Sales planner / Go-to-market Planning Based on market analysis and content analysis this role is responsible for planning

THE BASIC RAI TERMINOLOGY


TERM DESCRIPTION
ACCOUNT An account is a customer. Each account may have several active sites and subscriptions attached
ACCOUNT ID Each account has an unique ID number that may be referred to in support issues
SITE A site is a website or mobile site that has one or more subscriptions attached
SITE ID Each site has an unique site ID which should always be referred to in support issues
TEMPLATE Ready-made sites (without subscriptions) that can be used as a starting point fornew 1st draft sites
TEMPLATE ID Templates has unique IDs. Global templates are pushed out by mono. These may be copied, not edited
START SITE Start sites are 1st draft sites (based on templates with a trial subscription) and are created in a batch automation process. 1st draft sites may be
populated with business specific content and the sites can be shown to potential customers
RFF SITE RFF stands for ”Ready For Fulfillment”. RFF sites are start sites with an indicated order attached (which indicates which subscriptions the customer is
interested in)
BATCH A batch is a group of START sites that has been automatically generated in one instance. Each batch has a batch ID that will be inherited by the sites
included.
SUBSCRIPTION Subscriptions (paid, free or trial) control which features are available in the website editor.
USERNAME This is the username that the customer log on with in the web builder tool
PASSWORD This is the password that the customer log on with in the web builder tool
DOMAIN A domain can be attached. For example ’mydomain.com’
SUBDOMAIN Before a domain name is attached to a site, the site will be published on a subdomain.
REGISTRAR A registrar is the company that hosts a domain name – sometimes also called the domain host
DOMAIN TRANSFER The process of moving a domain name from one registrar to another
MX RECORDS A mail exchanger record is a type of resource record in the Domain Name System that specifies a mail server responsible for accepting email messages on
behalf of a recipient's domain
AUTH CODE A key code that is needed to confirm a domain transfer (sometimes also called ’EPP-token’)

USING THE GLOBAL SEARCH FIELD


The global search field enables easy search in RAI. The

search field is placed in the top bar - right corner.

WAYS TO USE THE SEARCH FIELD

1.  it is possible to search for the all elements on accounts and sites in RAI. This
includes the following:

•  Account ID
•  Site ID
•  User name
•  Company name
•  Sub domain
•  Email adresses
•  Description

You may search specifically for either account ID, Site ID or a user name by typing
one of the following pre-fixes in front of the search query in the search field:

NAVIGATING THE SITE LISTS IN RAI


There are several site overviews / lists in RAI. All lists has common navigation features:

CREATING A NEW USER / PERMISSIONS


User management is found under the ADMIN tab. The Admin is
responsible for setting up all users in the system and giving
each user the correct role/permissions:

Choose the role appropiate for the user work responsibilities. (See guide to
permissions on next slide).

NOTE:
Once a new user has been created it can be edited or deleted by clicking either the
[SAVE] or the [DELETE] button.

If the admin has access to more than one reseller account it is possible to choose

which of these the new user should have access to.

SETTING THE CORRECT TIMEZONE


Setting the time zone in the system will affect how all dates and
time stamps are displayed in RAI.

DEFAULT & SETTINGS


Apply the fundamental system settings before you start
working in the system:

1.  Input all the contact details of the administrative contact. This information is
required when you register domains on behalf of customers. The administrative
contact is someone within the reseller organisation. The information will be

automatically applied to the domain as administrative contact info for each
domain registration.

You may register domains without inputting the default data – however the system
will then require that you input the information manually each time you register a
domain.

organisation and should NEVER be the contact information of each individual end-
customer.

In organisations where sales-reps are not using RAI, switching


off the ’RFF-step’ in the default work flow is more effective.
Note that the RFF-step is switched on by default
B SYSTEM FLOW SETTING
1.  Switch on/off the RFF-step in the default work flow. By switching it OFF the sales
role will no longer be able to indicate a new order and move a site to RFF-status.
2 Instead the fulfillment role will apply a paid subscription directly without the
intermediate order-indication from the sales-rep role. See also slide on default
workflow

STATUS CATEGORIES
Defining your own ’customized’ status categories will help to
maintain control of the work flow and filter the system’s
different site lists.
Use the status codes A,B,C,D,E & F to tag your customer
base and/or manage your fulfillment workflow.

2.  The letter A,B,C,D,E or F indicates the status and is shown in the different site
lists in the system if activated
3.  Define what the status code means in your work flow. You may use any status
categories that make sense in your internal work flow. Below are some examples
for inspiration.

NEWS FEED
The news feed feature is a unique communication channel to
all users of the RAI system. Write and publish
announcements that will be displayed on the RAI dashboard.

headline visible for all older announcements.

TEMPLATES ARE BASIC FOR BUSINESS!


Being the fastest way of creating new sites – templates
(also referred to as ”start site templates”) are vital for an optimized
production flow.

Instead of starting from scratch each time a new site is being


built, simply copy one of the pre-built templates from the
template-library to the new site.

Since templates in mono consists of an ”assembly of modules”


put together in a specific way, it is easy to modify the template to
fit specific design & content requirements of individual customers.

A template is built just like a normal site, but has NO subscription.


The pages on the template contains both (stock)images and
generic texts - these should be replaced on the final site.

The best way to work with templates is to define and build a


library that contains several templates for each business type
(dentists, hotels etc.).

Each template in the library should be pre-configured and


designed to match specific needs of different business
categories.

GLOBAL & LOCAL TEMPLATES


There are two kinds of templates: GLOBAL and LOCAL. Both types are found under the
templates tab. All start site templates has an unique template ID (visible in RAI).

STEP 2: DATA VALIDATION


Once uploaded, the RAI system validates the data provided in
the CSV file. The system will run through all listings in the file
and display 4 random listings for manual validation:

When closing a sale, the sales rep submits an order to
the START site and assigns it further on to a person in the
1 fulfillment team. The site is now ”Ready-For-Fulfillment”
(RFF-status).

The fulfillment team is the backbone of the assembly line.
The team members take 1st draft sites that has been
assigned with order submissions from the sales teams
and transform the draft to the final site – the end-product
which is delivered to the customer.

Creating automated 1st draft sites saves time and cost in


fulfillment. But still it is essential to maintain carefully
managed ”assembly line”-approach to fulfillment in order
to reduce the potentially cost heavy tasks of adjusting
sites to the end-customer´s satisfaction.

The shorter time spent on fulfillment, the better the profit

The main purpose of the fulfillment team is to deliver final sites

The fulfillment role in the RAI system has a broad set of


permissions in the system that enables management and
support of sites, subscriptions and domains.

offline IF the terminated site subscription is the only active site-subscription left on the site.
DOMAIN SUBSCRIPTIONS [ON EXPIRE]-link Same as above (NOTE! Domains cannot be immediately terminated but will run the full subscription period.

[DNS SETTINGS] Edit or reset the DNS settings and MX records for the domain. Add C-name or A-records.

[MANAGE] Retrieve AUTH code and TRANSFER status for the domain. Manage which site the domain should be attached
to and whether it should be a primary domain.
[MOVE] Move the subscription from the current account to another account (This is not a domain transfer).

EMAIL SUBSCRIPTIONS [ON EXPIRE]-link Same as above

[MANAGE] Reset the email password or delete the email

[MOVE] Move the subscription from the current account to another account

4.  The action buttons allow for effective management of the site without having to
log in to the site EDITOR itself. See table of buttons & functions below:

BUTTON FUNCTION

EDIT Edit name, language, description of the site (username and subdomain may not be changed). Reset password, Attach a domain

MOVE Move the site and all attached subscriptions to another account (individual site subscriptions cannot be moved individually)

COPY FROM TEMPLATE Copy a template over to the site. This will overwrite / replace the existing content – and the action cannot be undone

PUBLISH / UNPUBLISH Publish or unpublish the site and it´s content. By unpublishing the site will be non-accessible in a browser

SMTP Manage your SMTP settings in order to control emails sent by the tool to site visitors

EDIT GLOBAL DATA Edit the global data content of the site. To make the changes public you need to publish the site afterwards

OPEN EDITOR Open the site in the site EDITOR to make changes to the site

ACCOUNT PAGE: ACTIVITY LOG


The activity log displays what actions where executed
on the account and by whom in the RAI system.

Furthermore the activity log also records login- and publish


1 2 actions in the SITE EDITOR - a helpful feature if you want to
check whether customers are actively working on their sites.

Both logs may be exported as CSV-files.

DOMAINS
mono Solutions is a registrar which means that mono
partners may register and transfer domains directly
through mono.

If domain subscriptions are included as a product in the


contract with mono, it´s possible manage most aspects of
domain handling directly via RAI.

The system offers a wide range of functionality to make it


easy to attach, register, move, terminate and transfer
domains from accounts and sites.

THE DOMAIN OVERVIEW PAGE


The OVERVIEW - > DOMAINS subpage contains a list of all
domains that has been registered or transferred to mono in

your reseller account. Use the list to navigate, find and
manage the domains.

DNS SETTINGS & MX RECORDS


The DNS and MX records can be set via the SUBSCRIPTIONS PANEL on the ACCOUNT PAGE.
DNS is short for ”Domain Name System”. Read more about DNS on wikipedia: http://en.wikipedia.org/wiki/DNS

EXPLANATIONS:
•  Hostname - Name / Host / Alias

•  Type - Record Types

•  A - Host Address. Used to map host names to an IP address of the host.

•  CNAME - CNAME records are used to create subdomains. CNAME records


must always be pointed to another domain name, never to an IP-address.

•  MX - Mail Exchange (MX) records. Where to direct email. When having


mulitible MX records the Priority fields dermines the order.

•  TXT - Arbitrary text. TXT records often used to implement email abuse
prevention or domain ownership verification.

•  Address - Value / Answer / Destination

•  Time to Live - Number in seconds before the DNS updates.

•  Priority - Used when having several MX records to set the priority.

Only one record can be updated at the time. Press save before
updating or adding another.

ATTACHING AND DE-ATTACHING DOMAINS
