Spreadsheet Chart [Graphing]

Steps
1. Click in cell say C3 and enter the heading eg Title. Click in another cell, say D3 and enter the
second heading Title2.

2. Click and drag to highlight cells C3 and D3. Then click on Bold and Centre Align menu

buttons.

3. To widen columns go to the line between the C3 and D3 headings; when the two-headed
arrow symbol appears click and drag to change column width.

4. Click in Cell C4 and enter the first category from your survey. In cell D4 enter the first
number.
Repeat for cells C5 & D5, C6 & D6, C7 & D7and so on.

• If you want to calculate the total number of students surveyed, in cell C10 enter Total (bold,
left-aligned);
In cell D10 enter the simple formula =SUM(D4...D8) , then RETURN key
NOTE: • The = sign at the start shows that this is an Excel spreadsheet formula

5. To calculate the percentage (%) for each survey category, first enter heading % (bold, centre
aligned) in cell E3, then:

i. in cell E4 enter the simple formula =(D4/$D$10) then RETURN key


NOTE: the number calculate will be a decimal; we’ll change it in a little
while
NOTE: the $ symbol is needed for the next step when we want D10 to
stay the same (Without the $ D4 will change as it is copied
using Fill/Down)

ii. click and drag from cell E4 to include cell E8

iii. in EDIT menu choose Fill / Down.

iv. click and drag from cell E4 to include cell E8 again

v. in FORMAT menu choose Cells; then choose Number; then choose


percentage,

vi. then 0% (for no decimal places), then OK


NOTE: the numbers should now be shown as percentages

this can used for any formula [eg =C3 + 1]

6. To Graph the survey


(i) click and drag to highlights cells C3 to D8

• NOTE: to select two separated columns you can first click and drag to
highlight one column (say C3 to C8). Then hold the  key down while
you click and drag to also select the second column.
(ii) click on graph wizard icon

(iii) click and drag to create a sizable window for your graph

(iv) follow steps to


a. choose Column graph box, then Next button

b. choose 2 for Single Column, then Next button


NOTE: Sample chart should show items on horizontal (X) axis & Numbers on
vertical (Y) axis,

c. add Chart Title, Category X title, Value Y title

d. then Finish button


then save as “a chart in Sheet 1”

if you get lost or select incorrectly choose CANCEL and repeat from the
start of this step.

7. Open the graph by double-clicking on its window. The graph can be selected by clicking on it
to resize, move or delete. Drag corners to make graph as big as spreadsheet window.

8. Chart menu can be used to alter graph type, lines or legend.

(accessed through VIEW menu / toolbar / Chart)

9. To Edit your graph double click on the part to access its dialog box
• title • y axis • x axis • columns

10. Single clicks can also be used to change the text formatting in headings

11. When finished with your graph, save the complete worksheet in your Documents

12. To copy the graph, click on the spreadsheet graph box, then use SHIFT key and Picture
Copy in EDIT menu.
- Go to Fireworks and choose New in FILE menu
- Choose Paste in EDIT menu. Resize if needed

13. Use Save in FILE menu to save as a png graphic (for the web)

14. Use FILE / Export Preview to export a gif version into your sites for the web
- You can then insert the gif graphic into your web page
