1.2 Virtually There Overview

Sabre Virtually There® is a personal travel web site that provides travelers with a real time
itinerary, travel information, and destination content. It allows an airline to send customers an
email advising them how they can view their travel arrangements. The email contains a hot link
to their itinerary and a customized message from your airline.
In order to use Sabre Virtually There, an Arranger Profile must be created by Sabre. This
information creates a marketing identity for your airline that is displayed in the Sabre Virtually
There email message and itinerary. It also establishes a default Reply-To email address for your
airline where email replies and failure messages will be delivered.
Email addresses are entered through a traveler profile, using the PE field in the PNR. This field is
name associated, providing the flexibility to service multiple passenger PNRs.
After completing the PNR, selected PNR information is sent to the Sabre Virtually There email
application. It is then assembled using the Arranger Profile information and the -email addresses
in the PNR, and sent through the internet to all email recipients.

Use this entry to input an email address in a PNR.

• The # (Cross of Lorraine) is required at the beginning and end of the email address.
• The @ sign is required in the email address between the two Cross of Lorraine characters.
• ASCII characters may be included (i.e. @, %, &, +, etc.) except for the underscore ( _ ) and
the apostrophe ( ’ ). ASCII characters are only allowed between the two Cross of Lorraine
characters. ACSII characters that are not generally used for email addresses (such as
backslashes) are not accepted.
• If an email address contains an underscore, use two equal signs ( == ) instead.
Example - PE‡JOHN==SMITH@MAIL.COM‡
An underscore ( == ) can only be used prior to the domain name.
• If an email address contains an apostrophe, use a single forward slash ( / ) instead.
Example - PE‡YVONNE/BEAL@LETTER.ORG‡
A single forward slash ( / ) can only be used prior to the domain name.

• The email field is only displayed when specifically requested by using the entry *PE.

Add Text to Email

Free text may be included in the entry. For example:

A maximum of 63 total characters are allowed for an email address and free text.

Add Email by Name or Name Number

A passenger’s name can be attached to an email address by either entering the passenger’s
exact name, or by using the passenger name number. For example:
PE#JIM.WEST@WILD.COM#-WEST/JIM
PE#JIM.WEST@WILD.COM#-1.2
When a passenger’s name is changed, all attached email information associated with that
passenger is also changed in the PNR and is recorded in history.
When a passenger’s name is deleted from the PNR, all attached email information associated
with that passenger is also deleted and is recorded in history.

Add Multiple Passenger Names

Multiple passenger names can be associated to a single email address. For example:
PE#JIM.WEST@WILD.COM#-1.1,1.2
A maximum of 30 passenger names or name numbers can be attached in a single entry.
When a passenger’s name is deleted (which is associated with other passenger names to a
single email address), only the selected passenger’s name is removed. All other names
remain associated to the email address.
A From action code may be used in the PNR to override the default From/Reply To Email
Address in the Arranger Profile. This enables you to direct responses to email messages
directly back to the inbox of a specific agent. The entry is shown below:

Using CC and BCC

A TO address and/or TO name may be added by indicating TO/email addresses in the PNR.
Blind copies (BC) and carbon copies (CC) may be sent as well. This is indicated with
BC/email address or CC/email address. If all email addresses are designated as either BC/ or
CC/, the first address will be considered the TO address.

Select Email Language

The language may be customized for each email recipient in the PNR by optionally indicating
the desired language in the email address field. The language indicator is added at the end of
the entry following the change key (¤).
This will override the default language preference field in the Arranger Profile.

Use this entry to end transaction and transmit email messages to each email address in the PNR.
A successful EM entry will return the existing End Transaction response and acknowledgment of
the email request.

Note: A single Sabre Virtually There email message is good for the life of a PNR
because the embedded hot link (URL) generates the itinerary from the latest
version of the PNR in Sabre. It is not necessary to retransmit a new email
message each time a PNR is changed.

Passengers should be informed to retain the original email transmitted for a


given PNR. They may view changes to their itinerary by opening the original
email message and clicking on the itinerary hot link.
Additionally, the EM command should not be used routinely in place of the
regular End Transact entry as it generates an email message each time it is
entered. The EM command should be used only after the itinerary is ready to be
viewed by the client.
In order to send an email, a PNR must contain at least one active segment and
one email address.
The EM command will not apply to Block Space Group (BSG) PNRs, or to
PNRs booked via Teletype.

The redisplay action code may be combined with the EM command as follows:

End/Mail/Priority

Some email applications recognize a high priority indicator in email messages to distinguish
messages designated as High Priority. Sabre Virtually There can optionally mark an
outgoing email message as High Priority. This option should be used appropriately and with
discretion.
The handling of High Priority email messages will vary among different incoming email
servers and email client applications.
To mark an email as High Priority, use the following entry:

Generate Email by Name Selection

Use this entry to generate an email to the name specified in the entry only. Name selection
criteria can be included with the EM command only if the name number selected has an
associated email address in the PNR.

If the email command includes a name selection, messages will be sent to all email addresses
associated with the selected names, plus all email addresses in the PNR that are not name
associated.
For example, a PNR contains a party of 2.

You have name associated email addresses in this PNR for Bob and Sam. You also have an
email address in the PNR for Bob's secretary (no name association). If you make the entry:
EM#N1.1, an email will be sent to Bob and his secretary. No email will be sent to Sam.

Email Address Selection

Use this entry to send an email to a selected email address in a PNR. Email addresses are
numbered and may be displayed with the following entry:

Return Receipt Request

A return receipt email may be requested to be sent to the sender, once an email is received and
read. The return receipt is returned to the From/Reply–To-email address specified in the
Arranger Profile or the FR/ override entry in the PNR.

This feature should be used with caution as it will request a return receipt from each addressee in
the email message.
Return receipt handling varies among inbound servers and email client applications. It is possible
that your customer’s email system does not support Return Receipt functionality.
Furthermore, some email client applications generate a return receipt when new email messages
are downloaded to the email client application; while other applications do so only once the email
message is opened and viewed by the user.

The EM and EMR commands may be combined with one or more qualifiers separated by a Cross
of Loraine (#). Examples are shown below:

Each email command will be logged in PNR history with the full command syntax, AAA
location, Agent Sign and Date/Time stamp. An example is shown below:
