Procedures and Policies During Quarterly Tests


1. Test drafts with keys to correction, pointers to review and table of
specification (TOS) are submitted to the principal at least 7 days before the
schedule of tests.
2. Follow the format in encoding:
a. Font size 11 or 12
b. Font style – Century Gothic
c. Long bond paper
d. with page numbers (e.g. page 1 of 3, page 3 of 3, end of test)
e. Don't include the logo and the name of the school.
f. Indicate on the upper left corner of the test paper, the day the test
will be given (e.g. Day 1, Day 2, Day 3)
g. margins: .5 inch
3. Make sure all the items in the Quarterly test have been fully discussed a
week before the test. NO CRAMMING Please!
4. Review in the classrooms in the form of games or contests is not allowed
since it will create noise.
5. Giving of quizzes, performance tasks, unit tests and other summative
assessments is no longer allowed during the examination week.
Unit test is given only at the middle of the quarter. Items given in the unit
test should no longer be included in the quarterly test.
6. Give the pointers to review a week before the test. They should be detailed
and not just page or chapter numbers. Don’t include the type of test.
7. The teachers should be the ones to print their tests in the custodian’s office.
Don't allow/ask students to print. Make sure that copies of the test draft
won’t be left in the printing office.
8. During the examination:
a. Test papers will only be issued by the custodian to the adviser on the
day the test will be given.
b. Tests in the building are synchronized. Everybody is required to follow
the schedule strictly. Do not give extension, unless allowed by the
subject teacher. In such a case, all sections should be informed.
c. Chairs should be arranged in rows and columns, with the leftmost,
rightmost chairs and chairs at the back only an inch away from the
walls. They should be spread uniformly around the room and properly
aligned.
d. All other materials not needed for the test should be placed in front
of the room, under the whiteboard.
e. Students are required to use a clean long folder to be used as cover.
After the test, these folders should be kept by the advisers.
f. After distributing the test papers, make sure all the students have
checked the completeness and clarity of the test papers. Then pass
the stapler.
g. If a student is absent, write his/her name on his/her test paper. Then
submit the test paper to the guidance office.
h. Remind the students that the school has a policy in giving special
exams ― only for those with valid reasons. (Refer to the students’
handbook)
i. Once the test has started, students are not allowed to go out of the
room. If he has to go out, he has to submit his paper and can no
longer continue with the test.
j. Students are not allowed to go out and ask the subject teacher for
clarification. The proctor has to summon the corridor monitors to ask
the subject teacher.
k. If a student has a question about the test, he has to raise his hand
and the proctor will be the one to approach him/her. The students
have to remain seated while the test is going on.
l. Corridor monitors are assigned to assist the proctors. They have to
take an early snack so that they can monitor the corridors during the
students' snack time.
m. Proctors should be STRICT and VIGILANT during the test. They are
expected to closely monitor the students. They are not allowed to
work on other things while the examination is going on.
n. Female students are required to tie their hair and pull them back. This
policy applies to both Junior and Senior High School female students.
o. The following are not allowed: borrowing of any materials, talking to
or looking at classmates and making unnecessary noise.
p. Students are also not allowed to review in between exams. But they
may review during recess.
q. If a student or a section finishes the test ahead of the others, they will
not be allowed to leave the room. They still have to wait for the
ringing of the bell.
r. Use of class pass should be strictly implemented especially for those
who will finish the test early so that loitering will be prevented and
silence will be maintained.
s. Always remind the students to be honest and to behave well.
t. After each test, the proctor should count the test papers before
starting the next test or before dismissing the class. The test papers
should be given personally to the respective subject teachers. Have
her/him count the test papers.
9. After the quarterly tests, checked test papers should be distributed to the
students to be brought home and signed by their parents, unless there are
absentees who would still have to take the special exams. The test papers
should be retrieved the following school day and checked if they have
been signed by the parents. They will be kept by the subject teachers.
