Chapter One
1.1 Introduction
Employees are the backbone of any company therefore their management plays a
major role in deciding the success of an organization. Employees Management
System makes it easy for the employer to keep track of all records. This system
allows the administrator to edit employees, add new employees,
transfer/promote/terminate employees. Each employee in the database is associated
with a position can be added and edited when need arises. Employees can be
transferred between positions easily without having to retype back their information
in the database. We can check to see if there are duplicate positions or employees in
the database. Most of all, the employer can assign tasks to employees and assess
their progress in order to keep track of employee performance.

1.2 Statement of The Problem

Manual handling of employee and Reservation information poses a number of challenges. This is
evident in procedures such as leave management where an employee is required to fill in a form
which may take several weeks or months to be approved. The use of paper work in handling some
of these processes could lead to human error, papers may end up in the wrong hands and not
forgetting the fact that this is time consuming.Currently the room reservation system of Gubre
Centeral hotel is manual. Due to this cause, the hotel is under several problems that negatively
affects the reliability, performance, efficiency and effectiveness of day to day activities.

1.3 Objectives of The Project

1.3.1 General Objectives

The main objective of this project is to change manual system of Gubre Centeral hotel employee
Management and reservation system to automated (computerized) system.

1.3.2 Specific Objectives

 The manager can be Keeps the record in the database.
 Adding, deleting and updating of the record in the database becomes easy task for the
manager
 Minimize loss of data, improves speed and efficiently and It is more secured
2|Page
 To study and identify the existing problem in details.
 Friendly user interface to interact with the system and reduce wastage of time.
 Well-designed database to employee management and room reservation system.
 To reserve bed rooms
 To solve the time, cost and man power needed to job performance
 To provide efficient service to the new customers
 To create user friendly environment
 To need fast data insertion & retrieval

1.4 Scope of The Project

In the hotel system there are different types of services which are given because to work touch all
things at this project makes it wide and unreachable so the scope has to specified so system
automates only the partial parts of the hotel.

The scope of employee management systems are:

 The Administrator easily updates and modifies information based on the current state of
the item.
 Report generation:
The Administrator will be able to generate timely reports in order to monitor employees
and this can be used for performance appraisals. The reports will be having all the
information of an employee from educational background, trainings attended, projects
done as well as technical skills.
 The manager collects report from finance, housekeeping, head waiter, and store keepers.
 Employment Process:
The admin will add an employee and a default password and employee id will be
generated and register the new employees. The Administrator will then have the ability to
add an employee’s information to the database.

The scope of reservation management systems is:

 The Receptionist making room reservation

 The Receptionist Check availability and reserved status
 The Manager generate report
 The Receptionist update room information
 The Receptionist register customer.
 The Receptionist take the payment from the customer

1.5. Feasibility study

1.5.1. Technical feasibility
 The system will be developed by using technologically system development
techniques such as visual studio php without any problems and the group members
have enough capability to develop the project. So the system will be technically
feasible.
1.5.2. Economical feasibility

 The project has being passed through different financial and cost examination. Due
to this it has a good tangible and intangible benefit.
1.5.3. Operational feasibility
Surely the system will provide accurate, active, secured service and decreases labor
of workers and save time and also it is not limited to particular groups or body. To
make the system is efficient we tried to use most available resource of the university
that operates in good manner
1.5.3 significance of the project
1.5.4 our project significance is to reduce the problem of reservation that happens around the hotels
and to reduce the amount of the employes workers

1.7. Methodology
1.7.1. Development tool
1.7.1.1. Modeling
Enterprise architect

1.7.1.2. Interface design

Visual studio

1.6. Limitation of the Project

 Because of the proposed system is computer based , it can’t be
accessed without computer devices.
4|Page
 This system will be comfortably used by only computer literate people
 May be affected by performance of external factors such as finance
etc.
 The system depends on electrical power and electronic device.

1.7.1. 3. Documentation
Microsoft word office

1.7.1. 4. Planning
Grant project

1.7.1.5. Language used

Php framework: Yii framework
