1. PURPOSE
This Project Definition Document provides a brief overview of HOTEL MANAGEMENT
SYSTEM to promote a shared understanding of it before a more detailed Plan, Schedule, and Budget
is prepared. The system could promote the facilities to the guests or customers regarding hotel. The
system allows to booking rooms, Reservation, Rates, Customer facilitates, Room availability,
Cancellation etc.

2. PROBLEM/OPPORTUNITY
The existed system is in that hotel is manual working. Using this many problems can occur, for this
system they used some bill books. That time any customer came for enquiry or reservation they need
to check every reservation in the book, that issurly time wasting process.There is a lot of problem
regarding booking of Rooms in Pakistan especially in case when you have to book urgently.
Time required to do manual work
Calculation is difficult
Security is low
Searching is difficult
Data entry is difficult
Outdated and difficult to use user interface
Charged for bookings processed through third party OTAs

3. PROJECT GOAL
Our goal is to facilitate the customer so that they can access and perform online booking 24/7. We
will make an automatic system, no need to do any work manually. We would provide facility like
searching records, Calculations, Data entry etc.

4. PROJECT OBJECTIVES
Objectives are TO PROVIDE,
 User can access the system 24/7.
 INTERFACE TO USER TO CANCEL THE RESERVATION.
 INTERFACE TO USER TO view hotel rooms and entertainment facilities without visiting to hotel.
 A user-friendly interface for customers for the easy booking process.
 To provide a platform to manage on-desk and online bookings
 To display organized information of hotel, prices and pictures.
 To change prices of hotel rooms when needed.
 View of availability of rooms.
 To provide a secure payment gateway for online transaction

5. PROJECT SCOPE
The scope of the Hostel Management System is to carry out the hostel activities in an efficient way.
This is due to reduce paper work, also reduce the manual work of the persons in admin panel and
financial panel. It is used to increase the efficiency and accuracy of the software. Project can manage
online database system, the system could use to keep different records. The system could provide
online payment management etc.

6. KEY STAKEHOLDERS
This project will be used by three types of users
 Hotel Administrator
 Authorized Hotel employees
 Travellers

7. OUTCOMES/SUCCESS CRITERIA
The significance of the project is to provide the following benefits:
 The significance of project is to automate the Reservation of rooms.
 The online facility of the software will make it more efficient.
 Traveller can book room online.
 The software will be implemented in Hotel Management System.

8. ASSUMPTIONS AND CONSTRAINTS

Every system requires some certain parameters to work, to work as per the requirement, our system
also requires some parameters, and we assume them as fulfilled before using this system, which are as:

8.1 Assumptions
 The system will run under windows7 or higher platforms of operating system.

 Minimum Pentium 4 or higher computer is required.

 Minimum 4 Gb ram is required.

8.2 Constraints
 Booking Traveller/Employee should have a valid user name an password to access the
software

 The software needs booking Traveller/Employee to have complete knowledge of Hotel

management system.

 Software is dependent on access to internet.

9. RISKS
 Security Threads
 Customer may face difficulty in using the system.
 Data Redundancy etc.
