Creating an Invoice Template

The Basics

Press the Company tab and then the Company details button.

Press the Set up hyperlink next to Invoice filename.

The following screen is where you can create and edit invoice templates. The header is shown
in the top box and the footer in the bottom one. These act like a word processor.

To create a new invoice template, scroll to the bottom of the screen and press the New button.
Ensure you regularly Save your progress whilst working on the template.
In the Detail box enter a name for the new template. The invoice templates are shown on the
list in alphabetical order, which enables you to change the order they appear in. You can
select another template using the Select invoice detail drop down menu.

The Left margin determines how big the margin will be for the main body of the text. The
Content height field determines how long the invoice is. Both use pixels (px) as the unit of
measurement. The standard guidelines used are 35 px for the Left margin and 450-500 px for
the Content height.

Between the header and the footer box, you can select the font type and size for the main
body of the text.

Add a Logo
There are two boxes that are used to create the invoice templates: the header is the one on the
top and the footer is the one below it. You can create the header and footer in either the
Design mode or HTML text. Design mode acts like a word processor. HTML text allows you
to use HTML. You can use either to create the header, and can switch between the two by
pressing on the tabs highlighted below.

Before adding a logo, ensure that you upload the required file using the Upload file field. The
logo should be in a JPEG, GIF or BMP format. Please ensure you upload the file from your
local computer and not a password protected server otherwise Liquid won’t be able to find it.
Once the file has been selected press the Save file upload button.

The easiest way to create a header is by creating a table. This allows you to position the logo
and address onto the page more accurately. To do this, press the Insert a table button that is
highlighted below.

A box will appear where you can select the dimensions of the table. The width and height can
be determined by inputting the pixel figure manually into the relevant fields. To select the
number of rows and columns that a table has, simply use the + and – signs next to each one. A
standard header usually has two rows and three columns. The border width should be set to 0
and the border colour to blank so it is not visible on the invoice. These details can be edited
later by either going into the table properties or by manually dragging and dropping the table.
To upload the logo, select the box in the table you want to insert it in and press the Insert
image icon.

In the Image URL field, enter the following command, followed by the file name of the logo
that you uploaded:
../../../Uploads/your company code/your file name.

An example of this for would be: ../../../Uploads/itn2294/liquidtest.jpg

Add any other details, for example height and width, and then press OK. The units are in
pixels.
The logo should now appear. You can edit the size by dragging the image to the correct size,
or by right clicking on the image and selecting Image properties.

Adding Contact Details


You can enter any other details you need simply by adding the required detail into the table.
For example this could be an address in the header or the terms in the footer. Simply start
typing the address into one of the boxes. You are able to use many of the functions you would
get in Microsoft Word, such as changing the font size and style and being able to centre align,
to name just a few.

The boxes will grow in size as you type. If you need to change or the fix the size of the table
columns or rows, right click on the table and select Table properties.
Change what is shown on the Invoice

You can change what appears on the invoice by ticking the relevant boxes shown below.

Code- This will show the stock code for the item, if applicable.

Packs- This will show the number of packs, if applicable.

Weight- This will show the weight of the packs, if applicable.

Detail bold- This will put the detail of the invoice in bold.

Quantity- This will show the quantity.

Price- This will show the price next to each line.

Delivery date- This will show the delivery date of the items.

Base currency- If using multi currency, this will show the base currency.

Bottom align- If the invoice details runs over two or more lines, this will make the line align
along the bottom, rather than the top.

Reviewing the Invoice template


To see the changes made to the invoice template press the Print test button. Ensure you Save
before you do so, otherwise the changes won’t be seen.

To see how it will fit onto an A4 page, select File on your web browser (Mozilla Firefox is
shown in the example below) and press Print preview. Alternatively, you can go to a sales
invoice and press the Print button to test it on a real invoice.

The screenshot below is of the test invoice with none of the additional boxes ticked.
