5S is a system for organizing spaces so work can be


performed efficiently, effectively and safely. 5S
began as part of the Toyota Production System, the
manufacturing method begun by leaders at the Operational Quality
Efficiency
Toyota Motor Company in the early and mid 20th Excellence Excellence
century. 5S involves assessing everything present in a
space, removing what’s unnecessary, organizing
things logically, performing housekeeping tasks and
keeping this cycle going. Organize, clean and repeat.

SORTING o Remove unnecessary items from workspace. Place red tag for unnecessary items

o Categorize equipment, materials and chemicals in working place into 3 categories like
necessary, unnecessary and may not necessary
o Store away anything that is not immediately needed
o Separate required materials and instructions from those that are not needed
o Review what remains. This step reduces clutter, open space and provide clarity
o A place for everything and everything in its place SET IN ORDER
o This phase ensures all team members know where and how all tools and supplies are
stored. Arrange things properly, so each item needed can be accessed quickly and easily

o Organize all equipment, files, data and materials for quick, easy locations and use
o Ensure labeling, numbering and zoning for clear identification of storage areas to keep
necessary items
o Set necessary items matching with workflow to minimize unnecessary movement and
transportation time

SHINE o Everything must be clean, tidy and neatly put in its appropriate place

o Cleaning the workspace helps everyone feel more productive. Identify and eliminate
causes of dirt and grime
o Bring the workspace back to proper order by the end of each day
o Make sure periodic cleanup. Identify responsible person for clean up
o Ensure establishment of cleanup methods (tools & checklist) and periodic inspection
o Set new standards for cleanliness and things are kept clean
o Implement work instructions, standard operating procedure and checklist STANDARDIZE
o Engage the employees to systematically perform step 1, 2 and 3 as above daily to
maintain the workplace in perfect condition as a standard process
o Employ color coding for waste segregation
o Establish schedules and set expectations for adherence
o Create habit for accomplishing tasks can ensure things are done properly and efficiently
every time

SUSTAIN o Integrate the 5S methodology into the performance management system

o Make an effort to develop a culture that follows 5S steps both today and long into future

o Build organizational commitment so that 5S become one of your organizations values and
everyone develops 5S as a habit
o Ensure periodic walkthrough inspection / audit with posted results and 5S performance
measurement of workgroups
o Appreciate, recognize and reward on good 5S activities. Provide refreshment training
periodically
