DRAFT PROPOSAL AGAINST GIVEN STATEMENT OF WORK

Architect’s Brief

The SOW provided by the IMF (“The Client”) has been reviewed by the design team at Farq – Architects
and Interior designers (“The Consultant”) in thorough detail. Please Review below a draft proposal
outlining the timeframes and fee structure for accomplishing the provided scope of work. We propose
to divide the execution of the scope of work into a few stages. This implies mainly a sequence of works
staging through design conceptualization to the delivery of the finished project.

1. Design phase

The project after being awarded to the consultant will begin with the commencement of the
design phase. This phase includes the mobilization of the architect’s primary skillset. The
following points are for primary consideration.

 The main design problem has been identified by the client as the need to accommodate
a server room and a security guard desk. This issue is to be addressed with two different
layout options. It must also be noted here that ‘layouts’ are only sectional floorplans in
2D (top down) view. One such plan was provided earlier by the consultant. Such layout
drawings can be used to show furniture layouts, plumbing layouts, mark floor finishes
and scheduled openings (doors and windows).
 Other design requirements that can be fulfilled by the consultant include the following
drawings:
 New construction
 Reflected ceiling plan
 Lighting plan
 Electrical and data plans

 Plumbing plans
 Firefighting and safety layouts
 HVAC layouts
 Furniture layouts

New construction drawings will be made for any changes required on site as per proposed design. This
could be due to either the proposed demolition or the addition of new spaces, structural members or
design elements.

Reflected ceiling plans are meant to provide details for ceiling finishes and/or ceiling design if required
by the client.

Lighting plans are slightly different from reflected ceiling plans. Where reflected ceiling plans are
focused on the design and finishes of the ceiling, lighting plans are mainly meant to show connections
between lights and switchboards.

Electrical drawings will be provided to show details of electrical layouts, switch boards, power points
and distribution board placements.

Data plans are a set of/single drawing/s showing the layout of data points. This will be in collaboration
with the IT team from the client’s end.

Plumbing plans will provide for the placement of plumbing fixtures, drainage layouts, etc.

Firefighting and safety drawings provide in most cases, layouts for firefighting water supply, sprinkler
systems, placement of firefighting equipment and other solutions such as the placement of emergency
signs and lights as per the requirement of the client.

HVAC layouts will show the distribution of airflow and the placement of indoor/outdoor AC units. We
recommend a new and more effective HVAC system known as VRF (Variable refrigerant flow). A VRF
HVAC system features several small air handlers that can be individually controlled and piped back to
one system.

Furniture layouts will be 2D floorplans showing the placement of furniture and/or the reuse of existing
furniture. Other decisions pertaining to the design of new furniture will be as per the recommendation
of the consultant.

Should the client require any other infrastructure drawings, they may specifically mention to the
consultant.

 3D Renderings (3 instead of 2) will be provided in order to fulfill the client’s requirement of


being able to view 3 different finish options. Should the client feel the need for any additional
renderings, the may request the consultant to produce accordingly.

We can divide the project design and implementation into 4 stages in terms of deliverables and order of
priority. These are as shown in the following table.

4 Agreement signing, Finalizing 5 days


the contractor and mobilization
of work on site.
5 Construction work /design 45 days

Note: The above mentioned schedule is valid only if the client mobilizes the consultant before the end
of February.

Responsibilities of the consultant

The consultant will be responsible for the following tasks throughout the course of the project.

1. Preparation and implementation of work schedules.


2. Approval/selection of materials.
3. Providing shop drawings where necessary or required.
4. Checking and ensuring that execution work being done by the contractor is as per drawings.
5. Coordination on site and liaison between client and contractor.
6. Providing the client with progress reports once a week or every 10 days.
7. Taking photographs before/after works have been executed.
8. Approving the specifications of selected materials and verifications of technical data.
9. Ensuring site safety measures and regulations for labor and staff etc.
10. Verification of quantities on site.
11. Bi weekly visits to the site.

The client will provide a liaison to assist with the coordination between the representative office and the
MoF building administration, in order to receive clearances etc.

Remuneration to the consultant

The consultant will charge a fee chargeable @15 percent of the total project cost. However since the
final project cost can be determined only after the completion of tender documents and contractor bids,
the client will be required to pay a mobilization sum of Rs.200, 000 /- adjustable against the total sum
due to the consultant as per percentage of cost.

The consultant will receive this amount along with the warded contract and commence the design
phase.

Once the construction contract is awarded and the contractor is approved, the client and consultant will
in written instrument agree upon a payment schedule for the remaining payments to the consultant and
the payment schedule for the contractor.

Rest assured all points have been understood from the statement of work provided by the client.

Should the client wish to discuss anything pertaining to this proposal or add to/subtract from it, they
may feel free to discuss their concerns at any time.
