VCDS Executive Nominations 2018-19

INFORMATION FOR ALL APPLICANTS

Available Positions
The following are the positions available for election on the VCDS:
i. Executive Producer(s)
ii. Artistic Director
iii. Technical Director(s)
iv. Communications Director
v. Chief Financial Officer (*note: CFO is an interviewed, not elected position)
vi. Steward
vii. Education Director

Qualifications and How to apply for an Executive Position


1. Must be a Victoria University student or pay VCU fees.
2. Read through position description at the end of this package.
3. Fill out nomination for the position of interest and submit on paper at the VUSAC office
or electronically by email to ​steward@vcds.ca
4. Candidates may apply for more than one position, but must do so on separate forms.

Nomination Deadline
Sunday March 25​nd​, 2018​ to the VUSAC Office or online to steward@vcds.ca by 11:59pm.

Elections and Interviews


Elections will be held Tuesday March 27​th​ through Friday March 30​th​, 2015 via electronic ballot.
Votes will be cast by 2017-2018 VCDS general members (any student who was on the executive
or involved with any of VCDS’s productions of the season) as well as by 2018-2019 candidates.
Interviews for Chief Financial Officer will be scheduled with applicants.

The VCDS Executive is comprised of all elected and appointed members. Their
responsibilities include and are not limited to:
1. Finding and approving the production teams for each show
2. Filling any vacancies in the production teams that may come up during the run of a show
3. Attending bi-weekly meetings to keep each other up to date with their activities
4. Attending both Load-in and Load-out of each of our season’s shows
5. Endorsing all qualified executive and assistant candidates during elections for the following
term
6. Continuing to fulfill their VCDS duties should they have a position on one of the production
teams or is otherwise involved with one of the shows
7. Working closely with the Executive to fulfill their specific duties as outlined in the
constitution
8. Ultimately, ensuring the success of the season
Executive Position Details

1. Executive Producer, or Co-Executive Producers*​ to a maximum of 2 (elected on a joint


slate, or in succession with approval from the primary candidate)
a) In conjunction with the CFO, assembling the seasonal budget and ensuring that the VCDS
remains fiscally accountable, as well as acting as a signing authority on all financial matters;
b) Acting as the liaison between the VCDS and all levels of University Administration, including
membership as an assessor member on VUSAC (please refer to the VUSAC Constitution for
responsibilities as Head of a Constituent Organization);
c) Securing the rights for the shows, and booking the venues for the show dates and dress
rehearsals;
d) Overseeing all operations of the VCDS, including participation on the production teams of
every show;
e) In conjunction with the Communications Director, overseeing the design, print, and production
of print materials (e.g. programs, tickets, flyers, posters) and all letters/packages for external
communication;
f) Appointing or acting as the VCDS representative at the UofT Drama Coalition;
g) Writing a transition report for the next Executive Producer by the end of May at the end of the
season.

2. Artistic Director*
a) Coordinating the selection process for the annual play-writing selection for the UofT Drama
Festival and production proposals;
b) Upholding the artistic integrity of the VCDS by working alongside the Directors throughout
the production process (including auditions, attending at least 20% of rehearsals up until show
nights and acting in a dramaturgical capacity);
c) Assisting and advising the Director of each production with their duties, and acting as the main
liaison between the Production Team and the VCDS;
d) Writing a transition report for the next Artistic Director by the end of May at the end of the
season.
3. Technical Director, or Co-Technical Directors*​ to a maximum of 2 (elected on a joint slate,
or in succession with approval from the primary candidate)
a) Advising the executive on the technical aspects of theatre such as: lighting, set, sound,
costume/make-up;
b) Managing and maintaining props room, including preparation of an inventory list;
c) Acting as the technical director of each production;
d) Participating on the Production Team of every show;
e) Assisting in the selection of a stage manager for each production, and then in conjunction with
the stage manager and director, assembling a Production Crew for each show (i.e. set builders,
costumes, assistant stage managers, sound, lighting, etc.);
f) Writing a transition report for the next Technical Director by the end of May at the end of the
season.

4. Communications Director*
a) In conjunction with the Executive Producer, overseeing the design, print, and production of
print materials (e.g. programs, tickets, flyers, posters) and all letters/packages for external
communication;
b) Marketing of the company/season (e.g. Orientation Week Clubs Brunch, other clubs fairs,
posters, list-serves, website, etc.) and encouraging subscription to the list-serv, Facebook
group;
c) Maintaining the VCDS website and updating it on a regular basis;
d) Creating a regular list-serv to send out to all VCDS general members through e-mail and
Facebook, including providing notice of all General Meetings to the General Membership;
e) Coordinating meeting minutes at executive meetings and sending them out to Executive
members within 96 hours of the meeting’s adjournment, and making the minutes publicly
available on the VCDS website;
f) Writing a transition report for the next Communications Director by the end of May at the end
of the season.
5. Chief Financial Officer**
a) In conjunction with the Executive Producer, assembling the seasonal budget and ensuring that
the VCDS remains fiscally accountable, as well as acting as a signing authority on all financial
matters;
b) Maintaining accurate records of the VCDS financial accounts, and tracking finances through
the VCDS’s online banking account;
c) Accepting receipts and reimbursing budgeted money spent;
d) Preparing the cash boxes for ticket-selling and counting revenues in conjunction with the
Executive Producer;
e) Publishing the budgets and spending of the VCDS twice a year (at the end of first semester and
before the last general meeting of the second semester).
f) Writing a transition report for the next Chief Financial Officer by the end of May at the end of
the season.

6. Steward**
a) Ensuring the internal communication of the VCDS runs smoothly and efficiently;
b) Maintaining the archives and alumni relations as well as maintaining the office;
c) Keeping an accurate list of the general membership of the VCDS;
d) Chairing meetings, both executive and general;
e) Assuming the role of the chief returning officer in charge of the elections;
f) Writing a transition report for the next Steward by the end of May at the end of the season.

7. Education Director**
a) Coordinating workshops at least once a semester;
b) Developing any relevant educational programming around the VCDS season;
c) Writing a transition report for the next Education Director by the end of May at the end of the
season.

*Will have assistant positions hired in September:


1 Assistant Producer, 1 Assistant Artistic Director, 3 Assistant Technical Directors,
2 Assistant Communications Directors
