 Spoke with lady that worked w/reservations; said March dates should be fine if
reserving a year in advance
 Transferred me to Patty Henning, Director of Sales to figure out capacity/cost

called back and no answer 
 Got a hold of a sales coordinator & she will email me with pricing information
 Received an email on 5/14 with a request for more information; I responded and
am waiting to hear back

Our tentative date is set for March ____ but we have flexible dates that I can
include as well if that doesn’t work. This date will work
The biggest items we are looking for are:
- Overnight accommodations for at least 200-250 people for a week we can
hold 80 sleeping rooms at the $167.00 per diem rate ($192. If fully tax-
exempt). I can assist you in contact with other properties on the Island for
additional rooms.
- Meeting/conference rooms Rental $1000 a day for Morgan Center
o Tables/chairs included and able to be set up classroom-style Yes
all included in the rental fee
o Projector(s) if available Yes – see page 44 for a breakdown of
fees
Questions:
- Do you do direct billing with state agencies? Yes
- Can you accommodate RV-sized vehicles? Yes If so, how many? five
- Do you need to pay for parking? Complimentary at Resort – $6.00

- Is breakfast included in the stay or do we need to look at catering?
Breakfast is not included, see page 11-13 in the Catering Guide
- Is there a group rate for booking that amount of rooms? We will honor

day/AV needs, and potentially food Continental

 200 rooms (will buy out all of hotel)
 Yes, direct billing for state agencies
 Should not be a problem for RV sized vehicle – not close to hotel though, 2-3 min walk
o Not sure about how many to accommodate but made note for sales manager that
will soon be contacting Quynh
 Breakfast not included, might need to be catered because restaurant may not
accommodate that # of people
 Resort fee covers parking $
 Sales manager will contact soon with quote that includes overnight group rate, meeting
rooms, AV needs (dry erase/projector), RV parking, and flexible dates.
o The primary date they are working w/ is March
 Sales Manager – Carissa (spoke w/on phone on 5/14)
o Asked if we’ve spoken w/convention center next door?
o Have 5,000 sq ft of space total for meeting rooms
 Largest is 3,000 but can be divided
 Others branch off
 I requested conference tables or something akin to classroom setting
o Total can accommodate 230 ppl if each meeting room is full w/a class
o She said one thing to keep in mind when doing a buyout of all 200 rooms is that
the GEMA will be held responsible for all rooms being booked and paid for
 Since the whole reservation computer system will be shut down during
that week and no one else can stay at hotel
 She did say if you don’t want to be responsible you can opt to not do a
buyout and instead purchase 175~ rooms
 Will email a quote soon, including food & bev costs (since breakfast isn’t comped and
it would probably be cheaper to go ahead and include)

Holiday Inn Resort Jekyll Island

 Between both, there are 149 rooms available @ the Holiday Inn and 35 @
the Beachview
 Current per diem for March is $167 so $1200 per room for week

 Parking on site; can accommodate RV sized vehicles – at least 4 (between
both hotels)
  Full service restaurant on site – can do catering for all 3 meals, but I only
asked specifically for breakfast
 3,000 sq ft conference room
 Can be split into 3 sections
 150 is max capacity for each section
 I asked about setting them up classroom-style with a projector

o “At this time, I would only be able to offer about 50 rooms. You may want to
consider contacting the Jekyll Island Convention Center regarding meeting
space. Unfortunately, we don’t offer direct bill. A continental breakfast is
included in the room rate. All guestrooms would be 2 double beds and non-
smoking. Rates would be $115.00 for islandside guestrooms and $125.00 for
oceanside.”
