The walk-in clients who enter the establishment are first asked whether they will

be availing of medical services or laboratory services. For those who are only availing

laboratory services, they are immediately asked to fill up a Request Form for tests they

will undergo. For clients who are availing of medical services, they are segregated into

old clients whose Patient Records are recovered from file cabinets and new clients who

first fill up a Patient Record. After recovering or creating the Patient Record, the clients

availing medical services are then asked to also fill up the Request Form where they

may choose to purely check medical services or check a combination of medical and

laboratory services.

Most of the time walk-in clients are immediately led to a free medical

technologist who will collect the samples such as blood extraction for blood tests. Other

times the patients will be made to wait in line and will be attended to after a few

minutes. However for patients from Home Service and patients who have made the

cut-off in line or patients who prefer a set time, they will setup an appointment with the

company. It must be noted that public contracts which are serviced outside are also

scheduled. This is usually written down on a notepad or the company’s whiteboard.

Initial Evaluation

The receptionist will then take all the documents especially the Request Form for

an initial evaluation of the clients and their possible total bill for the services they wish to

undertake. The initial evaluation is the company’s safeguard against bad debts as this

will immediately inform the client their probably total bill and the client can immediately
assess whether they can cover the charges. This is manually computed and involves

certain considerations.

For patients who avail of purely medical services, their assessment is simply the

standard prices less a 20% discount if they are covered by the legal discount for Senior

Citizen or Persons with Disability (PWD). The purely medical patients are then ushered to

the room where the medical service will be rendered.

For patients who avail of a combination of medical services and laboratory

services or availed of purely laboratory services, their initial evaluation will cover more

considerations primarily because of the laboratory tests. The first consideration is

whether the patient belongs to regular unaffiliated clients who must notify the

receptionist if they will avail of a package. If they are availing of a package, the price

of the package will be the total charge and there will be no other discounts. If they are

not availing of a package, they will be charged using standard prices less the highest

discount that they are eligible for. If they are senior citizens or PWDs, they may avail of

the regular 20% discount. If they are employees of Danes who is the main lessor of the

commercial space where QA is located, they can avail of a15% discount as QA’s

means to foster a good relationship with its lessor. If they are government officials, they

may avail of the promotional 10% discount which QA gives to attract such clients who

are usually in need of laboratory tests for their medical certificates and other

employment requirements.

If the client is not a regular unaffiliated client then they are probably under the

other classification for walk-in clients which is affiliated walk-in clients. This means that

these clients are employees of private companies that have a tie-up with QA. The
contract between QA and the private company affect the bill of this type of client. It all

depends on the contract stipulations but commonly, the company is billed for either a

portion or the full amount of the client’s bill which fills a great portion of QA’s account

receivable. These private companies are billed monthly and the client pays

accordingly. These clients can only avail of the 20% regular discount for senior citizens

and PWD’s. These stipulations also commonly affect the price charged by QA as these

prices are agreed upon with the company.

After the initial evaluation, walk-in clients are then asked whether they wish to

proceed, modify their requests, or not continue. Those that eventually proceed have

the test performed. The updated Request Form is then handed to the medical

personnel and/or laboratory scientist who will perform the procedures.

Procedures by Laboratory/Medical Personnel

The updated Request Form is received from the Receptionist. Then, tests or

service will now be rendered by the laboratory or medical personnel assigned. After

the accomplishment of all procedures, all procedures performed by the medical

personnel are recorded along with their findings in the Patient Record while laboratory

tests are archived in an excel program. Once done, they will also update the Request

form which is countersigned for all procedures performed and a Final Request Form will

be sent back to the Receptionist for Final Evaluation, Billing, and Payment.

Final Evaluation and Billing

The Receptionist files the Patient Records and then uses the final Request Form as

a basis for the final bill. After this laboratory test IS processed. The client is informed of

the estimated time or day their test will be completed and are asked to return
accordingly. Once the test results are finalized, these are printed and the client is asked

to return to the laboratory.

When reconciling bulk accounts, add-on billing occurs when the client has

exceeded the budget or when some government employees have asked for other test

not included in the agreement with the government. These add-on billings are

individually sent to the clients concerned via their office/agency. Receipts are also

given after the contract has been fully paid.

Collection

The client pays first before, two receipts are created to acknowledge the

payment. One of the receipts is given to the client while the other receipt is filed. It must

be noted that test results, certifications, and other forms needed by the client are only

released after full payment.
