With pleasure I am placing before you this report titled as “Job internship”.
I express my sincere thanks to my external guide Mrs Khanika, Accounts admin at Difesa
security services and heartfelt gratitude to Dr.Mahesh M Vanjeri department of management
SDMCET Dharwad, for his excellent and inspiring guidance and suggestions through the
report work without his inspiring encouragement it would have been not possible for me to
bring out this report and giving us this opportunity, because it had been a very good attempt to
educate the youth regarding the report in a practical way.
I am very much grateful to Dr.Prashanth C (HOD of the Management studies) and I would like
to thank all my family members and friends who stood with me in my all times for providing
necessary infrastructure facilities for preparing this report work.
EXECUTIVE SUMMARY
This report provides a detailed view on my experiences as an intern, working with Difesa
Security Services.
The report highlights objectives with respect to services provided by the company. It provides
a brief introduction about the company in the first part like which service they provide to
employees. The report also provides ways to address detail introduction about company
services providing various department like Army, Police, and Air force employees to attain
better life.
I successfully completed all the assigned duties like salary sheet preparing, billing, HR work,
data entry and other work and handed them over to external guide at the end of the internship.
I thoroughly enjoyed the challenges that came along every single day.
In third part detail view about the work assigned to me during internship time how billing work
done and salary sheet of the employee with detailed information relating to all work.
In fourth part it contained detail view of method which had adopted to do the work during
internship and adopted finance calculation.

I was able bring some minor improvisation during my internship and these along with lessons

DSS mostly young people from the civil, who are imparted training, required in the
performance of their duty. DSS function strictly as per the Standing Orders or the directions
given by the Security Officer on behalf of the management. A guard is deputed to ensure the

1. Through Gate Control i.e. entry/ exit points and by patrolling of parameters of the enterprise.
2. By checking any unauthorized entry.
3. By observing, checking and reporting any matter that could affect the security of an
enterprise.

4. Relevance of job to the organization
Billing
All bills are not same; I had prepared the customised bills which can helps to clients. In fact
implementing a billing system in company is very essential part. Importance in creating of
transparency between the organization & the customers. As well as administrative control in
the organization, additionally the automation of the entire process also ensure a reduction in
error, one more importance of billing is business practices is too significant to simply be
overlooked. Billing is nothing but the process of preparing or sending invoices to customers.
DSS follows the computer based billing system and billing provides many facilities to the
people working through it. In the billing process one simply have to add the information into
the data base and all the calculations are done by the billing services provider itself. It handles
all the data merging, copying from the sources and application of different formulas on it to
get the required results for the company.
Bills by DSS have its own format and it contains clients (Institutes) details guards’ id number
and there working hours, GST (CGST &SGST) DSS address and contact details and DSS logo.
SALARY SHEET
Salary sheet is also called as payroll sheet. One of the important part in the organization, unless
there is a pay rise or someone of payment or business kind of applications is considered as very
important for any formal organization. Here also it plays a vital role in the company. This is
the proof of the salary that a person draws from the employer. Apart from salary sheet can be
an important document when an employee’s applies for loan or any mortgage. Without
maintaining salary Sheet Company not able to move on and does not pay salary to their
employees’ so salary sheet is playing an important role in the organization. Salary sheet by
DSS contains employees rank, rank it indicates guards, super wiser guard, field officers,
housekeepers, lady guards and their names, working days, rate of wages, basic/DA, leaves, w/a
washing allowances OTS (other allowance), salary payable, uniforms charges, PVC (police
verification certificate) charges, advance PF (physical fitness certificate), ESI (Employee state
insurance), total deduction and net wage. Issuing of ID cards and uniforms to employees is also
important part in the company.

Sending quotation
It helps to customers to know the services of the company and also service charges. Sending
of quotation through mail to clients is a like promotion of services which can provided by
company automatically it is relevant to the organization to increase its customers.
Every person in the organization needs there id cards especially field officers and guards should
have their id cards and maintaining of id cards by DSS is only reason is maintaining of
discipline, identity and as well as image of the company that’s why issuing of id cards is
important to the company.
By PF and ESI company gets good impression by clients and as well as by employees’. It
maintains their employees’ future wealth by ESI and company get employees’ physical
strengths details by PF. It is relevant to the company and very essential part of the company
because DSS is purely service based company so for that to assisting employees’ in preparing
of PF is helpful to company. ESI is facility by government to employees, even though its
government facility but DSS only takes its responsibility of preparing, sending process.
Other than above work, taking uniform orders and sending order details to tailor, providing ID
numbers, data entry, Transferring of bills, preparation of pay direct wages sheet and also as
well as work related providing bank applications and ATM cards to employees is very
important to the company to move on in the proper

5. Methods adopted to do the job
FINANCE
A. Preparation of Bill
Inputs required:
It includes the duties of guards, supervisors, lady guards and numbers of guards,
supervisors, lady guards and per month salary amount by rank wise.
Process:
In the company bill format I had inserted project name (Project name is nothing but name
of the unit) number of duties of employees and number of employees, per monthly salary
of employees as per their ranks. Then number of employees multiplied by monthly salary
if employee is supervisor per month salary is 19000 if guards 16000, if lady guard 9000 to
10000 then I got total salary amount for the employees and added the CGST 9% and SGST
9%(GST19%). Added the tax and total salary of the employees and got the grand total that
is the final bill.
Output :
After preparing bill I had submit it to MD, get sign and took 3 copies of the bill 1 for clients
1 for our company and 1 for auditor.

B. Preparation of salary sheet
Inputs required: Attendance sheet of employees
Process:
Through the help of employees attendance sheet I inserted the name of the
units, employees ranks, employees ID numbers and as well as their names in the company
salary sheet format.
Number of working days and rate of wages of each employee, basic/ DA, Miscellaneous
charges, Uniform charges, if advance is given that advance Fine, ESI, PF. I inserted in excel
sheet. Then I inserted the formula in excel sheet, rate of wage is different for different
employees.
By using excel sheet I had calculated the salary of employees
To Find the Basic allowances of the employees which I applied the below formula
To find the total Deduction & Net wages I applied below formula
Miscellaneous charge + Uniform charge + Advance + Fine +PF (Physical fitness certificate

With the help of excel sheet I had prepared the different units salary sheet of DSS company.

General HR Work
Receiving of applications by new employees, work related to PF and ESI after application of
employees in our company PF format, I had given that letters to employees and insist them to
fill their physical fitness details certified by the doctor. Then I collected those certificates from
employees and verify the details.
I logged in the employee registration website by the government with the DSS mail ID. I gone
through the Register new IP (insurance policy) link and I filled the some basic details of the
employees once after filling those details I had received the code for each employee and
including that code I had register in company ESI details folder. After that should send to
government.
I had given Bank applications and ATM’s to new employees and who all are not took, if they
did duties from the last 2 to 3 weeks to those employees. And also insist them in filling that
application.
I had given ID cards to new employees and also u who already joined, who got their ranks for
updated ID cards. And also took the uniform orders from the field officers and sent that
information to garment.
Other works
Data entry: Entering of old pending employees details in the registrar book and in PC also.
Preparing and sending quotation to clients: In DSS it has different services mentioning of
those services and their charges I had prepared the quotations and send to clients to who are
asked for the quotations and to whom MD suggested.
Sending pay direct activity details required co., and to auditors as per MD suggestion
and other office related work : Pay direct details written format and salary sheet and
attendance statement of employees I had sent to by taking sign by Managing director.

6. Achievements
I. After joining the Difesa Securities Services I had sent 9 quotations of the company
among them 4 of the clients replied and I gave the information about services and 3
of clients placed the service order letter to company at the end of my internship. Our
company MD satisfied with my work.

II. DSS Managing Director gave permission for SIP and also told me, I have opportunity
to work in their company he orally told to join his company and told me to remind after
my MBA.
III. For one month of the job internship I had received Rs 5000 voucher and job
internship certificate

7. Learning experiences
As student of management education I was able to understand following key points during my
involvement in above program
In this internship gained good knowledge relating to the work which i done in the
company.
Learnt good professional communication with manager and co-worker.
Always work hard even if i get small task and it help to build a good work ethic, and
company people notice my effort in work.
I have become more punctual and confident enough compare to previous in my attitude
I was able to connect my classroom learning from subject like accounting and HR to
real life situations. This helped me to appreciate the subject at much higher level.
