Designer Pre-production & fulfillment The designer is responsible for building the reseller library of business specific
templates which will be used for batch production of first draft sites (START sites)
Sales manager Sales The sales manager is the team lead who will be the initial assignee for START-sites
created in the automated process. The sales manager is responsible for re-assigning
START-sites to individuals in his sales team.
Sales rep Sales The sales rep is responsible for contacting the list of potential customers with 1st
draft sites that has been assigned to them.
Admin Preproduction & fulfillment The Admin is the RAI super user and has the over all responsibility for user
management and overseeing that the processes are flowing correctly. The admin is
the initial assignee of RFF sites from sales. The admin is then responsible for re-
assigning the sites to individuals in the fulfillment team.
Fulfillment worker Fulfillment The fulfillment team may consist of individual skills such. Each fulfillment worker may
have expertise in one or more of the following subjects: Copy writing, costumer
contact, design configuration, SEO, quality check.

Once a new user has been created it can be edited or deleted by clicking either the

If the admin has access to more than one reseller account it is possible to choose

The RAI system has four pre-defined roles which has the following user permissions:
1. Choose the appropiate time zone in the drop down menu

As soon as a new time zone is chosen all dates and times will change accordingly.

You may register domains without inputting the default data – however the system
will then require that you input the information manually each time you register a
domain.

organisation and should NEVER be the contact information of each individual end-
customer.
STATUS CATEGORIES
Defining your own ’customized’ status categories will help to
maintain control of the work flow and filter the system’s
different site lists.
Use the status codes A,B,C,D,E & F to tag your customer
base and/or manage your fulfillment workflow.
1. The status codes for each site is displayed in the ’CAT.’-column in the site lists.
The appropiate status code is applied to each site on the specific customer
account page.

NEWS FEED
The news feed feature is a unique communication channel to
all users of the RAI system. Write and publish
announcements that will be displayed on the RAI dashboard.
NOTE:
Existing announcements cannot be edited once created.

1. Write the headline for your announcement. Headlines are always visible on the
dashboard.
2. Write the announcement body text. The body text will be collapse leaving only the
headline visible for all older announcements.

If you have access to multiple reseller accounts, you may choose where to post your
announcement.

It is possible to apply a template to an existing site at any time. However this process
will overwrite all existing content.

Applying the template is done from the ACCOUNT PAGE.
1. Navigate to the SITE TAB and choose the relevant site
2. Click the [COPY FROM TEMPLATE]-button
3. Choose which channels you want to copy the template design and content to
4. Choose the template you want to copy from
5. Click the [COPY] button to overwrite the existing site design/content on the chosen
channels. Press the [CLOSE] button to cancel the process.
NOTE:
Once a template has been copied to a site, ALL existing content and design on the
site is overwritten with the template content and design.

EXPLANATION:
1. Row [#1] contains the global data tags in the fixed order (See also global data chapter)
2. Column [#A] must contain the template ID that you want for each START site. This ID is added manually in the end before the upload.
The template ID´s are found in the template library (see template chapter)
3. Rows [#2-499] contains business information for each business (one company / SMB per row)
4. Column [#B-AG] contains the content corresponding to the global data field (phone number, street, city etc…) See global data chapter.

A START SITE BATCH OVERVIEW

This overview will list all batches that has ever been uploaded in the reseller account:
1. BATCH ID – this indicates a unique number of each batch upload. The sites

back to it´s origin.
2. Batch name: Each batch can be given a name/title (example: ”Dentist batch #1”)
3. The status indicates whether the batch is either done or still in progress
4. Creation date of batch
5. Name of the RAI user who initiated the batch
6. Show sites: Click the [EYE]-icon to see the list of individual START sites that was
generated in each batch.

1. BATCH ID – indicates the unique ID of the batch of START sites about to be
generated. All the start sites in the batch will inherit the batch ID so that can
3 always be traced back to their origin.

Once the first batch of START sites has been created, the
sales process can begin. The START sites are handed over
to sales and the sales reps will begin contacting the
customers and show them the 1st draft START sites.
The sales team should work actively in RAI –
showing customer START sites and assigning
When a customer signs up for a paid site, the order is orders to fulfillment.
When a sale has been closed and an order has been submitted,
the START sites changes status to ’RFF’ (Ready-For-
Fulfillment’).

Once sites has been assigned to sales reps they will also show
on their personal dashboards – ready to take action.

The list can be filtered and sorted as desired to get any desired
overview.

the overview. When reset of filter click [RESET FILTER] and [APPLY]

2. The list view can be sorted as desired by clicking on the headlines of each column
(Heading, Batch ID, assignee etc.).

fulfillment team with an order submission (See next slide)

After upgrading the site to RFF status and assigning to the
fulfillment team, the site disappears from START SITE overview to
appear in the RFF-overview (see next chapter).

1. Choose a person in the fulfillment team to assign the RFF site to.
2. Check the boxes of the subscriptions the customer wants (this does not
actually start the subscriptions)

3. Add relevant notes about the order to the fulfilllment team

The RAI tool provides all the tools necessary to build and
maintain customer sites effectively.

ASSEMBLY-LINE APPROACH
Effective fulfillment improves the business case. Set a clear target for how long fulfillment time should be for the
average delivery (for example 4 hours end-to-end). Organise your fulfillment team after skillset and make sure to
coordinate the processes in logic sequence. Activate the assembly line and collect data on how long it takes to
refine the 1st draft site to the final product:
Interview w. the customer Talk to the customer about how the final site should be adjusted. Take ADMIN / ACCOUNT MGT
offset in the 1st draft site and the notes from the sales rep´s initial
conversation w. the customer (handed over in the RFF upgrade process).
Upgrade subscriptions Start the paid subscriptions ordered by the customer (in RAI) ADMIN / ACCOUNT MGT
Gathering materials (logo, images descriptions etc) Collect the missing materials needed to complete the site. This could be ADMIN / ACCOUNT MGT
logos and miscellanous input e.g. business descriptions etc. Get the
customer to email the specific elements if needed
Copy writing Adjust generic texts from the 1st draft site to fit the specific business COPY WRITER
requirements. Check that all relevant global data fields has been filled
out.
Design adjustments Configure the design and layout of the 1st draft to match the customer´s DESIGN
requirements
SEO Write the required SEO tags on all pages and check that content and COPY WRITER
tags (title etc) are in correspondence. Perform basic other SEO steps in
order to secure that search engines find and index the site correctly.
Quality check Run a final quality check of the final site to catch obvious spelling ADMIN / ACCOUNT MGT
mistakes, dead links, missing images etc.
Customer approval Get the final customer approval for the site ADMIN / ACCOUNT MGT

The RAI system enables the team to assign sites internally to INDIVIDUAL FULFILLMENT WORKERS

1. CUSTOMER INFO PANEL: This is where all customer information is kept and edited
2. SUBSCRIPTION PANEL: This is where all subscriptions are managed
3. SITE PANEL: This is where all sites attached to the account is managed
4. ACTIVITY LOG: This is where all activity is logged on the account

5. This is where customer information is edited. The information in each field should
be kept updated
6. Set a status category if relevant (choose from list) – see also ADMIN CHAPTER. The
chosen status will show up in the list overviews.
7. Use the fulfillment notes to communicate important info about the client – or to
the assignee who is next to work on the site in the assembly line.

1. Click [ADD NEW SITE SUBSCRIPTION] to add additional subscriptions to the
account. In the dialogue you may choose whether to attach the new subscription
to an existing site on the account or start a new site with the subscription.
2. The list of current subscriptions on the account is divided into the four
categories. Each category list provides status and manage/edit options for each

subscription:

3. Click the [ADD DOMAIN] button to add another domain subscription and register

BUNDLE & SITE [ON EXPIRE]-link This determines what should happen when the subscription period expires. There are two settings: 1) RENEW
SUBSCRIPTIONS 2) TERMINATE. If set to ’renew’, the subscription will be rebilled and renewed at the end of the subscription
period. If set to ’terminate’, the subscription will terminate (Note that if the terminated subscription is the only
active subscription on an account or site, the site will be deleted)
[UPGRADE] This button enables upgrading to a ”larger” subscription – choose from the drop down list. Only contractually
agreed upgrades are available. Downgrades are not possible. If the button is light blue and inactive, there are
NO available upgrades to the specific subscription.
[TERMINATE NOW] The subscription will terminate immediately. Note that this will impact the site instantly and may take the site
offline IF the terminated site subscription is the only active site-subscription left on the site.
DOMAIN SUBSCRIPTIONS [ON EXPIRE]-link Same as above (NOTE! Domains cannot be immediately terminated but will run the full subscription period.
[DNS SETTINGS] Edit or reset the DNS settings and MX records for the domain. Add C-name or A-records.
[MANAGE] Retrieve AUTH code and TRANSFER status for the domain. Manage which site the domain should be attached
to and whether it should be a primary domain.
[MOVE] Move the subscription from the current account to another account (This is not a domain transfer).
[MOVE] Move the subscription from the current account to another account
[TERMINATE NOW] The subscription will terminate immediately. Note that this will delete the email address instantly and all emails
will be lost and cannot be retrieved.

1. The SiTE ID is one of the most important identifiers both when searching for a
specific site in RAI, but also when reporting issues to mono.
2. The DIFM or DIY will indicate whether this site is a DO-IT-FOR-ME site or a DO-IT-
YOURSELF site
3. Information specific to this site. Click the [EYE] icon to open the published site in
3 your browser
4. The action buttons allow for effective management of the site without having to
log in to the site EDITOR itself. See table of buttons & functions below:

PUBLISH / UNPUBLISH Publish or unpublish the site and it´s content. By unpublishing the site will be non-accessible in a browser
SMTP Manage your SMTP settings in order to control emails sent by the tool to site visitors
EDIT GLOBAL DATA Edit the global data content of the site. To make the changes public you need to publish the site afterwards
OPEN EDITOR Open the site in the site EDITOR to make changes to the site
