METHODS AND PROCEDURES

This chapter comprises the research design, participants of

the study, instrumentation, data gathering procedure, and data

analysis tools to be used in this research study. These will

provide validation to the methods and analysis of data deploy by

the researcher.

Research design

This study will utilize descriptive method and software

development method of research wherein data collection, data

analysis and system development using Scrum agile method and

software and hardware tools. The main goal of this study is to

develop an Integrated Student Management Support System of Our

Lady of the Pillar College School System. The system will focus on

the integration of the different transactions from the frontline

offices of the school. The system will provide information that is

timely, valid, and reliable so that it can produce knowledge that

may also aid school management to come up with sound decision

making.

Figure 8 depicts the framework model of the study which to be

used in developing Integrated Student Management Support System

towards Student Stewardship.

System users are the frontline office personnel that manage

student data, including school administrator who manage decision

making.

The User interface will be used by the user to communicate

with the system. Through the user interface, data such as student

information, student academic grades, student discipline and

violations, and any student related-data will be entered to the

system.
Integrated Student Management Support System towards student

stewardship the system will address the needs not only by the

administrator but also the needs of the student. The system

composed of the different modules such as enrolment process

composed of registrar and treasurer modules – serves as the first

hand transaction that can encounter by the student; Student

Services composed of guidance and counselling, student affair, and

clinic modules – serves as the record keeping about the student

information in a form of cumulative records, health records and

student discipline etc.; Deans Panel composed of grades evaluation

and monitoring of student schedules; the system will also

integrates the feature of research archiving, creation of ID in

the ID section, and a mobile application that will cater the need

of the student in terms of registration, viewing of grades and

balance inquiry; in order for the students to view their grades

and the dean can evaluate the student academic performance, the

instructor are given a panel that will allow them to enter student

grades in every course subject, the viewing and printing of

schedules and student list.

On the other hand, Management support system will show reports

from all the inputted data from the different school offices that

manage student records. The system will integrate all the data to

produce meaningful information to help administrator administer

and develop an intervention program for the students whose


performance are low. Reports that can produce could help

administrator to develop a sound and meaningful decisions and

become a better stewards of the students.

The software development process that the researcher will

employ in the development of the Integrated Student Management

Support System towards Student Stewardship is Scrum Agile

Methodology. The selected agile methodology will incorporate

systematic development techniques to the project to follow a

continuous improvement cycle, exposing faults or errors faster to

reduce waste in the development of the system. The goal will

achieve faster since demos or release of software product arrives

at the client frequently.

Brainstorm. In this phase, the researcher will communicate

with the school heads and personnel’s involved for different

processes in managing student information to discuss and

brainstorm the different features and scope of the proposed

Integrated Student Management System.

Design. In this phase, the researcher will follow the

requirements specified by the respondent and develop the initial

prototype for the development of system after which the

brainstorming was made.

Development. In this phase, the system will be presented to

the group respondents for evaluation. The main purpose of this

demonstration is to gather feedback, comments, and suggestions

from the respondents.

Quality Assurance. In this phase all units or modules will be

subject for testing in order to check if all units coordinated

with one another and the software product as a whole behaves within

the specification of requirements given by the respondents. Then

if the testing of system becomes successful, the software product

will be delivered to the end user.

Deployment. At this phase of the model is actually and

virtually a never ending phase. Because, generally problems with

the software product which are not found during the development

cycle and even during testing will pop-up or arise after the end-
user starts to use the system. Problems may arise time to time

that need to be solve. Therefore, issues and errors found that are

related to the system will be solve after its deployment phase.

Participants of the Study

The participants of the study will be the personnel’s from

the frontline offices comprising the Registrar, Treasurer and

Staff, from Student Services comprising the Guidance Counsellor,

Student Affairs Officer, and the School Nurse; it will also include

the Deans and faculty, IT Technicians, Research Director, and

student who will be the main beneficiaries of the system towards

stewardship, as well as the school administrator of the Our Lady

of the Pillar College.

Data Gathering Instruments

The developer will use the following data gathering

procedures in order to gather related in developing Student

Information System of OLPCC-San Manuel.

Interview Guide. These fact-finding techniques will be done

normally by face-to-face but can also through phone calls or e-

mails. Undocumented information will be collected through a series

of interviews with the respondents. The researcher will ask the

respondents regarding the important requirements and processes

involved in managing student-related data of the school. The


collected information will be analysed and integrated for the

development of the system.

Focus Group Discussion. Vital information related to the

current practices that will be necessary to support the design and

development of the Integrated Student Management Support (IS-MSS)

towards Student Stewardship will be taken through focus group

discussion. The personnel’s from the frontline offices who perform

the student related transactions; the faculty including the

administrators will be subjected to focused group discussion.

Observation. The observation method will involve human or

mechanical observation of what people actually do or what events

take place during transactions. So that the researcher will able

to formulate predefined problems, transactions and questions to

gather an idea on how the system requirements will be develop and

enhance. In short, Information will be collected by observing

processes at work.

Assessment Tool. To determine the extent of compliance of the

developed system a survey questionnaire will be utilized. The

survey – questionnaire is adopted and in accordance with the

International Standards Organization (ISO). This software

assessment tool was adopted and utilized by (Behshid, B., Mohsen,

K., & Mohammad, K., 2009)The ISO/IEC 25010:2011 is formerly known

as ISO 9126. Five (5) – point Likert scale will be used to answer

the scenario.
The extent of complianceof the system will be rated in its

eight dimensions namely:

a. Functionality

b. Reliability

c. Maintainability

d. Usability

e. Security

f. Maintainability

g. Portability

Data Gathering Procedure


The first stage to take before going to conduct a research is

to ask permission from the School President and the Campus Director

of Our Lady of the Pillar College (Cauayan and San Manuel Campus)

where the study will be implemented.

Informal interviews and observations will be conducted in the

different offices of the school that process and manage student-

data in order to gather more data and information that are

reliable, accurate and relative to the study.

A Focus Group discussion will also use and discussed about

the integration of student-data from one office to another and how

better stewardship such as management support will be render to

the students in the form of quality services. This will allow the

researcher to gain insights into how the group thinks about the
issues concerning management of student records through their

academics and assessment to aid their needs.

In addition, the researcher will perform several phases of

gathering the data and information from the different offices that

process student related data and records to address their needs of

integrating student information through computerized system.

Further, the researchers with the help of the different personnel

involved in processing student records will identify the needs of

every office for computerization in terms of collecting,

searching, and safe keeping of student information; reports to be

produce. The researcher will also identify the practices of every

office on how they manage student records, identify the things to

be adopted and apply for the design of the system.

An orientation to the end-users will be conducted about the

system before its deployment for utilization. After checking the

system, it will be installed and respondents will be given an ample

time to experience using the system then they will evaluate the

system as to its effectiveness, acceptability, and performance,

using the ISO 25010 assessment tool. Suggestions and

recommendation of the respondents will take into considerations

for integration.

The questionnaires from the respondents will be collected.

The researcher will checked and validated the scores; Scores are

tallied and tabulated using MS Office Excel. To determine the


weighted means of each item in the evaluation, the software will

be used (i.e. MS Excel Data Analysis Toolpack, Weka, RapidMiner

Studio, SPSS). After which, the results will be analysed and

interpreted based on the purpose of the study.

Data Analysis

In this research, in order the researcher can tally and

organize the gathered data, the following tools will be used for

its data analysis and interpretation.

The following tools to be use are:

1. Weighted Mean. The descriptive statistical tool be used in

this study is the Weighted Mean. This will utilize to

determine the effectiveness for the extent of compliance to

ISO 25010 of the developed Integrated Student Management

Support System.

2. Likert Scales. This scale will use to get the point scales

and descriptive equivalent of the participants’ response on

the proposed system. The (5) point scale has a corresponding

descriptive equivalent as presented below.
