Acrobat Pro X Quick Start Guide

Adobe Acrobat Pro X is software that allows you to create and edit PDF documents. PDF stands for
Portable Document Format, which is a global standard for sharing documents on nearly any computer.

1) Opening Acrobat Pro X and navigating around a PDF

To open a PDF for viewing or editing in Acrobat Pro X, launch Pro X and click on the Open button in the
welcome box that appears.

You will also have the option of creating a PDF. PDFs are
not designed to be created from scratch, but rather from
an existing document. Generally, you will create a
document in a program like MS Word or Adobe InDesign
and publish it as a PDF within the original program. You
will then be able to view and make simple edits to the
PDF within Acrobat Pro X.

Once your PDF is open, you can use the navigation tools at the top left to move around your document.

2) Rearranging, inserting, extracting, and deleting pages

To rearrange pages in a PDF, open the Page Thumbnails panel on the left edge of the
screen. You can click and drag the thumbnail of a page to move it to another location
in the document.

To rotate a page (sometimes, especially with pages in landscape orientation,
a page will display on its side), bring the page up on the screen and go to the
Tools Panel on the right side of your screen. Choose “Pages” and then “Rotate.”

To delete a page, first click the thumbnail of the page you want to delete in
the Page Thumbnails panel on the left edge of the screen. Then click “Delete”
in the Tools Panel on the right side of your screen.

To extract a page, or pages (which pulls out a page or range of pages and
makes them their own PDF document), click “Extract” in the Tools Panel.

You will be prompted to enter


the page numbers to extract.

To insert an entire PDF file into your current file, use “Insert From File” in the Tools Panel. All the pages
from the file you select will be placed in your document.

You can insert a blank page by using “More Insert Options”


in the Tools Panel. You will be asked to specify where in the
document you want to place the new blank page.

3) Changing and inserting text

PDFs are not designed to be easy to edit; if you have the original document, it
is better to edit it in its original program. However, it is possible to make simple
edits to a PDF. To edit the existing text, go to the Tools Panel on the right and
choose “Content” and “Edit Document Text.” Then click on the text you want to
edit; a cursor will appear and allow you to type, delete, etc. When typing, text
does not automatically wrap to the next line; you have to press “Enter.”

You might or might not have the original font of the document available on
the computer; Acrobat Pro X will give you a message if you don’t. You will not
usually be able to change the font face of the text that is already in the document.
Most of the time when you try to do this, you will get a message that there is an incompatibility with
font encoding. That is because when most programs export to PDF, they encode the fonts and it's not
like working with a regular font like in MS Word. If you want to change to a totally different font in a
PDF, you will generally have to delete the old text and type new text and change it to the new font.

To change the look of the new text you have typed, first
highlight the text and then right-click on it. Choose
“Properties” from the menu that appears, and you will be
given a dialog box where you can change the font face,
size, and color (which Acrobat Pro X calls “Fill”).

To insert a completely new box of text, separate from what is already in the document, go to the Tools
Panel and choose “Content” and “Edit Document Text.” Then hold down the Option button on the
keyboard and click wherever you want the new text to go.

It will ask you to specify a font, and once you do, you can just start
typing and it will create a text box for you as you type.

You may notice a second way to add a new piece of text to a PDF: the “Add
or Edit Text Box” command in the Tools Panel under “Content.” This will
add a new text box, but the text that is added is considered by Acrobat Pro X
to be a comment. A person reading your PDF could go to the “Comment”
Panel on the right side of the screen and choose to hide all comments in the
PDF, and then your new text would be hidden from view. If you want text
that cannot be hidden, use the first method described above.

To move your new text box (or any text box or image on the screen) choose “Content” and “Edit Object”
in the Tools Panel. Click once on the text box or image you want to move and you will then be able to
move it by clicking and dragging.

4) Changing and inserting images

To make minor changes to a graphic or image in your PDF, click the image you want to change. Then go
to the Tools Panel and choose “Content” and “Edit Object.” You will be able to resize the image by
clicking and dragging the corners of the image. You can move the image by click and dragging it where
you want it to go. You can delete an image by clicking it once and hitting the delete key on the keyboard.

If you right-click on an image, you will get several additional


editing options, such as rotating and flipping the image, as well
as copying or cutting the image. You can paste the image into a
new location in the current PDF or into a different PDF.

To insert a new image into the PDF from an image file, go to the Tools Panel
and choose “Content” and “Edit Object.” Then right-click in your document
where you want the new image to go, and choose “Place Image” from the menu that appears. You will
be prompted to find your image file and it will be inserted into your PDF in the location you right-clicked.
As long as you are still in the “Edit Object” mode in the Tools Panel, you will be able to resize your image
and move it around using the methods mentioned above.

5) Saving your document

To save your PDF document, click on “File” in the top menu bar and choose “Save” or “Save As.” When
you choose “Save As,” you have several file types to choose from.

PDF is the standard Portable Document Format


file, with high-resolution and professional-quality
text and graphics.

Reduced Size PDF will have a lower resolution but


be a smaller file that will save and download much
more quickly.

You can save your PDF as a Microsoft Word


document or Excel spreadsheet. This will give you
a fully editable document. However, in the
conversion process there may be some changes to
the appearance and fonts, which you can modify
in your new document or spreadsheet.

When saving your files, you can save them to a personal storage device (such as a flash drive). You can
save a file and e-mail it to yourself, or save it to a free cloud storage website, which allows you to upload
a file and access and download it on any Internet-connected computer. Popular cloud storage sites
include Dropbox (www.dropbox.com) and Skydrive (skydrive.live.com).
