Introduction
Running surveys on the Internet is simple. It is indeed – provided you use the right
tool. EFS Survey by Globalpark is a software solution that gives you appropriate and
ample assistance when setting up and running online surveys. By using EFS Survey
you may quickly turn your concept of a survey into a questionnaire, and from there it
is only a short way to get the results.
To master EFS Survey means to be in command of many functions. Seen from a gene-
ral perspective, EFS Survey provides support when
앫 setting up and pre-testing an online survey,
앫 managing the participants’ access,
앫 monitoring the incoming results while it is “in the field”,
앫 tayloring and requesting a report.
This introduction provides a detailed insight into EFS Survey and its features. You will
be made familiar with the nitty-gritty details of using EFS Survey. For instance, you
learn how to navigate EFS Survey, define filter conditions or invite participants.
We think the best way to master EFS Survey is to make use of it and work with it. For
this reason, we decided to write a hands-on introduction. It guides you through all
steps necessary to set up a survey. We assume that the reader is unfamiliar with EFS
Survey. We do expect, however, that the reader has some experience with Internet
applications and is interested in working through some or even all of the examples
shown in this introduction.

1 Getting Started

1.1 EFS Survey – First Steps

First steps is aimed at users who want to quickly and practically familiarize themselves
with the survey platform EFS Survey.
앫 In Chapter 1, S. 7 the admin area of EFS Survey is introduced briefly. You will get
to know how to change your personal settings such as language and password.
앫 In Chapter 2, S. 11 you will create a demo project in six steps and familiarize
yourself with the most important features of the platform.
앫 In Chapter 3, S. 47 you will explore the differences between anonymous and per-
sonalized surveys by creating a personalized survey.
앫 In Chapter 4, S. 57 you will learn how to create a graphical design for your questi-
onnaire.

This edition of First steps is based on release 6.0 of ESF Survey. Depending on which
installation of EFS Survey you use there can be minor feature differences.

1.2 Log In
In order to log into the administration area of an EFS Survey installation you need a
valid account and a password. Usually you will find the log in under the URL http://
www.your-domain.com/www/

7
1 Getting Started

1.3 Navigating in EFS Survey

After you have logged in you get to the start page of EFS Survey. First we will have a
close look at the screen structure.

Figure 1.1 Structure of the EFS Survey screen

1. Navigation bar with modules

2. Breadcrumb
3. Menu of current module
4. Content area

Is the admin area displayed in the wrong language? You can easily change the lan-
guage settings yourself: In the upper right corner of the screen you can find a link
that enables you to switch from the German to the English admin area and back
again. Click the link and the language will change.

1. Navigation bar with basic modules

The navigation bar which remains visible when working in the admin area contains:
앫 Links to the various modules of EFS Survey.
앫 Links you can use to change the language, invoke feedback form and online help
or log out.
The following chart illustrates the specific content of the four EFS Survey modules.

8
1 Getting Started

Figure 1.2 The content of the modules

2. Breadcrumb
The breadcrumb makes orientation and navigation easier: You always know on which
level of the menu you’re working, and you can swap from one level of the menu to
another by just clicking on a breadcrumb link.

3. The menu of a module

In order to navigate a module there is a menu on the left side of the screen. If you click
on a menu item you will get to the corresponding submenu.

4. Content area
The actual work takes place in the central content area in the middle of the screen. By
selecting different tabs you can choose from various sub topics and you can make ent-
ries and trigger actions with the help of dialogs, icons, pop-up windows or links.

1.4 Changing the Password

When you log into EFS Survey for the first time, you are asked to change your pass-
word and define a security question. The security question is required to establish your
identity, if you forget your password.
The request to change your password is repeated monthly. If you want to change your
password on your own, choose the Staff module, then open the Own account->
Password menu. Enter the new password and confirm by clicking Change own
password.

2 Your First Survey Project: an Anonymous Survey

2 Your First Survey Project: an

Anonymous Survey

Preliminary steps
Before you can create a specific questionnaire in EFS Survey you usually have to do
some detailed preparations.
앫 First you have to determine subject and target group of the survey. In the demo
survey created in this introduction for beginners Internet users will be asked to
evaluate a specific website.
앫 You have to select an appropriate survey type. As we do not have any data of the
participants in our demo survey we choose to conduct an anonymous survey. (In
Chapter 3, S. 47 you will set up a personalized survey in which the personal data
of the participants are known to you beforehand.)
앫 In order to create a questionnaire you need to be familiar with the different ques-
tion types and tools of EFS Survey:
– which question type is best suited for a specific question?
– which page of the questionnaire should contain which questions, sub titles and
multimedia elements?
– where to put a specific filter (i.e. which pages should only be visible to specific
participants)?
– which questions and answer items should be filtered (i.e. should only be visible
to specific participants)?

You can find a draft for the demo project which you are going to implement in the
appendix (Chapter 5, S. 61). It contains all relevant details needed to create a ques-
tionnaire with EFS Survey.
.

Sequence of operations
After you have done the relevant project preparations you can implement the project.
In the course of our demo project you will do the following steps:

앫 In the content area you will find the Project list. It provides information about the
project type and the status of the projects. With the features in the “Actions”
column you can deactivate or end a project, you can change rights for a project or
delete a project.

will soon create all other pages yourself.

The three levels of the questionnaire editor

Before we are going to work with the questionnaire editor we should have a close look
at its structure. As you can see in the following chart the questionnaire editor has three
levels: the questionnaire view, the page view and the question view.

Alternatively you can use lists instead of hiding conditions in the above and similar
situations. A detailed explanation how to work with lists is given in Chapter 7.3 of
the EFS Survey manual 6.0.

2.2.9 Checking answers with a plausibility check

The next page consists of an introductory text, one question about the participant´s
gender and one question about the participant’s age.

The answers to the question about the year of birth will be checked by a plausibility
check to make sure the entered value is within a reasonable range, e.g. between 1900
and 2000.
The participant can only continue to fill in the questionnaire if the data is entered as a
four digit number and is within the predetermined range.

Steps:
1. Create a standard page titled “Demography”.
2. Create a question with the question type HTML code (998) titled “Text”, enter the
text and Save your entries.
3. Click the Page menu item to get back to the page view.
4. On the same page create the question “Gender” with the question type Single
response list (vertical) (111). As you have learned earlier on enter the question text
and the items. Save your entries.
5. On the same page create the question “Year of birth” with the question type Text
field (single row) (141) .
6. Enter the question text and the fill-in instruction.

cal) (111) with question text and answer categories.
17. The question “Competition” must be answered, because on the next page a ques-
tion will be hidden or displayed depending of the answer given. To enforce an ans-
wer define the question as a compulsory question by activating the checkbox
“Mandatory (dac)”: A so-called do-answer-check (dac) will be performed, i.e. a
check to see whether the respondent has answered the question. If he or she has
not answered, a corresponding message will be output.

2.2.12 Creating the final page

On the last page of the survey you want to thank the participants for taking part in your
survey. Afterwards the participant will close the survey window via a button.

Steps:
1. Click on the title of the final page in the questionnaire view and create a question
of the question type HTML code (998). As you have learned in Chapter 2.2.1, S. 18
you can format the text yourself.
2. Insert a “Close window” button: Place the cursor in the entry field, and select the
option “Insert ’Close window’ button” in the drop down list “Insert code automati-
cally”. The following HTML code will be added automatically:
<br>
<div align=center>
<input type=”button” onClick=”window.close()” value=”Close window”>
</div>
<br>
3. Save your entries.

2.3 Activating the Project (Step 3)

Now your questionnaire is complete. Before starting your survey the basic settings of
the project have to be adjusted in the Survey menu:
1. Determine begin and end of the survey. Confirm with Save.
2. In the line “Status” you can see that the project has been created but it has not yet
been activated. Click on Activate and the status will be changed into “Active”.

Figure 2.49 Determining the field time and activating the survey

42
2 Your First Survey Project: an Anonymous Survey

2.4 Testing the Project (Step 4)

Before entering into the field you have to test the questionnaire.

Testing in preview and productive mode

You have repeatedly used the preview while creating the questionnaire to check com-
pleted questions and pages. After the programming is completed, the whole question-
naire needs to be tested. To do so, change to the Survey menu, click the Preview
questionnaire link and check the survey from the point of view of a participant. Go
through the questionnaire and try whether filters, hiding conditions and plausibility
checks really work.
As the preview does not support all features, you should test the questionnaire in the
productive mode, too, before finally releasing it. In the Survey menu, choose the link
in the line “URL”.

Using test and organization tools

A variety of tools assist your team in testing and organization of test prozesses.
앫 To-do management allows you and your staff to capture and manage internal notes
(see EFS Survey manual 6.0, Chapter 6.10).
앫 The pretest tools allows you to capture testers’ comments during the pretest phase
(see EFS Survey manual 6.0, Chapter 10.4).
앫 More test tools and feature-specific checks are presented in the EFS Survey
manual 6.0 in Chapter 10.

Compiling
All data created e.g. by tests in productive mode must be deleted before the start of the
survey. Click on the Compile menu item. Select “Delete all survey data” and click on
Compile survey. Now the database is newly created and all test data deleted.

Figure 2.50 Compiling the survey

2.5 Inviting the Participants (Step 5)

As you have finished creating your online questionnaire you can now invite partici-
pants. Your demo survey is an anonymous survey which means that you do not know
the participants’ data beforehand. In order to gain participants you have to direct
potential participants to your survey
앫 by integrating a link to the survey in a website
앫 by publishing a link to the survey in a newsletter

43
2 Your First Survey Project: an Anonymous Survey

앫 by integrating a pop-up window in a website.

You can find the link of the survey in the Survey menu in the line “URL” (see Figure
2.49).

2.6 Monitoring the Survey (Step 6)

In the Statistics menu, accessible via the Survey menu, you can monitor your survey.
It contains three main sections that can be opened by selecting the respective menu
items: the Field report, the Online statistics and the Open-ended answers.

Figure 2.51 The field report in the “Statistics” menu

Field report
The field report provides information about the number of participants and the break-
off rate.

44
2 Your First Survey Project: an Anonymous Survey

Online statistics
At any time during the survey the online statistics provides an overview of the answers
to closed questions that have been collected so far. You can either get the data regar-
ding specific questions or you can get the data concerning the whole survey.

Figure 2.52 Online statistics for a multiple response question and a matrix

Open-ended answers
In this menu, you can view the answers to open-ended questions.

If you want to offer information on the survey progress and survey results to your
staff members or clients without giving them access to internal features of the pro-
ject in the admin area it is recommended to use EFS Survey Status. As EFS Survey
Status is completely separated from the internal project area an accidental manipu-
lation of survey settings is impossible. On most EFS Survey installations you can
find the login to ESF Survey Status on http://www.your-domain.com/report/ See the
EFS Survey manual 6.0, Chapter 12.9 for further information.

2.7 Exporting Data (Step 7)

After the end of the survey you can export the collected data. Under Survey menu->
Export you can find a variety of options to define format and data volume.

45

Figure 2.53 Export options

Detailed information on the export options can be found in the EFS Survey manual
6.0 in Chapter 13.

46
3 Your Second Project: a Personalized Survey

3 Your Second Project: a Personalized

Survey

The demo survey created in Chapter 2, S. 11 is an anonymous survey, i.e. you do not
know the participants. Chapter 3 presents the second project type that can be realized
with EFS Survey, the personalized survey. This project type is characterized by a rest-
ricted number of participants whose personal data is known beforehand. In contrast to
an anonymous survey, you can invite these participants personally by e-mail.

3.1 Creating a Personalized Survey (Step 1)

First you have to set up a project of the type personalized survey. There are two alter-
natives how to achieve this:
앫 You can create a new project.
앫 For training purposes, you can copy the demo project created in Chapter 2, S. 11
and change the project type.

Creating a new personalized survey

1. Click on the Projects module to get to the project list.
2. Select the Create project menu item.
3. Proceed as learned in Chapter 2.1, S. 12. But make sure that you choose the project
type “Personalized survey” instead of “Anonymous survey”.

47
