moral Values
