Important notes for Application for Hall Residence 2019-20

1. Upon submission of application for Hall Residence 2019-20, applicants should abide by the rules and
procedures on hall admission and allocation of hall, room type and room as stated in the Hall Homepage
and the following conditions. Once admitted, students should comply with the Hall Regulations of
respective hall, which may be revised by the University as it deems appropriate from time to time.
Applicants should read the relevant rules and procedures before submitting their hall applications.
2. Before and after submitting application, applicants are highly advised to visit the Hall Homepage for the
updated hall fees information of 2019-20. Applicants should be bound by any changes on the fees and
secure su cient nancial support accordingly.
3. Successful applicants will be informed of the application result by email around 2-4 weeks in advance of
the expected check-in date.
4. Students are required to complete the check-in procedures in the Hall Reception of the Student Halls.

5. Upon check-in, you are required to present your PolyU student ID card or o er letter for veri cation by
Hall Sta . In case you have not collected your student card yet, you have to pay the deposit of $50 for a
temporary Smartcard. Once you receive your PolyU Student ID Card, you should go to the Hall Reception
to encode your PolyU card for access to the Halls and your rooms, and then return the temporary
SmartCard simultaneously for refund of deposit. Please note that the validity period of the temporary
SmartCard is around 2 weeks upon collection.
6. The payment details will be sent to you after check-in. Please settle the fees before the deadline.
7. After check-in, students should complete the registration with PolyU within one week. Failure to do so,
students will be required to check-out from the Student Halls and be requested to pay at guest rate of
HK$220 per day counting from their check-in date to check-out date.
8. Only full-time registered students are eligible to hall residence. Periodical check will be conducted.
Students who lose the eligibility for hall residence (e.g. Study mode has changed to part-time mode,
student status has changed to “completed” or “deferred”, etc.) will be requested to check-out within 2
weeks.
9. Refund policies governing early withdrawal: 
If a resident withdraws his hall residence after check-in and before the last 2 months of the approved
residential period, a Residence Cancellation Fee of $500 shall be levied as the administration charge.
The remaining hall lodging fee will be refunded.
If a resident withdraws his hall residence after check-in and within the last 2 months of the approved

If a resident withdraws his hall residence after check in and within the last 2 months of the approved
residential period, the remaining hall lodging fee shall be forfeited as the Residence Cancellation Fee.

respectively. 
10. In order to ensure your safety, if you will be away from the halls for three days or more due to various
reasons such as travelling and returning to home country, you are encouraged to inform us by email at
student.halls@polyu.edu.hk (mailto:student.halls@polyu.edu.hk) and provide the following information:
Destination of travel
Period of travel (from DD/MM/YY to DD/MM/YY)
Your contact information during the travel period.

kept in strict con dence and will only be used in cases of emergency.
