PROJECT AND ITS CONTEXT

Project Context

The development of technology has a big impact to the daily life of every one of us,
as the computer became widely used and considered as part of our present society. It change
and improves at a rapid speed, companies and institutions also became updated for the
computer generations. As we become knowledgeable for the present life the development of
computer technology also affect the life standard of the users, the limitations of systems has
its way too far. The technology became useful in every establishment like hospitals, malls,
government agencies and even schools. Using computers are the most common way for
monitoring and observing human activities, in schools they should make a more secure
system and easy access for the student using unique identification interface for every user.

Colegio de Sta. Teresa de Avila. The College began only academic year 2007-2008.
The founding of the college was the response to the immediate need of the student in the
nearby community. A Ladderized Education was fashioned to meet its needs. The history of
computer laboratory in CSTA we have 40 Desktop Computers in 2009 with CRT monitors.
Currently we have now 5 laboratories at the ground floor in IT Department. Currently we
have 200 Desktop Computers installed at the ground floor in Gym Building.

The main problem of Desktop Computers is dust is a problem from the standpoint
of blocking fan vents, or , if deep enough, actually insulating parts, causing overheating and
Virus is a computer program that can replicate itself and infect a computer. The term
“computer virus” is also commonly but erroneously used to refer to other types of malware,
adware, and spyware programs that do not have this reproductive ability.

The Reason why I chose this is because I want to know how it will work to computer
laboratory and how to do it better and more efficient.
Objectives

This study aims to develop the different level of system that can easily use for the
computer laboratory of Colegio de Sta. Theresa de Avila as stated the following below;

1. To create a system that will be used in the computer laboratory for efficient
inventory purpose.
2. To develop the system to a user-friendly and informative computer laboratory
inventory system.
3. To make the system secure from unidentified access which requires valid
information from school administration.
4. To insure that the created system will be useful as it provides all the data needed by
the user.

Scope of the Study

The study proposed by the researchers will focus on making the system useful in
inventory purposed. The system will provide all the information needed by the professors or
any school official that will access the computer laboratory inventory system. All the data’s
provided is about computer components, from hardware’s to software status of a computer
unit. The system will require user information for signing up purpose, upon completion of
the required information, the user will access the system freely.

Limitations of the Study

The system is only limited for inventory purpose and can only be used by the
professors and school officials. It will not be used for grading, attendance and hands-on
purpose of the students.

REVIEW OF RELATED LITERATURE

This chapter renders data and information about the related literature and studies
that have gathered from publish books, journals, related articles and online publications that
will help the readers for the further understanding of the proposed study about the
“Computer Laboratory Inventory System” that will help the students, professors and also to
the institution of Colegio De Sta. Teresa De Avila for the quick and efficient user interface
of the computer for the laboratory.

Related Literature

Based on Fidele (2013) a book entitled "computers a part of learning today" the
computer is the principal tool used in today's technology. It is being widely used all over the
world and has a major impact in our daily life. People use computer in many way such as
keep track of products, it helps teachers keep track of lesson and grades. They help students
do research and learn. Computers let you be connected to networks. They help students do
search and learn. Computers let you be connected to networks. They let you hook up to a
worldwide networked called and internet. A computer laboratory also name computer lab is
a cluster of computers labs offer users' access to the internet and provide software the
student can use to do research and complete their home works.

According to Abela J. (2013) "Managing of Computer Laboratory" for many subjects

it is use Web-browsers for students to research information, but the difficulty is that
students often get distracted from the original purpose or worse still they sneakily use extra
browser windows to hide their personal email and games. This paper plans to outline a
framework to efficiently manage computer lab sessions and will include the following
aspects. Design tasks in appropriate stages to ensure clarity, setting boundaries and
expectation before the task, clearly ask communicating the task in class monitoring the task
effectively, giving appropriate feedback and measuring outcomes from the time spent on the
PC's. This paper's ultimate aim is provide a system that increases student productivity and
provides a clear skeleton for teacher planning
 Helsinki Metropolia University of Applied Sciences (2014) a study about computer
laboratory management system a developed web application using Django. Django is a web
application framework written in the python programming language. Installing django is a
simplified with the pip tool. With the pip tool latest version of django can be installed by
executing the next command from the command line terminal in web applications most of
the information, if not all, is stored in a database.

According to Ryan Luedecke of Mojo Dese (2018) you can track things easier, for
example, you can run report on every ticket a team mates
has worked on in the past month.

According to Tim Peck of Vesco (2013By nature a spread sheet is two dimensional
and any reporting will be limited to the Fields that exist on the spreads sheet in contrast by
using a relational data base like a full error system, you have the option to report inventory in
relational to anything else related to the business like costumers, sale people, vendors, etc.”

According to Paul Trujillo (2013) having a single Excel workbook limits user access,
if you have multiple individuals touching inventory, only one can edit your workbook at a
time again increasing that probability of errors.”

According to Vince Theetan (2014) “A computer crash, hardware failure or virus can
potentially mess all your hard work and set you back like it’s nobody’s business Kenneth
Hamlett Properly managing inventory requires a system of some sort. It doesn’t matter if the
system consists of writing inventory levels on the back of an envelope or using the most
sophisticated radio frequency identification system. The different types of inventory
management systems all have pros and cons. For the small business deciding on an
inventory management system, choosing the right one boils down to which system holds the
most value for the company.
According to Hashim N. M. Z. (2013) a study about “Laboratory Inventory System”
This system focused on recording and updating the data. It is also having a report in the
system which will make user easier to check the current status of each equipment and
component in the laboratory. Besides, this system development was based on forms oriented
that were used by the technicians and staffs before. This new system also used database
concept to store all the information which related with land application processes

According to Nakandalage D. N. (2014) a study entitled “Design and

Implementation of Laboratory Inventory System”; Lab Inventory System is a resource
management system for a laboratory for handling loans and reservations, managing user
profiles and allowing search facilities for users to find out information of equipment in
detail. It is a better solution with many flexible and convenient features, allowing lab
administrators and users to maximize efficiency while reducing time wastage. It gives
detailed information about users and equipment with vendor and salesman details and keeps
track of available equipment and issued equipment.

According to Kakde P. D. et al (2015) Computer Lab monitoring system is used to

build up and improve the management system for computer labs. The purpose of
development included in this project is to retrieve the original management system with a
computerized system. Nowadays, teachers are, required to maintain the practical using the
lab manual & currently the students do the login to the different computers which one is
available in the lab, drawback of this the proper database of completion of practical’s is not
maintain, which is not easy for the inspectorate to check it and terminate the program.
Hence, this application will be built where student can write their purpose of using of lab, at
the same time maintain the record computerized using the lab monitoring system. The
student data will stored in a database where it will be view and manage by the administrator,
also another attributes added like news updates and view student feedback again system will
be monitor. The student practical record stored in database

According to Shaha V. et al (2015) a study about “Remote Lab Monitoring“ is

implemented to overcome the problem faced by Administrator/Teacher to monitor
client’s/student’s Activities over a LAN, The aim of this project is to implement Client
Server Protocol Implementation to manage the computer network or a LAN by
implementing such software to carry out operations which are capable to monitor entire
computer lab by sitting on one chair by viewing client’s activities, passing messages to client
system, file sharing, prevent use of USB Devices and is also able to shut down the clients
system by performing remote aborting operations. Whenever user logs-in into the system
then his attendance is automatically stored and the connected students desktop will be
shown to Teachers machine.

According to Arshad S.et al (2017) a study entitled “Computerized Inventory

System” Stock keeping and stock checking is one of the major components of any business
organizations. Manual reports are time consuming and difficult to construct. A user friendly
computerized store inventory system has been developed in FoxPro after studying the
current store system of the University of Agriculture, Faisalabad. The proposed software can
help improve the efficiency of the store department. It is timeliness, accurate, reliable,
consistent, faster, efficient and easy to use. Removal of redundancy/duplication and
irrelevance are some of the other benefits. It can be easily tailored for multi-user
environment with minor modifications

According to Mr. Serdina (2015) to his book “Computer Laboratory” Computer

Laboratory is one of the facilities that had provided to help students practice the theories
that have been though in lecture. at this instance computer laboratory needs management
software in order to secure, obey the rules inside the laboratory and uses its advantage . It is
more advantage if computer laboratories will use management software that will manage
several tasks of instructor or some faculty in school, who uses the computer laboratory,
Based Statement above it is related to our study because the system it has capability to
restrict other application to secure other installed application in computers. and the students
cannot allowed launching application with permission of the instructor.

CSSP Laboratory (2014) The CSSP aims to initiate projects for the college to
develop technology based methods in teaching. learning and research in the social sciences
and to ensure that the college takes full advantage of information technology.

SGS (2014) comp. lab offers a variety of services designed to make and your
department run as efficiently as possible. our goal is to provide services and resources you
need to make life as easy as possible.

TECHNICAL BACKGROUND

Technicality of the Project

The diagram shows the flow and process of the system for computer laboratory
inventory. Based on the figure, it shows that the user will first need to be log in to use the
system. After the user logged in, the system will process the user information and verifies in
the database. Upon confirmation of the user data, the system will be accessed by the user
and he/she is free to use the system.
Details of Technologies to be Used

SQLyog - is the most powerful manager, admin and GUI tool for MySQL, combining the
features of MySQL Query Browser, Administrator, php MyAdmin and other MySQL Front
Ends and MySQL GUI tools in a single intuitive interface.
Database - is a data structure that stores organized information. Most databases contain
multiple tables, which may each include several different fields. For example, a company
database may include tables for products, employees, and financial records. Each of these
tables would have different fields that are relevant to the information stored in the table.
Dbms - is a database program. Technically speaking, it is a software system that uses a
standard method of cataloging, retrieving, and running queries on data. The DBMS manages
incoming data, organizes it, and provides ways for the data to be modified or extracted by
users or other programs.
Vb.Net - is a programming language and development environment created by Microsoft. It
is an extension of the basic programming language that combines basic functions and
commands with visual controls. Visual Basic provides a graphical user interface (GUI) that
allows the developer to drag and drop objects into the program as well as manually write
program code.
System - is a computer system allows users to input, manipulate and store data. Computer
systems typically include a computer, monitor, keyboard, mouse and other optional
components. All of these components also can be integrated into all-in-one units, such as
laptop computers.
User - entity that has authority to use an application, equipment, facility, process, or system,
or one who consumes or employs a good or service to obtain a benefit or to solve a
problem, and who may or may not be the actual purchaser of the item.
