Entering Data in the Work Book

 Different Types of Data:

 Text

 Numbers

 Date/Time

2
Two basic Types of Data

 Labels

 Text entry in a cell is called Label. e.g.

Name, Address

 Used only for describing anything, it has no

numerical importance

3
 Values

 Numerical data is called Values

 e.g. numbers, dates, time

 Calculations are to be performed on

numerical values

4
 By default,

 Text is left aligned

 Values are right aligned

5
 If the data in the cell is larger than the
cell size then we have to resize the
column

 If we have to enter values as labels then

‘ is used e.g. if we want to save 123 as
text then save it as ‘123, now formulas
will not be applied on this cell

6
 Labels are also used to identify columns
and rows

 Row Labels are entered on the left side

of the sheet

 Column Labels are entered from left to

right
7
 Enter used to go to next cell that is in the
next row

 Tab used to go to the next cell in the next

column

 Arrow keys are used for both

8
Comments

 Used to store additional information that

is not printed

 Red color rectangle on the top right

corner of the cell shows that cell is
commented

9
Insert Comments

 Select the cell

 Insert  Comments

 Type the comments in the text box

appeared

10
Clear Comments

 Select the cell

 Edit  Clear  Comments

11
 To enter a negative value in the cell

 Use – sign

 Or enclose the numerical value in brackets

()

12
Entering Date and Time

 Date can be entered using different

formats

 MM/DD/YY
 MM-DD-YY

13
 For entering time we use standard 24
Hours Format

 If we want to enter time with AM PM then

we use P with the time for PM

 e.g. if we want to enter 8 in the evening,

we will enter 8:00 P in the cell
