CHAPTER I: INTRODUCTION

UNITAR International University is the conscientious learning center where


students at different levels prepare to meet the challenges and opportunities
of the 21st century. It offers premier graduate program of Bachelor of
Business Administration (BBA) which requires the students to complete a
four credit hours of internship program. After the completion of internship, the
students are required to prepare a report on a topic relevant to the work they
were assigned during the internship.
An intern has to prepare project report at the end of the internship period but
the main objective of the internship is to get the hands-on experience of the
real world organization. It also helps to develop the skills required to handle
the day to day operation in an organization. This will allow the students to be
prepared for the upcoming corporate challenges by experiencing real time
working environment.
Upon subsequent research to find the best suitable organization to match
both my major and area of interest, I selected the Human Resource
Department of a multinational company supremely known for its well defined
quality products – Jabil Circuits Sdn.Bhd. This internship program was
approved by Unitar International University

OBJECTIVES

The Faculty of Business and Information Technology, Unitar International


University has its ultimate objectives of preparing students for professional
pursuits of business, industry and government. The core objective of the
internship is to fulfill the requirement of the BBA program as prescribed by
the Unitar. Apart from this, the internship was completed with the objective of
getting practical knowledge in the HR department of Jabil Circuit.

More specifically, the objectives of the internship were as under:

 To gain practical experience of the jobs carried out in the HR Department


of Jabil Circuit.
 To compare the theoretical knowledge of HR with the practical
experiences carried out at the Jabil Circuit.
 Clarify personal interests, skills, and competencies, and their
implementation toward development of career goals.
 To gain ideas from the experienced people working for HR department.
 To understand the challenges faced by the HR department.
 To understand the different types of training provided to the employees.
 Development of personal standards of professional and ethical behavior
required in the workplace.
 Assumption of responsibility for continued learning and professional
development.

1.1 TRAINING DATE

I have started my industrial training at Jabil Circuit Sdn.Bhd on 26 February


2018 and ended on 26th May 2018 successfully. I have completed my industrial
training for 12 weeks. My daily working hour starts from 8.00 am until 4.30 pm,
Monday to Friday. Jabil not allowed industrial training students to do overtime in
their company.

1.2 COMPANY
I did my internship at Jabil Circuit Sdn.Bhd, Penang. Jabil have 3 plants which is
identified as Plant 1 (P1), Plant 2 (JPE) and Plant 3 (P3). Jabil Circuit Penang,
Plant 1 is located at the Hilir Sungai Kluang 1, Bayan Lepas Industrial Park,
11900 Bayan Lepas, Pulau Pinang, plant 2 at Lebuh Kampung Jawa, Bayan
Lepas, Free Industrial Zone Phase 3, 11900 Bayan Lepas, Pulau Pinang and
plant 3 at Plot 88, Lintang Bayan Lepas, Bayan Lepas Industrial Park, 11900
Bayan Lepas, Pulau Pinang which is just opened two months ago. During my
internship, I was attached to all three plants.

1.3 SUPERVISORS

Supervisors have the opportunity to influence and contribute to the student’s


career success. Supervising student employees requires mentoring, guidance,
and communication. Student employment experiences contribute to student
retention and provide opportunities for career development by assimilating
what is learned in the classroom to the workplace.

During my internship programme, I was supervised by Miss. Yeoh Poh See, who
is the Human Resource Manager of Hr services, Employee Relation and CSR
section. In addition, I also interviewed by her before join at Jabil. I am really
blessed to get a supervisor like her. She is such an amazing and very kind heart
person. She always use to communicate with us regularly to keep us informed of the latest
updates and encourage us to keep apprised of our progress on certain projects. Besides, she always buffer
any criticisms with positive comments.

Because of her busy schedule, she was unable to supervise me all the time. So, she was attached me to

her HR services and employee relations team, which is filled with a lot of hard working and talented
people. They really inspired me a lot to learn all the new things. All of them treated me so well and
coordinated me excellently. All the works they taught me was interesting and it makes myself to learn
more about Human Resource Department.

The organizational chart attached below is the HR services and employee relation team of Jabil circuit,
Penang.

1.4 RESPONSIBILITIES AND TASKS

During the 12 weeks period of internship, I was given tasks that cover all the
sections in the HR services and Employee relation. In other words, the
company establishes a job rotation system for the internship staffs. I got
many valuable experiences ever since I have started my training at Jabil
Circuit.

Mr. Alan Lim and Mr. Nik Imran are the persons in charge of ESR gears
such as smocks, ESD shoes, safety shoes, ESD head scarf, jackets and
more at Plant 1 and Plant 2. They trained me well and in easiest ways to
learn everything about it. Under ESD gears, I have learned about the colors
of smocks to specific departments, the process of providing smocks to
employees, how to key in the issuing items in ETMS administration, How to
re-stock the items, how to raise SAP and learn about the rules and
regulations related to ESD gears. My performance toward of all the works
makes my supervisor to believe in me and she appointed me as an ESD
gears in the charger at Plant 3.

Miss. Nurul Ammarah and Mr. Alan Lim are the persons in charge of lockers
to all three plants. They always need to provide lockers to new employees
to those needed. In this field, I was learned about how to register lockers for
new hired employees, how to solve their problems related to lockers, how to
maintain the cleanliness of locker area and what are the action should take
towards the employees who break the rules and regulations of lockers.

Besides, Miss. Mazida is the person in charge of the cafeteria at Jabil Plant
1 and Miss. Carpal Kaur is the person in charge of the cafeteria at Jabil
Plant 2 and Plant 3. I also played a role as an assistant person in charge of
the cafeteria for the all the 3 plants. They trained me to check the
cleanliness of the kitchen and employees who working in the kitchen,
cleanliness of the cafeteria, price auditing, how to audit checklist for kitchen
& cafeteria, how to make the report of cafeteria and how to solve the
problems raised related to the cafeteria.

1.5 LESSON LEARNED

1.5.1 Adaptable Problem-Solving Skills


Adaptable problem-solving skills are basically utilized for solving problems
by using a combination of logic and common sense, which is not precise,
yet can produce satisfactory solutions. During my internship training in
Jabil Circuit, I was in a position where I have to adapt with the new
environment and assist my boss and senior staffs with some tasks which I
was not really familiar with. As a HR, we need to solve the problems facing
by the employees. Sometimes, I have received unexpected questions,
which I have to somehow answer reliably but I always managed to solve
the problems in good way with the guidance of my coordinators.

1.5.2 Communication Skill


I have improved my communication skills. My supervisor and my other
colleagues would always encourage me to speak out or ask anything that I
am unclear about my tasks. I always will be nervous when wanted to
communicate with a new person but because of the job, I have to
communicate with them. Its personally makes myself stronger and the
level of my self-confidence is increased.

1.5.3 Teamwork
Teamwork simply means the process of working collaboratively with a
group of people in order to achieve a goal. Teamwork is often a crucial
part of a business, as it is often necessary for employees to work well
together, trying their best in any circumstances. I and other colleagues at
Jabil Circuit worked as a team for any tasks our boss gave us. We have
done a few projects which required teamwork. We depended on each
other in doing that task, made sure we finish it before the due date and
discussed that with our boss. At particular time, when we have doubts in
our tasks on the way to accomplish it, we sat and discussed the steps
that we should work on to accomplish the tasks successfully.

1.5.4 Computer skills
Computer skills are required in any job we choose, no matter how
big or small the job is. I use computer in my daily activities for every
task given to me. In the beginning, I was not very good in using
Microsoft Excel and I am there as a basic user but, in this learning
process, I able to learn to use it by asking my senior staffs and
sometimes I referred at YouTube to use some particular items. I
normally use Excel for making reports of price audit, prepare
checklist for kitchen and cafeteria purpose, prepare audit for
transportation and more. I believe that I have learned a lot of new
soft skills which I do not possess before, which will be very useful
for my future jobs.

1.5.5 Time Management


The first thing that I have learnt is having a good Time
Management. I would be given tasks each day that must be
completed within the duration given and must report my duties done
to my supervisor. In addition, in the whole process of training, I
normally never push away any works given by my coordinators
because of no time. I always plan all my works according to the
time. This was kind of pressuring at the starting but once I have
wisely learnt on how to manage my time well, I got used to it and I
was able to do my entire task perfectly.

1.6 ARRANGEMENT OF REPORT

As an internship student, I have responsible to prepare a proper report.


At first, I have utilized the Unitar's rule handbook given by my academic
supervisor to understand how to prepare a report and what are the
variables and data required to finish the report. For additional data about
organization foundation, I look through Jabil Circuit Sdn.Bhd sites and
entryways.

Moreover, a portion of my colleagues have helped me to accomplish


some data about the organization when I was doing my internship. Not to

forget the logbook, this was useful for me to compose my report. I could
revise back what are the works and tasks I have done for the previous 12
weeks to include in the report.

CHAPTER 2: BACKGROUND OF COMPANY

2.1 Background of Jabil Circuit

I did my internship at Jabil Circuit Sdn.Bhd, Penang. Jabil total have 3


plants which is identified as Plant 1 (P1), Plant 2 (JPE) and Plant 3 (P3).

Bayan Lepas Industrial Park, 11900, Bayan Lepas, Pualau Pinang. Jabil
Circuit is a United States-based global manufacturing services
company. It headquartered in St. Petersburg, Florida, it is one of the
largest companies in the Tampa Bay area. Jabil has 90 facilities in 23
countries, and 175,000 employees worldwide. Jabil Circuit
incorporated on February 21, 1992, which provides electronic
manufacturing services and solutions throughout the world.

The Company operates in two segments, which include Electronics


Manufacturing Services (EMS) and Diversified Manufacturing Services
(DMS). The Company provides electronic design, production and product
management services to companies in the automotive, capital equipment,
consumer lifestyles and wearable technologies, computing and storage,
defense and aerospace, digital home, emerging growth, healthcare,
industrial and energy, mobility, networking and telecommunications,
packaging, point of sale and printing industries. The Company serves its

continuous flow manufacturing with electronic design and design for

Hungary, India, Ireland, Israel, Italy, Japan, Malaysia, Mexico, the
Netherlands, Poland, Russia, Scotland, Singapore, South Africa, South
Korea, Spain, Taiwan, Ukraine, the United States and Vietnam. The
Company offers design services, which include Electronic Design,
Industrial Design Services, Mechanical Design, Computer-Assisted
Design, Product Validation and Manufacturing Test Solution Development.

The Company's electronic design services include application-specific


integrated circuit design, firmware development and rapid prototyping
services. These services are used by its customers for various products,
including smart phones and accessory products, notebook and personal
computers, servers, radio frequency products, video set-top boxes, optical
communications products, communication and broadband products,
automotive and consumer appliance controls. Its Industrial Design service
designs the look and feel of the plastic and metal enclosures that house the

During 12 weeks of internship period in the organization as an


intern, I decided to work under HR Department where I could
learn some important aspects of HR functions and understand
the corporate culture of Jabil Circuit and also bring in some
fresh ideas to the department.

The HR Department deals with the management of people


within the organization. The department is responsible for
attracting employees, designating them in their positions and
ensuring their performances.

As a trainee in HR services department, I must involve in all


the tasks related to ER and services. The services provide by
HR for all the employees in Jabil are Cafeteria, lockers, ESD
Gears, Service Awards and transportation.

As a assistant person on charge of cafeteria, I always need to


check the clean of cafeteria and kitchen. If I found any
mistakes regarding this matter, I should take an immediate
action toward the case. For example, if the workers of
caterers forgot to cover the cooked food items, I should make
a report to my supervisors and I must ask them to cover it.
Besides, In cafeteria, if they still kept the expired bread for
sale, I should snap a picture of it and must send it to my
supervisor. Then, I have to ask the cashier to remove it from
there. In addition, I need to audit the price at cafeteria, which
mean I must check whether all the cashier using the accurate
pricing system to charge for food for all the employees. If the
cashiers failed to follow the price list, I need to take an
immediate action toward all the matters. Next, after audit price
at cafeteria, I have to prepare a report and must send it to my
supervisors before 3 pm daily. I also have prepared slides for
external promotion.

I also played a role in ESD gears section. On Tuesday,
Thursday and Friday, I will conduct the window time with my
coordinators. Window time means the company arranged a
specific time to do the ESD Gears distribution for employees.
The important part in this ESD gears are I must remember all
the colors of smocks according to their department and I have
to be very clear about the rules of ESD gears. When in the
process of distributing smocks, I have to register the
transaction of the items in ETMS administration.

I also did works related to lockers. For lockers, I need to


register the locker number to the employee who using it. I f
employee have any problem with their locker, I need to help
them to solve it. For transportation, I always just help Mr.
Khalib to do checklist and file up the documents for all
transport.

Lastly, I also help recruitment team to check the documents of


new hire candidates whether they got sent all the documents
asked by the company.

3.1.1.2 PROBLEM ENCOUNTERED

Throughout my internship program, there were problems and


difficulties I faced during the 12 weeks of training. It was all for
good I would say because those problems I encountered
have gave me a clear picture of how real working
environments.

First problem I faced during this industrial training period are


very difficult to finish up the entire task at once. There were
too many responsibilities given. I have rushed up to finish my
work within the given duration. At the same time, I need to do
it all correctly. I was face some difficult time when do this kind
of works.

Secondly, as a HR from service department, I need to solve
the employee’s problems. On that time, I need to take an
immediate action or decision. That moments was quite
difficulty to take a decision.
Lastly, I was face some difficulties when communicate with
the foreign employees like Nepalese and Vietnamese
because some of them are not good in English. It really
difficult for me to understand.

3.1.1.3 WAYS TO OVERCOME PROBLEMS

Finding work can be very challenging if don’t have any experience.


Internships are essential for every internship student as they open
many great doors and are a good way to get real life working
experience.

Unfortunately, there’s a chance that will find facing some


challenges which feel very hard to handle. When going into any
new situations, I hope everything will proceed smoothly and live
up my expectation.

Whenever I have any problems with my works, I always refer to my senior staffs
before take any decision because they are experienced staffs and they know
more about the works. Normally, I won’t afraid to ask questions with my senior
staffs. It’s because without their guidance, It’s impossible to learn all this things
without them.
However, as an intern student, I’m going to step into the competitive working
world, learning how to handle all the obstacles is an excellent self-improvement
experience. By demonstrating my ability to face these challenges that could
happen during the internship, I will give my employer a positive impression of
my interpersonal, problem solving and communication skills as well as the
ability to deal with the difficulties that may come along.

3.1.1.4 WAYS TO OVERCOME TASKS


With the pressure of completing internship and trying to enjoy the social life
experience, sometimes life can feel a little overwhelming to say the least.

Between working and maintaining a social life, it can seem like daunting tasks to
get everything done without feeling stressed and I often have trouble in
maintaining a balanced schedule.
I always try to keep updating my schedule in my laptop. I always use sticky notes in
my laptop and keep on updating my latest tasks. So, It helps me to remember
the working in pending and I will set a specific time for each tasks.
Once I have finished my important tasks, I always find some spending time with
friends or just taking a moment to relax myself. It will helps me to stay sane
while maintaining my busy schedule and can reduce my stress level.

3.1.2 SPECIAL ASSIGNMENTS/PROJECTS


During my internship, I had an opportunity to conduct a project named ‘Jabil
Cafeteria Improvement’. This project is related to cafeteria of Jabil plant 2. The
purpose of this project is to differentiate the service by current and before
caterers.

3.1.2.1 PLANNING
The team in HR services was planned to do this project and I feel so proud when
they include me as a part of their project in my sixth week of internship. Firstly,
we all planned to how to conduct this project and what are the elements we
need to include in the project. Then the person in charge of cafeteria Miss.
Karapal Kaur divides the jobs for us. I really felt nervous about how I’m going to
handle this project. We almost took 2 weeks to done this project.

3.1.2.2 ORGANIZING
For this project, I need to prepare a questionnaire/ survey form to get the
comments from all the employees in the company. I took almost 1 day to create
the questionnaire form. The form was corrected and approved by my manager.
With the assist of my colleagues, we have reached almost 2407 employees to fill
up the survey form. Once we done with our survey, we started to analyses the
form to get a proper record. We spent near one week to analyze all survey forms
and to get the results. Once we done with the results, I have prepared the graph
chart to make it clearer and its will easy to understand.

3.1.2.3 LEADING

This activity was leaded by my coordinator Miss. Karapal
kaur. She had made sure that everyone is carrying out their
task by asking updates from everyone regularly. She also
have showed dedication and acted as a role model in this
task. While in my group, I was leading all my other members
by explaining them the job scope and ways of counting to get
the results.

3.1.2.4 CONTROLLING
Miss. Karapal Kaur also makes sure that all the tasks given
to everyone done correctly or not. If she found any mistakes
or errors, immediately she will correct it and explain to us
about the mistakes we did and how to solve it. With her
guidance and all of the member’s dedication, we successfully
finished the project within the targeted time and presented in
front of our Human Resource Manager Miss. Sharifah. She
appreciates us for the hard works and efforts we taken for
done this project.

3.2 LESSON LEARNED

3.2.1 Skills Developed

There are a few skills I have developed during my industrial


training. My communication skills have developed even better. I
have started to talk with facts more and able to explain in a way
people can understand. I have also developed in my listening skills,
because anyone that works in human resources department has to
really listen everything in detailed.
Besides, I have learned on how to use Microsoft Excel a lot better
and learn how to create documents using Microsoft Publisher. I
have also learned on how to create company events. In addition, I

have also improved my skills of handling works professionally.
During this entire training, I have learned on how to work as an
individual and also in a team.

3.2..2 Knowledge Gained

Overall, during these three months of internship period, I have


gained so much of valuable knowledge from Jabil Circuit Sdn. Bhd.
I have learned on the importance of having good communication
skills, leadership’s skills, problem solving skills, time management,
confidence level and many more. I have also learned on how to
keep organizational information private and confidential and also to
always deliver information precisely on time to avoid confusion at
workplace.

CHAPTER 4

TRAINING ASSESSMENT AND EVALUATION

4.1 TRAINING ASSESSMENT

My internship training was assessed by Miss. Yeoh Poh See, Human


Resource manager who is my supervisors. In addition, I was trained
by my coordinators Mr.Alan Lim, Miss. Karapal Kaur, Mr. Nik Imran,
Miss. Mazida and Miss. Ammarah. They will assess and comment on
my administrative task at the end of each task. They assessed me
based on the criteria of neatness of the document, time taken to
complete and also the correct information in documents.

Before I joined Jabil Circuit, my objective of this internship is to gain


practical experience of the jobs carried out in the HR Department of
Jabil Circuit, to compare the theoretical knowledge of HR with the
practical experiences carried out at the Jabil Circuit, clarify personal
interests, skills, and competencies, and their implementation toward
development of career goals, to gain ideas from the experienced
people working for HR department, to understand the challenges
faced by the HR department, to understand the different types of
training provided to the employees, development of personal
standards of professional and ethical behavior required in the

workplace and assumption of responsibility for continued learning and
professional development. After finished my training, I personally felt
that all my objectives are fulfilled. All the coordinators and co-workers
at Jabil Circuit are4 so friendly and behave nicely to everyone.

Besides that, they did also praised and thanks me for doing task that
is out of my job scope. They feels that I’m capable of doing multitasks
and I have the potential for further development. My supervisor was
indeed a responsible woman that she trained me in detail of what I
have to do all the time. Within a month my coordinators almost taught
me everything. Once I get used to all and have learned everything, I
was capable to do things by my own without depending on them. This
also makes me feel comfortable and confident .

4.2 SUITABILITY OF ORGANIZATION

Jabil Circuit Sdn Bhd is a right place for industrial trainees to gain
great experiences and to get the real exposure of working life. This is
because they look at trainees as one of the staffs. They confidently
give task which requires great responsibilities. That really made me
feel great because the confident they had been very much comforting
to me.

This organization is also very suitable for my practicum program. This is because it relates
to my major subject which is Human Resources Management. Since this company is more
to profit making organization, my course which is Bachelor of Business Administration can
be applied fully into this business.

4.3 WEAKNESSES/ RECOMMENDATIONS

Since Jabil Circuit is a multinational company, I couldn't find any
weaknesses from the company. Thy e only one think i would like to
mention under recommendation is they should provide ant transportation
to travel among every plants or they need to pay transport allowance for
those who using their own transport to go to other plants.

CHAPTER 5: CONCLUSION

My 12 weeks of working experience in Jabil Circuit, gave me a solid


foundation to understand hardcore corporate culture. Therefore, I was quite
prepared to blend in the department that carried huge responsibilities and it
makes me understand the HR in practice. It gave me an important exposure
and an insider look of such a big organization. I could use my theoretical
knowledge of HR in real practice while participating in many discussions. I
was actively involved in the department meetings where I shared my
knowledge and views regarding the performance in HRD of Jabil Circuits.

I know where and how to lead my career life too. All of this wouldn’t have
been successfully done without the experience given by UNITAR and Jabil
Circuit Sdn Bhd organization. I was able to complete my practical training by
applying method learned in class during my 3 years of degree.

Every student should go for practical training and gain the experience before
stepping into the real working life. I would like to thank Jabil Circuit Sdn Bhd
organization and UNITAR International University for giving this opportunity.
