 Interview Result
This interview was conducted appointments to one of the lecturers to find his or her
requirements related to a good student performance monitoring system. One of the lecturers that we
chose is Mrs. Sri Susilawati Islam for Industrial Engineering faculty in Sampoerna University.

From the interview, the academic performance monitoring system is very helpful for both of
the students and lecturers. This academic performance monitoring system becomes one of the tools
that is mainly for academic institution such as university to monitor performance of subject or students.
But, it is mainly to monitor the students’ performance. The objective of this academic monitoring
system is to help lecturer in terms of handling coursework of their students. It also simplifies and
streamlines all the task. One of the example is the Academic Portal that is being used in Sampoerna
University. The Academic Portal has a function to share all of the task and coursework in that
platform, so the lecturer does not have to meet the students and give a long explanation about how
many coursework and task that the students have to do because everything can be managed and shared
in this Academic Portal easily by its feature. The second objective of the student performance
monitoring system is to help the students to know and understand their carry marks. This is about the
grading system. The students can know their old grades, current grades, and new grades in this system
because the grades are actually shared in this system. It can help the students to see their grades and
make an analysis of their performance. The Academic Portal also helps the students to manage their
schedule and academic plan. The other objective of this academic monitoring system is serving an easy
way for the management staff to track the student performance due that the students’ performance is
being recorded and monitored in this system.
From the interview related to the Academic Portal used in Sampoerna University, there are
components involved in this system. The feature is different for both students and lecturers. Normally
the features are the same, but there are some features that are only owned by the lecturers like editing
the exam question, setting the due date, and editing the grades. There are several components that are
involved in Academic Portal. The first is about the academic information such as the assigned section,
offered section, academic advisory, thesis advisory, and grade management. The second feature is
more about academic information such as class schedule, mid exam schedule, and final exam schedule.
The other features is virtual class that include material, assignments, discussion group, announcement,

and file sharing. The other feature is about the student profile itself, such as e-portofolio, student ID,
password, email, and other profile related to the users.

The benefit of using Academic Portal are many. One of the benefit is about the ability to keep
proper track of the data related to students such as the examination results. It also simplifies and
streamlines all the task. The better communication is also one of the benefit on using the Academic
Portal. The Academic Portal also helps the students to manage their schedule and academic plan.
Besides the benefit, the Academic Portal also has some problem related to this system itself.
The first problem is about the configuration. Usually in the Academic Portal, the amount of the exam
is already determined and it can be changed. However, in reality the amount of exam can have more or
less amount.
The security of the Academic Portal is very secure because it has a student ID and password.
The Academic Portal cannot be accessed without using the student ID and password. If the students
forget their password, they will be asked to send an email confirmation related to their current
password and new password or they can directly contact the academic IT.

 Questionnaires Result
The questionnaires are prepared in order to help us on defining the requirement of the student
performance monitoring system. The questionnaires were distributed to 10 students from Sampoerna
University as the users of the Academic Portal that is also included in category of student performance
monitoring system. The questionnaire that is distributed consists of several questions related to the
Academic Portal as one of the student performance monitoring system used in Sampoerna University.
We use this Academic Portal as a reference that will help us to define the requirements that will be
included in our student performance monitoring system.

After distributing the questionnaire, there are ten students who already used it. The
questionnaire has a purpose to know how useful the software for the students and what is the things
that should be improved. In the questionnaire, there are main questions to answer which are:
- Benefits or advantages
- Problems or disadvantages
- Feedbacks for improvements

Firstly, the benefit that can be obtained after using the Academic Portal is about an academic
program that can easily be accessed by the students. One of them said that he didn’t need to go to the
Academic Registry to enrol in the courses. Other students said that it is easier to know their grades and
academic progress. There is also a benefit to fill the subject, taking the plan, and printing the transcript
easily. Therefore, Academic Portal is very important for them because it is affecting the academic area.
Secondly, the problem of the software that has an essential effect on students which is un-
updated information about academic. Another student complained about the server. The server is often
having down if there are many students who access it together. Another student also complained about
the notification. The students need to know when the information is given by showing a notification on
the website or email to make them up to date about the newest information.
However, there are three out of ten students that have no problem and complained when they
using it.
The last is about a feedback for the Academic Portal that can solve their problem by
improvement. One of the students suggested checking the bug of the server and update the system. The
other students suggested adding a notification program on that website to remind the students about

updated information. However, there are two students who did not give any feedback because they
think it is already good.
As the summary, The Academic Portal can be improved by adding a new feature and update it.
The suggestion from the students may be applied to the system. In another thought, the system could
be made into the apps or application in a mobile phone. So, the students can easily open The Academic
Portal whenever they open their phone. Therefore, they can access an application or website on the
internet.

 Requirement Analysis
 Functional Requirements

The functional requirements defines a function of a system or its component, where a function is
described as a specification of a behavior between outputs and inputs.

-The student performance monitoring system shall be able to provide every details related to academic
such as offered section, assigned section, counseling report, academic advisory, thesis advisory, grade
management, and general academic information.

- The student performance monitoring system shall be able to include the student’s need related to
academic schedule, like class schedule, mid-exam schedule, and final exam schedule.

- The student performance monitoring system shall be able to give general information such as student
handbook, academic policy, grading policy, academic calendar, and scholarship application form.

-The student performance monitoring system shall have online class feature, so the lecturer and the
student can arrange online courses outside face-to-face class. This online class feature shall include
material, assignments, group discussion, lecture announcement, and file sharing.

-The student performance monitoring system shall be able to be accessed in both of online website and
apps

-The student performance monitoring system shall be able to show a notification to its user

 Non-functional requirements

Non-functional requirements cover all the remaining requirements which are not covered by the
functional requirements. They specify criteria that judge the operation of a system, rather than
specific behaviors.

- The student performance monitoring system be able to be accessed for 24 hours a day.

- The student performance monitoring system shall be able to be accessed both from web and
smartphone application.

- The student performance monitoring system shall provide ‘reset password’ feature by sending new
password confirmation to the user’s e-mail.

-The student performance monitoring system shall be able to be accessed both of online and offline.

1. What is actually the goals and the function of Academic Portal?
Answer: The goals of Academic Portal is actually to monitor the student performance in term of
academic. The other goals is to share about any information that related to students’ academic. The
other goals is sharing and giving any assignments or assessments without even directly meet the
students.
2. Is it very helpful for the users such as students and the lecturers?
Answer: Yes of course, it is very helpful for both of the students and the lecturers.
3. What are components that is involved in Academic Portal?
Answer: There are some components that involved in this Academic Portal. The first is about the

Answer: Yes, there is some problem that need to be anticipated. The first problem is about the
configuration. Usually in the Academic Portal, the amount of the exam is already determined and it

7. Is there anything that is needed to be anticipated on using the Academic Portal? Maybe a matter of
security such as a password?
