Team Procedures

1.​ ​Day, time, and place for regular t​ eam meetings​:


Sub group meetings on Thursdays and entire group meetings Saturdays, 9pm EST, Blackboard
IM.

2.​ ​Preferred method of​ communication​ (e.g., e-mail, cell phone, wired phone, Blackboard
Discussion Board, face-to-face, in a certain class) in order to inform each other of team
meetings, announcement, updates, reminders, problems:
Members should check daily on Blackboard Discussion board for any updates.

3.​ ​Decision-making policy​ (by consensus? by majority vote?):


Majority Vote, which will take place on the group discussion boards or through Blackboard IM.

4.​ ​Method for setting and following meeting a​ gendas​ (Who will set each agenda? When?
How will team members be notified/reminded? Who will be responsible for the team following
the agenda during a team meeting? What will be done to keep the team on track during a
meeting?):
A volunteer will agree to set the next agenda at the end of each meeting. Part of the agenda for
each week will be to designate a leader for the next meeting who will create the next agenda.
This leader will host a chat in Blackboard IM and ensure each agenda item receives the needed
attention in addition to keeping the topics on track with the assignments.

5.​ ​Method of ​record keeping​ (Who will be responsible for recording and disseminating
information? How & when will the information be disseminated? Where will all information be
kept?):
Meeting minutes will be e-mailed after each meeting to all team members. Someone will
volunteer at the beginning of each team meeting to take notes and email out minutes.

Team Expectations

Work Quality

1. Project standards​ (What is a realistic level of quality for team presentations,


collaborative writing, individual research, preparation of drafts, peer reviews,
etc.?):

We want to create a quality website or blog that is clear and easy to navigate.
Given that we do not have all the experience in web design, we want to do our
best and make sure that our prose is clear, our grammar is correct, our fonts are
easily read, the colors of the webpage are not too intense, and that any pictures
we use are not blurry. A major goal we have is high quality communication to
make the project process go as smoothly as possible.

​ 2. Strategies​ to fulfill these standards:

We will hold each other responsible for checking group discussion boards and
use Blackboard IM to keep in contact with group members so that we work
together effectively. Part of the project review process will be to cite and review
our sources for reliability of information.

Team Participation

1.​ ​Strategies to ensure cooperation and equal distribution of tasks:


We will split the team into three groups and select a leader for each group who will serve as the
main communicator/organizer/distributor of the work. The work will be distributed, and the teams
would meet on Blackboard IM or have a discussion thread to put all of the work together.
We will strive for consistent and effective communication, continued leadership from all
teammates, and willingness take on tasks and delegate if needed. We will freely admit when we
can't figure something out and support each other to get each part of the project completed!

We will attempt to reach out to team members who are not able to make it to team
meetings to help ensure that everyone’s voice is being heard.
We will have brainstorming sessions for a set amount of time where anything goes and
will be listed in a Google Doc. After a set amount of time we will discuss the options we came up
with.

3.​ ​Strategies for keeping on task (task maintenance): We will conduct a weekly review of
accomplishments during team meetings. Review will include a listing of assignments coming
due.

4.​ ​Preferences for leadership (informal, formal, individual, shared): Informal shared
leadership; Members of our group will volunteer leadership that will be shared on several
occasions including but not limited to: leading weekly meeting and discussions, creating
agendas, and managing within our smaller groups.

Personal Accountability

1. Expected individual attendance, punctuality, and participation at all team meetings:


Be present at all team meetings, no more than 5 minutes late. Contribute during team
meeting. If a teammate can't make it to the meeting the rest of the team should be
notified through email.

2. Expected level of responsibility for fulfilling team assignments, timelines, and deadlines:
Members will fulfill all tasks assigned them before the deadline to allow for team review
and revision. If a member feels they cannot complete a task on time they should ask for
help.

3. Expected level of communication with other team members:


Attendance at weekly team meetings.
Check Blackboard Discussion Boards daily and participate in conversion.
Check email daily to stay caught up on meeting agendas and minutes.
4. Expected level of commitment to team decisions and tasks.
Members will support the team’s vision and help follow through on that vision, while also
being honest about their own thoughts and ideas.

Consequences for Failing to Follow Procedures and Fulfill Expectations

1.​ ​Describe, as a group, how you would handle​ infractions​ of any of the obligations of this team
contract:

Lack of input from a team member should be addressed right away. We do not know if they are
going through something that is preventing them from responding, or if they are just not being a
team player. Reaching out right away will hopefully bring clarity to the situation and encourage
the team member to actively participate for the rest of the project. If team members do not
complete tasks by the agreed-upon date, we will immediately reach out to said group member
and propose a new deadline for them to submit their work by. If this does not work, the rest of
the team members can be prepared to step up and complete what needs done.

2.​ ​Describe what your team will do​ if the infractions continue​:
​ ​If team members fail to submit work even after having deadlines extended and team members
are not able to to take on the burden, we will reach out to the instructor about the issue before it
escalates to the point of our group and grades suffering. However, we will first try to handle it
ourselves.
