Chapter 1
1.1 Introduction
The project entitled "Computerized Library Management System" is a
library management software for monitoring and processing of
transactions and amount of books in a library. This System is designed
and coded in VB.NET 10.0 and database management is handled by
Microsoft Access. This system mainly focuses on operations in a library,
adding new books, updating new information of books, searching for
books and listing the students who borrow and return the
books."Computerized Library Management System" is designed to help
users maintain and organize the books in a library. Our system is easy to
use for both beginners and advanced user. It features auser friendly
interface, combined with strong searching insertion and reporting
capabilities. The report generation facility of library system helps to get a
good idea of which are the books are borrowed or returned by the
students.

1.2 BACKGROUND OF THE STUDY
San Pedro Relocation Center National High School (SPRCNHS) is a public
secondary high school located at Barangay Langgam, San Pedro, Laguna,
Philippines. It offers K-12 Basic Education Program by the Department of
Education.
The process of monitoring and recording the books in SPRCNHS
is done manually. The librarian exerts a lot of effort in compiling the
borrowed and returned books. With particularly great size of record that
is kept, the SPRCNHS librarian encounters problems which mainly stem
from the process of monitoring all the borrowed and returned books.
With the certain quantity of data accumulated over time, redundant
paper works cannot be avoided.
This encouraged the researchers to develop Library Management
System for San Pedro Relocation Center National High School as a
convenient tool in recording, monitoring, updating, storing and
supervising books without exerting too much effort.

1.3 Background of the School
1.3.1 History
In the early part of 1966, the Carmona Resettlement Project was
created; a Priority Project sponsored by the NHA. It is bounded by
Tunasan Friar Land of San Pedro, Laguna, a portion of Carmona, Cavite
(now known as Gen. Mariano Alvarez) and Dasmariñas, Cavite. The first
wave resettlers were the families who lived along the railroad tracks of
PNR from Taguig to Tutuban, Manila. This totaled to more or less 6,500
households with an average family members of 5 persons, two of whom
are schooling age, either in elementary or secondary. The distance to the
nearest school approximately 12 kilometers away from home, hampered
the education of these children.
By the virtue of Barangay High School Act, the dream of
establishing a high school to cater the education needs was realized
under the leadership of Councilors Doroteo E. Jumauay Sr. and
Francisco Benito. Cognizant of the struggle the students were
experiencing, the councilors fetched them straight from Carmona Cavite
and proceeded to Malacañang to follow up the said proposal. Apparently
indispensable and beneficial it was approved thus the birth of Laguna

Resettlement Community High School in 1970 at United Bayanihan, San
Pedro, Laguna with Mrs. Bartolomea E. Pedron as Principal.
Later, the joint effort of the community leaders and the municipal
government had paved the way of its conversion to SAN PEDRO
RELOCATION CENTER NATIONAL HIGH SCHOOL (Langgam Campus), a
national funded high school thru Republic Act 6026 in 1972 with Mrs.
Lourdes Z. Javier as the Principal.
With the population growth, it has given way to its expansion, thus
the creation of two campuses – the SPRCNHS Langgam Campus in 1986
and SPRCNHS Cuyab Campus in 1989. Acquisition of lots (5.7 hectares
at Langgam by Mr. Emilio S. Ulpindo, Principal May 1981 – July 1, 1999)
and (additional 1,000 sq.m. at Cuyab by Dr. Edna V. Perez, principal
July 1, 1999 – August, 2000) were made possible.
Presently, the school has moved one step bigger again with the
opening of its fourth annex, the Landayan Campus on October 25, 2002.
Its operation started this June, 2003. This was realized through a
Resolution of the Municipal Council with the Honorable Mayor and
federated PTA of San Pedro. This is a part of the organization and
administration of the present principal, Dr. Victorio N. Medrano. July 20,

2009, San Pedro Relocation Center National High School, Langgam
Campus is now known as the Main Campus with two (2) annexes, Cuyab
Campus and Landayan Campus, turning-over the old main campus to
Polytechnic University of the Philippines (PUP) as part of the tripartite
agreement amongst Sec. Jesli A. Lapus, Cong. Danilo Ramon Fernandez
and Mayor Calixto R. Cataquiz. Pursuant To DepEd Order No. 48, s.
2007, the San Pedro Relocation Center National High School is included
in the list of priority Tech. Voc High Schools January 2012 accredited as
Assessment Center of TESDA.
San Pedro Relocation Center National High School is one of the five
key schools in Luzon to implement the K-to-12 curriculum for the School
Year 2012-2013. DepEd released a memorandum for the selectedschools,
for Luzon: Bataan, Pampanga, Bulacan, NCR, and Laguna. For Visayas:
Leyte, Bukidnon, and Cebu. And for Mindanao: Tagum.
All Teachers are LET passers with trainings and workshops. TVE
teachers are 100% National Certificate II holder. Trainors and Assessors
are place in their area of specialization. Science and Math teachers are
APEX trained using the CTL approach.
A student must finish the course with a year in kindergarten and
twelve years in grade school. The program aims to improve the

competency level of a typical Philippine school like SPRCNHS through
the addition of advanced subjects like Calculus, Robotics, Advanced
Computer-aid Drawing (CAD) and Institution of training like the Call
Center Course at the senior year of the students. After completing the six
years in secondary high school, students will have their On the Job
Training (O.J.T.) for further guidance in their chosen careers.
SPRCNHS has many accomplishments received. These are some of it:
 CY – 2001 formulated the School’s Vision, Mission, Philosophy and
Goals ( Center of Excellence in Tech-Voc Education in the
Philippines )
 CY – 2003 Passed the Accreditation Program of the University of
Asia and the Pacific and the Ford Foundation, in Collaboration
with the DEPED thru the Project Sterling Silver ( Level – 3 )
 CY – 2004 Transformed the School Curricular Program from BEC
to Applied Academics for Excellence ( APEX ), First in the
Philippines
 CY – 2007 SPRCNHS is one of the 282 Tech Voc High Schools of
DEPED to Implement the STVEP ( Transformed from Applied
Academics to Tech Voc Program )

Vision
San Pedro Relocation Center National High School is envisioned as
a Center of Excellence in Technological and Basic Secondary Education
in Laguna in particular and in the Philippines in general.
1.4 System Currently Applied
Manual Library System is being use in San Pedro Relocation
Center National High School, Langgam Campus. It is essential for
students to understand why books are numbered and how to find the
numbers on the shelves, so they can use the library effectively and in a
friendly manner.
The San Pedro Relocation Center National High School is currently
using a manual procedure in borrowing and returning books.
Procedures for Borrowing Library Books:
 You must be a student or faculty member of the school
 Present your valid identification card or borrower’s card to the
librarian.
 Fill out the correct information in the record book for each book
borrowed.

 The book is to be returned on the date designated. A late fee will be
charged for each day the book is overdue.
In returning book borrowed:
 Present the book to the circulation librarian for updating the
borrower's card.
Penalty for overdue:
 Failure to return the books on due date or time will mean
corresponding fines and/on suspension of library privileges.
Penalty for lost or damaged library materials:
 Any book lost or damaged while on loan must be reported
immediately to the circulation librarian.
 A book that is lost or damaged beyond the normal depreciation
must be replaced with the same title.

1.5 Statement of the problem

They are using Manual System in borrowing and returning books.
1.5.2Specific Problems
1. Difficulty monitoring the availability of the books.
2. Tracking records like issues, and borrowers/returners data.
3. No organize storage for the borrower’s card and card
catalogue.
1.6 Objectives of the study
1.6.1 General Objectives
To develop a computerized library system for SPRCNHS (Langgam
Campus) that can handle the every transactions of the librarian
and students.
1.6.2 Specific objectives
1. To develop and design a system that will allow user to easily
monitor the availability of books.

2. To develop and design a system that allows user to see records
such as borrower’s and books information.
3. To create and design a system that has organized and reliable
storage for the borrower’s card and card catalogue.
1.7 Scope and Limitation
1.7.1 Scope
The scope of the system is to generate borrower registration, if
unregistered, and book addition. The system can also help the librarian
edit information such as borrower and book information. It also offers
addition for newly added books. The school can also use the system to
help the user monitor the availability of the books. The system have an
Administrator account which can add account. The administrator
account is the one who can modify and manage the added accounts. The
system is designed for VB. Net powered unit. It can store data provided
by the primary user. And provides search engine to easily identify what
book is available and what is not. The system is also designed to provide

security of the information provided to the system. The system
requirements for VB.NET are the following:
 Computer that has a 1.6GHz or faster processor. ( intel
pentium 4 and up)
 Windows 7 OS and up
 At least 2 GB RAM or up
 3GB of available hard disk space.
 5400 RPM hard disk drive.
 DirectX 9 capable video card running at 1024 x 768 or
higher-resolution display.
1.7.2 Limitation
In case of power interruption, the current transaction will not be
able to save. And when it is use in a battery mode laptop, it can be use in
a short period of time depending on the battery’s capacity. System
cannot go online so there is no book reservation for borrowers. The
system is also designed for registered user only. The system can’t have
all the list of the students in the school, only the students who borrow’s
the book.

1.8 Significance of the Study
1.8.1 To the company
The Library System is made to provide efficiency and effectiveness
to the company. The system can become an asset. It will be a big help of
the company and of every end users.
1.8.2 To the proprietor
The system can guarantee convenience. It will make sure that
every transaction within the scope and capability of the program is being
performed effectively.
1.8.3 To the future researchers
The system will serve as a guide to the future researchers. A guide
to help them improve or even create a way more advance type of library
system.

Massachusetts eye and ear library is a health science library and aim to
provide comprehensive and authoritative information for patient care,
research, teaching and other functions. The library collections focus on
ophthalmology and otolaryngology, with some plastic surgery, neurology
and general medicine. Many of the journals are available to Mass. Eye
and Ear staff electronically, and our holdings are supplemented with the
extensive digital collections of Harvard University and Massachusetts
General Hospital. They provide literature searches, systematic review
assistance, interlibrary loans, copier/scanning services and book loans
to their staff. In 2016, they provided 2,685 scientific papers to users as
requested by them for their research, patient care, and teaching needs.
The Howe Library Online Public Access Catalog contains all the print and

e-book holdings of the library. The library can be used by anyone with a
legitimate need: MEE employees, students, patients, patient families, and
visiting professionals. There are a number of computers that are
available for patrons with MEE usernames and passwords. The library
also provides two public access computers that do not require a
password for use. These are intended for short-term use (15 minutes or
less) by visiting students, lecturers, patients and families, and any staff
who do not have other access. One of these computers is equipped with
ZoomText, a magnification and screen reading software for the visually
impaired.

system was put into use in Tianjin Foreign Studies University, achieving
computerized management of procurement, cataloging, collection,

replaced its book management system in 2003 with a Unicorn Consortia

Library System, a product of Sirsi, an American company. With this new
system, readers can reserve and renew books online. In 2004, September
6th, the library has implemented open management since Therefore,
readers can enjoy the open-shelves loan system and self-service. They
can bring their bags or other personal articles, come and go freely, use
the Internet, conduct self-studies, hold seminars, etc. Such a change
provides readers with a convenient and efficient service mechanism that
combines borrowing and reading. In 2005, books are managed through
the internet, and students can borrow and return books between the
campuses by using the One Card throughout the School (OCTOS).
Keeping pace with the times, the TFSU Library is striding forward in
building a 21st century library which is digital, open, and well-equipped.

The UAP library is the biggest and state of the art library in Khyber
Pakhtoonkhwa. It’s a two stories building with equip modern library
facilities. Their library is considered the center of intellectual resources of
the University. Their library provides state of the art library information
services thousands of users, faculty members, researcher, extension
workers, farmers, policymakers, and general public. The library has a
good number of personal computers, latest books on different subject,
Thesis and other information mistrials. The Library is one of the best
complexes in the University building and located is the center of the
campus. The collection of the library is approximate 0.15 million. Koha is
an international standard open source software and has those
functionalities which can fulfill the library automation need of the all
kind of libraries. The koha was successfully implemented system and the
circulation services is now being functional. The library is considered the
center of intellectual resources of the University. The collections solely on
Agriculture Science, Natural Science and Social Science. The Khyber
Pakhtunkhwa Agricultural University Library received publications on
reciprocal basis from organizations both in Pakistan and abroad.

On January 21, 2004. June 1, 2008, Olga M. Ong became College
Librarian IV and Marlyn C. Eustaquio was hired as College Librarian I.

A newly-devised system to track records of the number of readers
admitted is currently being implemented by the University Library. The
system named as UPLib User Monitoring System (UPLib-UMS) was
developed by Mr. Lyndon Franco Alvarez and Gamaliel Dolores. UPLib-
UMS functions as a tracking system that logs the number of admitted
clients and the utilization of the library services. It records the date and
time students registered in and out of the library and the library usage
duration. Sections at the Main Library (Circulation Section located at the
ground floor; Filipiniana and Serials Section at the second floor; and
Learning Commons and University Special Collection Section located at
the basement) as well as College Libraries in the campus implement
UPLib-UMS.

The project primarily aims to develop an integrated library system
catered to the specific needs and requirements of the UP libraries. It also
aims to save on licensing cost for purchasing proprietary software
solutions by developing UPs own library system using Free Open Source
Software (FOSS) tools and methodology to automate the major services of
the library. This manual is written for users of all types: students,
faculty, or staff of the University.And since the search interface of the
OPAC is also accessible to non-members of the University, general
information found in this user’s manual may also apply to public users.

2.3 Synopsis
The Library Management System is one of the simplest management
system and one of the most helpful at the same time. The purpose of the
whole system is mainly to make it more accessible and provide
assistance not only to the librarian but also for the borrowers may it be
students, faculties, or researchers etc. When the quantity of borrowers
gets larger the system is sure a big help. As a researcher the system sure
is a big game changer for every library with a big number of borrowers.
2.4 Definition of terms
2.4.1Technical terms
1. VB.Net - is a multi-paradigm, object-oriented programming
language, implemented on the .NET Framework. Microsoft
launched VB.NET in 2002 as the successor to its original Visual
Basic language.
2. Database – an organized collection of data.
3. Microsoft Access – is a database management system from
Microsoft that combines the relation Microsoft Jet Database
Engine with a graphical user interface and software-development
tools.

4. Primary User – is the account administrator, so they have full
access to all of the account’s features and settings and can create,
delete or suspend Secondary accounts.
5. Secondary User – a user who has a limited access in the program.
6. Storage – the action or method of storing something for future use.
7. Software – the programs and other operating information used bt a
computer.
8. System – a set of principles or procedures according to which
something is done; an organized scheme or method.
9. System unit – sometimes called the chassis, is a box-like case
housing the electronic components of a computer that are used to
processed data.

1. Update – an act of bringing something or someone up to date, or an
updated version of something.
2. Adding – increase in amount, number, or degree.
3. Monitoring – join (something) to something else so as to increase
the size, number, or amount.
4. Report – a usually detailed account or statement.
5. Storage – the act of storing.
6. Librarian – a specialist in the care or management of a library.

7. Deletion - the act of deleting.
8. Searching – to look thoroughly to find or discover something.
9. Borrow – to receive with the implied or expressed intention of
returning the same or an equivalent.
10. Returning – to give something back to a place or person.
Chapter 3
3.1 Existing System
The San Pedro Relocation Center National High School is currently
using a manual procedure in borrowing and returning the books. But
before the borrower can borrow a book he/she need a borrower’s card.
Here’s the steps to have a borrower’s card, the borrower will go to library
and ask the librarian for a borrower’s card. The librarian will
accommodate the borrower and ask for I.D and will give the borrower’s
card. The borrower will give his/her I.D and receives the borrower’s card
then fill out his/her information. The borrower will return the filled out
borrower’s card to the librarian. The librarian will receive and check the
borrower’s card and I.D then the librarian will approve the borrower’s
card and return the I.D. The borrower will receive the I.D and can borrow
a book.

And this is the procedure when a borrower have a borrower’s
card.The borrower will inquire to the librarian and the librarian will
accept the inquiry. The librarian will look for the book while the borrower
is finding his/her borrower’s card in the box where the borrower’s card
are stored. After finding his/her borrower’s card, he/she will fill out the
book information in the borrower’s card and log book and give it to the
librarian. Then the librarian will check the information in the borrower’s
card and log book. And set a designated due date for the borrowed book
and give it to the borrower.And the borrower will receive the book and
can go out of the library.
Also in returning the borrowed books are in manual procedure.
The borrower will return the book and present his/her identification card
or I.D. The librarian will receive the book and the I.D of the borrower, the
librarian will check the book and the I.D. after checking the book and the
I.D, the librarian will put remarks on the borrower’s card and logbook.
The librarian will return the I.D to the borrower and the borrower will
receive the book and can go out of the library.
3.2 Proposed System
In our proposed system the San Pedro Relocation Center National
High School will use a computerized library management system. But
still there are procedures to be followed, here's the procedure in

borrowing books. If the borrower does not have an information, first the
borrower will inquire for the availability of books. The librarian will
accept the inquiry, then the librarian will ask for borrower's information.
The borrower will accept the request and give his/her information. When
the information is received the librarian will encode the borrower's
information, then the librarian will search for the availability of the book
and encode the book's information and set a due date for the borrowed
book. Then the librarian will give the book to the borrower and the
borrower receives the book.
Here are the procedures if the borrower already have an
information. The borrower will inquire for a book, then the librarian will
accept the inquiry. The librarian will ask for borrower's name and book
title, then the borrower will give the information asked. Then the
librarian will encode in the borrower's section the borrower's information
and book information then set a due date. The librarian will give the
book then the borrower receives the book.
And here is the procedure in returning books. The borrower will
return the book and present his/her name, then the librarian will receive
the borrower and book's information. Then the librarian will check the
book and encode if there's a remark and encode it on borrower's

information. The librarian will give the borrower a permission to leave
then the borrower accept the permission.
3.3 User of the System
The users of the system are the principal and the librarian. The primary
user is the principal. The principal has the administrator account which
he/she can add another account for the librarian, edit and delete. The
secondary user is the librarian. In the librarian account, he/she can’t
add, edit and delete the account that is register in the system.

3.8 Security
Our system will use secured database. It has a log in that requires
a username and password, The system can only be access by the admin.
3.9 Maintenance
For the maintenance of the system the proponents/ researchers/
developers will offer a yearly maintenance or provide upgrade if needed.
3.10 Back up
If ever the computer shut itself down, or in case of power shortage,
the user will have UPS to prevent sudden shutdown. And if it cannot be
help and the computer shut off the last thing the user did will be
restored. They can use flash drive and save the database every hour.
Chapter 4
4.1 Summary
In 1970 the school was established as Laguna Resettlement
Community High School. It was located first in Baranggay United
Bayanihan, San Pedro, Laguna. And in 1972 the name was converted to
San Pedro Relocation Center National High School (SPRCNHS). The

school has 3 campuses; the Langgam Campus, Cuyab Campus and the
Landayan Campus. The school’s curriculum/program was changed from
Basic Secondary Education (BEC) to Strengthened Technical Vocational
Education Program (STVEP). The school was categorized as one of the
140 schools in the Philippines as mandated by the DepEd to offer Tech-
Voc Courses based on industry/community needs. In year 2009, the San
Pedro Relocation Center National High School (SPRCNHS) – Langgam
Campus known as the main campuswith two(2) annexes, Cuyab Campus
and Landayan Campus, turning-over the old main campus to Polytechnic
University of the Philippines (PUP). In school year 2012-2013, the school
implemented the K to 12 curriculum/program. The program aims to
improve the competency level of a typical Philippine school like
SPRCNHS.
The San Pedro Relocation Center National High School is currently using
a manual procedure in borrowing and returning books. Here are the
procedure to borrow and return a book. First you must be a student or
faculty member of the school. Then present your valid identification card
or borrower’s card to the librarian. Then fill out the correct information
in the record book for each book borrowed. The book is to 0012day the
book is overdue. And in returning the book borrowed, just present the
book to the librarian for updating the borrower's card.

The main problem of the school is that they are using a manual system
in borrowing and returning books. They also have problems in
monitoring the availability of the books, tracking records like issues, and
borrowers/returners data and they have no organize storage. So our
main objective to solve their main problem is to develop a computerized
library system for SPRCNHS (Langgam Campus) that can handle the every
transactions of the librarian and students. And here’s our solution to
their other problem; to develop and design a system that will allow user
to easily monitor the availability of books, to develop and design a system
that allows user to see records such as borrower’s and books information
and to create and design a system that has organized and reliable
storage.
The scope of the system is to generate borrower registration, if
unregistered, and book addition. The system can also help the librarian
edit information such as borrower and book information. It also offers
addition for newly added books. The school can also use the system to
help the user monitor the availability of the books. The system have an
Administrator account which can add account. The administrator
account is the one who can modify and manage the added accounts. The
system is designed for VB. Net powered unit. It can store data provided
by the primary user. And provides search engine to easily identify what

book is available and what is not. The system is also designed to provide
security of the information provided to the system.In case of power
interruption, the current transaction will not be able to save. And when it
is use in a battery mode laptop, it can be use in a short period of time
depending on the battery’s capacity. System cannot go online so there is
no book reservation for borrowers. The system is also designed for
registered user only. The system can’t have all the list of the students in
the school, only the students who borrows the book.
4.2 Conclusion
Base on the findings, the researchers come up with these
conclusions. The proposed system gives the user a faster transaction,
and an easy way to search for the availability of books.
4.3 Recommendation
The proponents will recommend implementing our proposed
system because it will become helpful for the librarian and for the school
also. The proposed system is very easy to use. We can maintain our
strength by giving the system a proper maintenance. We can also
strengthen our weaknesses by applying a new idea which helps the
system to improve.

1.2 BACKGROUND OF THE STUDY

1.3 Background of the School

In the early part of 1966, the Carmona Resettlement Project was

created; a Priority Project sponsored by the NHA. It is bounded by

Tunasan Friar Land of San Pedro, Laguna, a portion of Carmona, Cavite

households with an average family members of 5 persons, two of whom

are schooling age, either in elementary or secondary. The distance to the

nearest school approximately 12 kilometers away from home, hampered

the education of these children.

By the virtue of Barangay High School Act, the dream of

establishing a high school to cater the education needs was realized

under the leadership of Councilors Doroteo E. Jumauay Sr. and

Francisco Benito. Cognizant of the struggle the students were

experiencing, the councilors fetched them straight from Carmona Cavite

and proceeded to Malacañang to follow up the said proposal. Apparently
