Communication
Communication is a process which information is embedded in a package and then channeled by sender to a receiver via
some channel media. Communication can also be defined as the sharing of self-feelings with other people and the
sharing of ideas with others
 8 Elements involved in a communication process
- Message info. Or idea being communicated
- Source which is also known as sender that begins a message, an origin of something.
- Encoding are usually done with the use of symbols or expressions depending on the context of the message
involved and after encoding, the message is then sent again and the person who receives the message or piece
of information is called the receiver.
- Channel of communication involves the choosing the route to take for the message to travel. The channels can
either be formal or informal.
- Receiver refers to the person receiving that piece of information
- Decoding is done after the person receives the message
- Response is replying by giving an answer or reply to a question asked or something that needs to be paid
attention to.
- Feedback clearly is given when something needs to be amended or paid attention to. NOD
 A Communication Barrier is anything that prevents you from receiving and understanding the messages others
use to convey their information, ideas and thoughts. These barriers may be related to the message, internal
barriers related to thoughts and feelings, or external barriers.
- Physical barriers are caused by noises and distractions from the environment.
- Language barrier kind of difficulties they face when they do not have the basic knowledge of language in
common with other people. Use of words
- Cross-Cultural barrier defined language and cultural misinterpretations
- Stress can exist in two ways, either physically or mentally. Physically refers to the external factors around the
surrounding affecting the people working in the organization, mentally on the other hand can be factors that
arise from within a person's inner self.
- Emotion barrier is the intricate psychological experiences that an individual's state of mind is interacting with
their environment.
- Filtering is also one of the elements contributing to the communication barrier. Filtering refers to the deliberate
manipulation of information to make it appear more favorable to the receiver.

BASIC PRINCIPLES OF COMMUNICATION


Effective communication is a part and parcel of any successful organization. A communication should be free from
barriers to be effective. Communication is a two-way process where the message sent by the sender should be
interpreted in the same terms by the recipient. The characteristics of effective communication are as follows: What is
effective Communication?
Clarity of Purpose - The message to be delivered must be clear in the mind of sender. The person to whom it is targeted,
and the aim of the message should be clear in the mind of the sender.
Completeness - The message delivered should not be incomplete. It should be supported by facts and observations. It
should be well planned and organized. No assumptions should be made by the receiver.
Conciseness - The message should be concise. It should not include any unnecessary details. It should be short and
complete.
Feedback - Whether the message sent by the sender is understood in same terms by the receiver or not can be judged
by the feedback received. The feedback should be timely and in personal. It should be specific rather than general.
Consideration – means that u prepare every message with the recipient in mind and try to put yourself in his/her place.
Concreteness – means being specific, definite and vivid rather than vague and general
Modify the message according to the audience - The information requirement by different people in the organization
differs according to their needs. What is relevant to the middle level management might not be relevant to the top level
of management. Use of jargons should be minimized because it might lead to misunderstanding and misinterpretations.
The message should be modified according to the needs and requirements of the targeted audience.
