CHAPTER I

THE PROJECT AND ITS BACKGROUND

Introduction

A Kiosk is a small, free-standing physical structure that displays information or

provides a service. Kiosk can be manned or unmanned, and unmanned can be digital or

non-digital. In business, kiosk are often use in location with high foot traffic. In a

shopping mall, for example, an unmanned, non-digital kiosk can be place near entrance

to provide people passing by with directions or promotional messaging manned kiosk

temporarily set up in aisles can provide businesses that have seasonal sale cycle with a

cost effective way to display wares, and digital kiosk placed near movie theatres can

provide online banking or ticket sales services. Information Kiosk can make a great way

in updating students’ grade. Nowadays, common problems faced by the student are

lack of information in updating their grades. So with the help of this system, the students

now are update in an early time of information. Most of the school cannot afford to

implement such system inexpensive way. Preferably, in terms of daily updating of

information, an Information Kiosk system can really help for a productive school. That is

why this study is conducted to build such systems reliable and good enough to be

trusted by the student and school. It would be the best and easy to use this information

kiosk system.

Dalubhasaan ng Lunsod ng San Pablo (DLSP) is a tertiary education that is

operated by the City Government of San Pablo City that offers college education with

expense. DLSP was established during the term of Hon. Vicente B. Amante. DLSP
offers different program such as Information Technology, Engineering, Education, Hotel

and Restaurant Services, Business Administration and Accounting.

As the time goes by population of students on DLSP is getting bigger at the rate

of 4000 and above. Managing and maintaining students’ records are the main issue

because some of them are irregular. Students’ record enables to recall their

performance throughout the year or semester by preserving all the information on the

registrar office. They are the one who’s in charge with all the documents and

information of the students. As for now they still using a manual operation thus the

developers find a way on how to help the staffs, which will achieve through having an

Information Kiosk.

Project context

The information kiosk systems identified in this study were used to provide

information for updating student’s grades in every department. For kiosk projects that

provides only information. We aim goals in this project: is to manage database for

school requirements for every new students such as (High School Card, NSO/PSA,

Certificate of Good Moral Character, Voters ID or Voters Certificate/ Parent’s Voters

Certificate of non-voters.) for transferees (Transfer Credential & Certificate of Grades

Transcript of Records, NSO/PSA, Good Moral Character, Voters ID or Voters

Certificate/ Parent’s Voters Certificate of non-voters) for old students (Accomplished

Clearance Form, Evaluation Form, School ID) and also the rating sheets. Provide

quick access of information, give convenience to the user by providing relevant useful

information, create user friendly system. These goals can be accomplished with the

help of an information kiosk system. With the system around, you can have complete
information for every grade, user‘s want to know. Every task can also be performed in a

quick manner. With a Kiosk information system, it can really help updating students’

grades. Through this, your ultimate aim of giving exact information can be easily

reached.

In changing a new technology are issues that may support or be obstacles to a

successful kiosk system. Beyond complete information, the kiosk should include

information on student’s grades. This research showed that most of the kiosk systems

can include the ability to inform students in their grade. From a school perspective, a

well-designed interface screen can be an additional user friendly Feature.

A continuous display of updated information about the grades will be provided

through the kiosk system in front of the Registrar Office.

Objectives

The main objective of the project is to assist the staff in the Registrar Office at

Dalubhasaan ng Lunsod ng San Pablo in the recording, monitoring the student’s status

every semester when it comes to their grade.

Specific Objectives:

Specifying the project:

1. Creating and developing an Information Kiosk that will be capable of:

a. Recording all the information of the students in every department

b. Monitoring student’s subjects and grades evaluation.


c. Providing a quick access of information and students grades.

d. Give convenience to the user by providing relevant useful information

2. Evaluate the project in order to determine if it complies with the Functionality,

Reliability, Usability, Efficiency, Maintainability and Portability ISO 9126

standards.

3. Prepare an implementation plan for the deployment of the project.

Purpose and Description

The research aims to develop the Student Information Kiosk System. In this

project, the researchers will have a streamline of the Information Kiosk System to as

simple and as user friendly as possible. Speed and reliability of service are also

important aspects. The ability to add more features seamlessly is always a handy

feature. A Kiosk system that is easy to learn and simple to operate will increase

efficiency in terms of giving exact information about the grades and updating programs

from different departments. For the student’s it is to provide the information they needed

such as grades, scheduling and to easily retrieved and view grades for the present and

previous semester and for the registrar it is to lessen the disturbance at the office and to

have a centralized records.

Once the proposed project which promote innovation is implemented to Registrar

Office of DLSP, it will give the following significance particularly to the following:

DLSP. The project will help the institution to become more competent when it

comes to the innovation of technology. The project will help DLSP to become more

popular.
Finance Office. The Finance Office will become the pioneer of this project; the

said office will be the first to use the project after it made.

Staff. The project will help them to monitor the entire student with balances.

Developers. This project will help to boost the confidence of developer in creating

this project.

Future Developers. The project will help the future developers for references to

be able to create a new one or enhance the project.

Scope and Limitations

DLSP Kiosk provide accurate student’s information, about evaluation of grades,

subjects offered for the next semester, pre-requisite of enrolled subject, subject

descriptions. Operating speed will depend on how much data is maintained at the kiosk

system, and for this kind of system student must know on how to operate the said

information kiosk system. Since this system is easy to operate the student can really

understand and enjoy by viewing their own grades. Only admin can operate and edit the

system and print the evaluation form. The developers’ provide a registration for every

student’s to have .their security and privacy when viewing their grades.

This study has a limitation that user’s cannot edit, add, and update the grades.

This figure shows the input, process and output of the study. The input phase

show the required data to be used in performing the specific operation of the system.

On the illustration above, the system needs to know the basic information about the
students, their names, courses, departments and student ID. Those data will be

processed by the Information Kiosk. The project will help the students to view their own

grades for the whole semester.

Definition of Terms

For the purpose of this project, the following terms were used and defined to

serve as reference to the readers.

Application in Information technology, it is a program designed to perform a

group of coordinated functions, tasks, or activities for the benefit of the user.

Dalubhasaan ng Lunsod ng San Pablo (DLSP) is a locally funded college located

at Brgy. San Jose, City of San Pablo.

Management Information System (MIS) is an information system that evaluates,

analyses and processes an organization’s data to produce a meaningful and useful

information.

Registrar Office one of the offices in a college needed for keeping all the

documents of the students.
