A Summer Internship Project Report on “Improving Delivery Efficiency in RCPL Logistics India Pvt. Ltd.

INTRODUCTION
Like most other industries, transportation and logistics (T&L) is currently confronting
immense change; and like all change, this brings both risk and opportunity. New technology,
new market entrants, new customer expectations, and new business models. There are many
ways the sector could develop to meet these challenges, some evolutionary, others more
revolutionary.

As India is transcending to be a global economy and has its focus on being a manufacturing
hub there is a need of a sophisticated logistics sector to form the backbone of the economic
growth. There is consistent emphasis on use of technology in the logistics industry for
improving the efficiency. There is a need for a consolidated multi modal logistics segment to
fuel the growth. Currently India spends 14.4% of its GDP on logistics and transportation viz-
a-viz to 8% by other developing countries. The freight transport is also expected to grow at a
CAGR of 13.35% by 2020 and this can be attributed to increased demand and supply factors
associated with industries like manufacturing, FMCG, Ecommerce and Retail. All these
factors are a great boost to the logistics sector.

Challenges

According to a World Bank report the logistics cost in India is one of the highest in the
world. According to this study the logistics costs are around 6%-8% of the total value of the
goods in most developing countries. But in India the total cost is about 14% of the total value
of goods in comparison to 10% in China. A comparative study of the freight costs of rail and
road are shown in the following table:

France 5.5
cents/km
Japan 3.7
cents/km
Canada 2.0
cents/km
India 7.0
cents/km

Secondly the logistics sector is also constrained by the lack of proper infrastructure. In a
report by Standard & Poor the losses due to poor infrastructure account for about 4.3% of the
total GDP and this cost may rise up to 5% of the GDP by 2020 quotes McKinsey and
Company.

Further the constraints in the logistics sector are also due to the misuse of the modes used to
transport different types of commodities and the limitations posed by certain modes to
transport others. With respect to the volume of cargo shipped, it can be classified into the
following pyramid:

Hence we can see that to achieve the optimal movement of freight the logistics mode should
be matched with the cargo being shipped. Currently road transport is given preference due to
the inadequacies of the rail transport but this adds to increased turnaround times and costs.
Hence coming out with the best mode of transport for a particular cargo can lead to reduced
congestion and facilitate its easy movement.

The various modes of transportation have their own challenges as well as opportunities of
growth. If we look at road freight the key challenges faced are the poor quality of roads and
network connectivity. Further the check posts are a cause of delay. Further the large number
of unorganized players in the road logistics sector has made it a fragmented industry and
there are no stringent rules and regulations and it also leads to increased competition.

On the other hand rail logistics in India is not in a very good shape. The rail freight costs are
among the highest in the world. Further there is no common system in place so it lacks

SBS, Sharda University 2018 2

A Summer Internship Project Report on “Improving Delivery Efficiency in RCPL Logistics India Pvt. Ltd.”

reliability and traceability. Hence the operations are deficient in terms of quality, speed and
return over investments.

Further air freight suffers from its own inadequacies such as last mile connectivity. It is
dependent on road and rail freight. Further there is also a need of a consolidated system that
streamlines the whole transport network.

With regard to the port freight there are inefficiencies in the loading, unloading and berthing
which leads to high turnaround time for vessels. Further is a lack of hinterland connectivity
and poor port and land infrastructure that leads to inefficient operations.

Opportunities

According to a World Bank Report, on the Logistics Index India has a score of 3.42 which is
better than the world logistics index of 2.89.

This shows that the opportunities in the logistics space are huge and India has started moving
on the path to tap the power of the logistics sector. We can see that due to the growth in the
trade of manufactured goods, textiles, FMCG products etc there is an increased demand for
containerization. Further this additional demand will result in the increased penetration of
containers in the break bulk cargo segment which will in turn help the freight traffic to
increase and expand the sector.

Further there is also great opportunity for multi modal logistics parks which would provide
all types of logistics services at one location. This concept is relatively new in India and its
potential can be tapped. The multi modal logistics parks represent a road and rail based
intermodal cargo handling facility which would be a complete space comprising of cargo
terminals, cold chain, banking and office spaces to handle freight traffic.

There is also a huge scope for intelligent transport systems (ITS) that would provide real time
monitoring of trucks and trains through GPS and integrate the same in one system. This
would lead to a safe, coordinated and smarter multimodal transport network.

In Netherlands there is a concept of Combi-Road which is used for the surface transport of
containers and makes use of specially designed tracks which can then be constructed as
separate roads alongside existing motorways. These containers are then pulled on semi-
trailers by automatic electric vehicles.

A US Environmental Protection Agency (EPA) initiative called SmartWay was launched in

2004 to reduce transport emissions. The strategy was to give incentives to improve supply
chain fuel efficiency by collaborating with freight shippers, carriers, and logistics companies
in order to reach improved fuel efficiency and reduced emissions from transport.

Hence India can also benchmark on the basis of these projects and reach a collaborative
environment for multi modal logistics.

1.1 OBJECTIVES OF THE STUDY

The study of this topic has been undertaken with a number of objectives.

Following are the objectives of this study

 To understand the various parameters affecting the delivery efficiency in a logistic

industry.

 To know about Logistics Industries

 To have a thorough understanding of how logistics and freight industries work.
 To come up with various new ways to reduce delivery cost.
 To learn about various factors affecting delivery efficiency and coming out with
solutions to increase the delivery efficiency.
 To gain maximum delivery efficiency with the limited options available.

1.2 METHODOLOGY OF THE STUDY

The data used for the study had primary and secondary character to it. The primary data was
collected through questionnaire method. The secondary data were composed through the
reference of books, websites, and interviews with various executives in different
organizations of the sample. The procured data was analyzed by a simple percentage method
and the results are supported with graphs and charts.

1.3 SCOPE OF THE STUDY:

The scope of the study is confined to RCPL Logistics India Pvt. Ltd. which is into the
concerned industry.

a. Introduction to Logistics Management

Logistics management is that part of the supply chain which plans, implements and controls
the efficient, effective forward and reverse flow and storage of goods, services and
information between the point of origin and the point of consumption in order to meet

A Summer Internship Project Report on “Improving Delivery Efficiency in RCPL Logistics India Pvt. Ltd.”

customers' requirements. A professional working in the field of logistics management is

called a logistician.

Logistics as a business concept evolved only in the 1950s. This was mainly due to the
increasing complexity of supplying one's business with materials and shipping out products
in an increasingly globalized supply chain, calling for experts in the field who are called
Supply Chain Logisticians. This can be defined as having the right item in the right quantity
at the right time at the right place for the right price and it is the science of process having its
presence in all sectors of the industry. The goal of logistics work is to manage the fruition of
project life cycles, supply chains and resultant efficiencies.

b. Origin and Definition of Logistics:

The term "logistics" originates from the ancient Greek "λόγος" ("logos"—"ratio, word,
calculation, reason, speech, oration"). Logistics is considered to have originated in the
military's need to supply themselves with arms, ammunition and rations as they moved from
their base to a forward position. In ancient Greek, Roman and Byzantine empires, there were
military officers with the title ‘Logistikas’ who were responsible for financial and
distribution of supplies.

The Oxford English dictionary defines logistics as: “The branch of military science having
to do with procuring, maintaining and transporting material, personnel and
facilities.”Another dictionary definition is: "The time related positioning of resources." As
such, logistics is commonly seen as a branch of engineering which creates "people systems"
rather than "machine systems"

c. Prospects of Growth in the Industry

In years gone by, the traditional warehousing and logistics facility was located by railroad
tracks, a water port, and/or freeways, usually in the least desirable parts of cities or large
towns. This stereotype then faded as gigantic, state-of-the-art facilities began to sprout in
more rural areas on the outskirts of transportation and population hubs. The World started

SBS, Sharda University 2018 5

A Summer Internship Project Report on “Improving Delivery Efficiency in RCPL Logistics India Pvt. Ltd.”

beginning to see such facilities showing up in even less "traditional" areas. Modern
warehouses now are being located in carefully manicured industrial parks that are sprouting
as fast as the corn and wheat once did in these open spaces-often in out-of-the-way places.
Why the emphasis on such locations for logistics companies?

Much of it is due to the great flux that the logistics industry has been undergoing in the first
three years of the 21st century. Most of these changes are being driven by a growing trend in
the manufacturing and retail sectors to form partnerships with companies to which they can
outsource non-core logistics competencies-3PL providers.

In turn, 3PL providers are continually looking to provide innovative supply chain solutions
to customers by focusing on value-added capabilities, differentiating themselves from the
competition. They focus on key objectives, such as implementing information technologies,
instituting effective management processes, integrating services and technologies globally,
and delivering comprehensive solutions that create value for 3PL users and their supply
chains. This need to partner with customers and become more integrated into their supply
chain processes has created the ancillary need to locate close to these customers.

That isn't to say the need for easy access to transportation hubs and different modes of
transportation won't continue to be important. But the above shift in business strategy, along
with the advances in technology and enhanced communication, has opened the door for
logistics facilities to operate effortlessly in a myriad of locations.

Profit warnings, share price pressures, mergers, reorganizations, relocations, disposals,

painful layoffs and great geopolitical uncertainties can sweep away even the most
comprehensive logistics strategies – and that’s despite outstanding management over many
years. These are exceptionally difficult times and it has never been more important to
connect logistics and freight planning to executive board thinking than now. It’s easy to lose
sight of the bigger picture in the rush to cut infrastructure cost and conserve cash. Hopefully

organization succeed in protecting the business, satisfying shareholders and analysts, but
what about capacity and flexibility, morale and momentum?

To be a logistics winner in the coming years organizations need to use the downturn to
reshape for growth, propelled by an unshakeable conviction that the mission is still
important, that more prosperous times lie ahead, and that in some way the company
infrastructure is helping to build a better kind of world.

Logistics is inevitable in the future and essentially the management policy also has a
significant role in the future of world. Generally the study is being featured with all aspects
of management in Logistics and Freight areas. (Logistics include Transportation,
Warehousing, Network Design, Cross docking, and Value Adding)

PERFORMANCE

FY17 performance

By restructuring and reinvestment of profits for the company growth in quality manpower
and infrastructure, they achieved their targeted revenue in FY17, with a 17 per cent growth in
turnover from last year. RCPL also bagged the CII SCALE Award for ‘Promising Logistics
Service Provider’ and India Cargo Award for ‘Most Innovative Logistics Company’ during
the year.

Plans and outlook for FY18

For the first couple of months of FY18 they had set low targets since they expected the
business volume to reduce due to implementation of GST. But post GST implementation
they hope business volumes will increase and we will able to maintain the growth rate of last
year.

Company’s GST-readiness

They have already started to get their firm GST-registered in all the states and union
territories and have started talking to their customers across different verticals to understand
the kind of impact their supply chain will have post GST so that they can plug in
accordingly. For instance, they do not expect any significant change in the movement of auto
components to OEMs which follow just-in-time model but component movement to
distributors will have to be tweaked. In addition to GST driving GDP growth, they expect it
to drive more growth on road express services. There will be demand for faster speeds and
higher volume movement by road. As a result, they may design a supply chain focusing on
better effectiveness rather than focusing on the tax expedience. Most supply chains in India
are designed for tax first, followed by supply chain efficiency. Post GST, companies might
manage local regional distribution centers on their own rather than using custom and
forwarding agents.

Technology adoption

They have already implemented GPS-tracking across 100 per cent of their fleet for real-time
updation and control. Post GST, it will further help them to reduce the turnaround time after
removal of check posts. They are also upgrading their fleet as per customer demand with
safety measures such as airbags, buckets and cages. They are also providing access to their
customers for real-time tracking and position of the vehicles.

RECOMMENDATION

Poor logistics planning and decision making can result in excessive expenditures, missed
delivery deadlines and damaged goods. This is why optimizing operational efficiency and
reducing logistics costs are so important. In fact, they should be among the top priorities for
any business that does a lot of shipping and hopes to remain financially viable.

When it comes to logistics cost management, it’s important to remember that efficient
performance and timely delivery are as vital as reducing logistics costs. You shouldn’t
sacrifice the former for the sake of the latter. In short, you must consider both cost and
performance, and balance them against each other.

Here’s a list of the things that largely affect logistics costs:

 Fuel costs;

 Delayed arrivals at transhipment hubs, leading to higher transportation fees;

 Complex regulations governing trade (document processing, compliance checks);

 Subsequent delivery delays and increased warehousing expenses.

Ways of reducing logistics costs and supply chain costs:

 Consolidated shipments

It goes without saying that shipping goods in FCL (full container loads) is preferable
to LCL (less than a container load); it’s safer and more cost-effective. Also, your
goods are loaded according to your specifications in a space that is not shared with
other vendor goods. Otherwise, you may experience customs delays through no fault
of your own.

 Cargo insurance

SBS, Sharda University 2018 45

A Summer Internship Project Report on “Improving Delivery Efficiency in RCPL Logistics India Pvt. Ltd.”

Logistics planning and cost saving strategies won’t mean much if you don’t insure
your cargo properly. The insurance should fully cover the value of your products to
prevent unpleasant surprises.

 Using a single, integrated platform

Supply chain operations should always be integrated into a single platform, accessible
to all involved parties. This way, you’re avoiding duplication of activities across
operations. Such duplicated efforts are time consuming, impair your efficiency, and
leave room for error.

 Outsourcing

The reasons behind outsourcing mostly include cost reduction, increased efficiency,
and the convenience of entrusting important aspects of your work to more efficient
and skilled professionals.

 Supply chain visibility

Maintaining visibility of your supply chain can improve planning and expense control
through better management of your safety stock. Namely, to reduce the risk of
product deficits, supply chain managers maintain a certain level of extra stock. It is a
way to counteract uncertainties in the supply & demand process, and maintain proper
service levels.

Although there is no way to predict or prevent disruptions in the logistics process,

proper supply chain visibility can give managers an insight into such issues.
Using real-time dashboards that refresh data automatically provides supply chain
managers and financial executives with the most current and relevant information.

This way, they can react quickly and find alternate routes of supply or distribution if
the need arises. This also reduces the need for large safety stocks and contributes to
better cost control.

Ways of improving delivery and operational efficiency:

 Improve Communication
 Invest More in Training
 Understand your Operation In-Depth
 Recognize that You are in the “People Business”
 Focus on Internal Customer Service

SBS, Sharda University 2018 46

A Summer Internship Project Report on “Improving Delivery Efficiency in RCPL Logistics India Pvt. Ltd.”

CONCLUSION

Delivering a consignment on-time is like a promise fulfillment; failure can lead to distrust.

Meeting customer’s expectations and delivery requirements has to be a priority for every
business. The good news is those expectations are usually pretty simple: orders should be
shipped accurately and arrive on-time.

Perhaps the most important issue that customers concern about is time. A company’s
adherence to delivery dates is an essential factor that decides the success of the company in
an industry. Those who cannot meet their delivery date have little chance of long-term
success.

Simply speaking, on-time delivery is the ability of businesses to meet the customers’
demands and deliver the services or products to the customer punctually.

The various benefits from increased and improved delivery efficiency can be:

 Increased reputation
 Broadened relationship
 Encourage customer confidence
 Raise profits

When delivered shipments are late, clients automatically fall into skepticism and doubts
referring to the troublesome delivery date schedule of the company. Worse still, the late
delivery affects company business or reliability to someone else. The customers then lose
confidence in the business that fails to deliver their shipments on time. In the meantime, with
strict schedule obedience, the logistics companies gain more customers that have trust in
these companies and tend to practice more transactions down the road.
