Project Communications and Correspondence

1 Handling all verbal correspondence with clients, consultants, suppliers and


subcontractors.

2 Reviewing letters issued by key project stakeholders( Clients, consultants and


main contractors etc) and issuing formal responses.

3 Raising Requests for Information for all technical issues and follow ups with client
for required response/ information.

4 Issuance of progress reports to clients and consultants.

5 Issuance of Material Delivery to Site and Inspection Requests to concerned parties


and coordinating with client/ consultant for inspection at site.

6 Meeting with Project Stakeholders and addressing the ongoing issues and
respective solutions.

7 Issuance of Project Issues lists and coordination with concerned parties for
resolution of issues.

8 Submission of quotations for additional items and follow up with client/ consultant
for approval.

Internal Coordination

1 Coordination with estimators for submission of quotations.

2 Coordination with draftsman and document controller for submission of drawings.

3 Coordination with Document Controller and Design Engineer for submission of


Material approval Requests.

4 Coordination with Buyer for issuance of Purchase Orders.

5 Coordination with Document Controller for maintaining document records,


preparation of Material Delivery Inspection and Site Inspections.

Procurement

1 Follow up with suppliers for delivery of materials.


2 Coordination with buyer and accounts department for supplier invoices and
payments.

3 Handling deliveries of equipment, accessories and installation material at site.

4 Addressing issues of equipment malfunction to suppliers and implementing


solution to ensure that equipment is well in function.

5 Liaison with suppliers for replacement of faulty equipment parts.

6 Liaison with subcontractors for fabrication of custom fabricated items with respect
progress of readiness of respective areas at site.

7 Responsible for safe delivery and storage of equipment at site prior to installation.

Site Activities

1 Checking availability of MEP services at site with respect to ME drawings and


requirements of equipment installation, and addressing any discrepancies to client/
consultant/ contractor.

2 Assignment of manpower at site in light of approved working program.

3 Controlling progress of site activities in accordance with working programs.

4 Attending issues at site related to equipment installation and issues related to


other subcontractors such as ID or MEP contractor.

5 Coordination with MEP subcontractors for availability of MEP services as per


requirement of equipment installation.

6 Monitoring installation of equipment as per approved drawings, Bill of Quantities


and project specifications.

7 Responsible for attending and closing snag lists and punch points from
consultants, clients and operational staff.
