2.5 PACKING INSTRUCTIONS

Introduction

This part of our manual describes the general packaging guidelines of IC Group for our
Accessories, Shoes and Hard Goods. It is important to follow these instructions to help to
ensure that the products arrive safely and in the way that our warehouse can process them
quickly.

The choice of packing material is described, as well as how to pack boxes, and containers
correctly.

Sections of special attentions are: Chemicals in packaging material, box specifics and box
barcode labels incl. packing of the box, and the correct packing instructions for our products.

2.5.1 POLY BAGS

Poly bag Quality and Requirement

 Poly bags must be free of Harmful substances according to IC’s Restricted


Substance list (RSL) refer to Part 1.6.

 Poly bags are part of the packaging and must follow the EU Packaging Directive
94/62 EC

 The Poly bag must be free of Butylated Hydroxyl Toluene (BHT), as this agent
created problems of yellowing of the product. Only a few ppm of BHT will create
product discolouration.

 Poly bags must be plain, clear and must be RECYCLABLE (Recycle marking to be
printed in black on the reverse side of the poly bag).
For the triangle symbol a code showing the type of plastic can be put in the middle,
02 (HDPE) High Density Polyethylene or 04 (LDPE) Low Density Polyethylene, is the
most common material used for poly bags for products.

 All poly bags, with an opening perimeter bigger than 38cm (19cm in width) must have
a warning printed on the reverse side; the warning must be in Swedish, English and
French. The phrase is:

(Swedish):
“Varning” – denna förpackning är ingen leksak – kvävningsrisk!.

(English)
“WARNING” – to avoid danger of suffocation; keep this bag away from babies
and children. Do not use in cribs, beds and carriages or play pens. This bag is
not a toy.

(French):
“AVERTISSEMENT” - pour éviter le danger de suffocation, ne laissez pas ce
sac à la portée des bébés ni des enfants. Ne pas utiliser dans les berceaux, lits,
carosses ou parc d'enfants. Ce sac n'est pas un jouet.

 All poly bags must have small air holes for ventilation.

 The poly bag must have a self-adhesive, non-permanent closure. We do not accept
the poly bag to be closed with adhesive tape or heat seal.

 Please note that the size of the poly bags and boxes must always correspond to the
size of the product, to prevent the item from sliding around during transportation.

 For leather products (bags, gloves, shoes etc.) one or more silica bags,
depending on type and size of product, must be included as desiccant to absorb any
humidity during transport and storage. Please note: The silica must NOT contain
any restricted substances.

 Poly bags shall be used for all products as well as packs. Products packed in
boxes/textile bags etc. (except shoes) shall also be packed in poly bags to protect the
product and the packaging, if nothing else is stated by the brand.

Poly Bags for Packs

When products are delivered in packs (assortment with a fixed number of the same product
in various sizes) each product shall be packed in its own Poly Bag with its SKU label. The
individual polybags shall then be packed in a mother bag with the Pack label attached on the
outside (for placement of labels see 2.5.2 “Marking sticker for all products”).
Mother bag must have air holes.

Products packed in Poly Bags

Following are some examples of products packed in poly bags, single products as well as
packs.

Gloves and socks

 For Leather gloves one silica bag must be included to absorb any humidity during
transport and storage. Please note: The silica must NOT contain any restricted
substances.
 Gloves shall be attached to each other by a plastic strap or similar, still possible for
the customer to try them on but to hinder them from being separated.

Bags and wallets

2.5.2 PACKING THE BOX

General

 Filling of boxes must be to the maximum ensuring that carton space is not wasted,
but still in a way that ensure high quality. Refer to box specification for allowed size
and quality of carton.

 Always pack one SKU (solid style, colour and size) in a box, use the allowed 3 box
sizes to ensure single SKU in each box of the shipment.

 If single SKU packing is not possible for a special item the last box of the order may
contain more than one SKU to avoid shipping empty space.

 A box with more than one SKU must have a divider to mark this clearly.

 Mother poly bags only to be used for PACKS. Refer to page 5 for further instruction.

 The maximum weight of each filled box is 15 kg, if for some reason a box weight
extends the maximum of 15 kg – we require that it be clearly marked “HEAVY” and
that IC Group be notified.

Marking sticker for all products

The following stickers must appear on the front of the product on the outside of the
poly bag. The sticker is to be placed in the lower right corner of the Poly bag.

 SKU BARCODE sticker with the following information – for all items:

 Capsule
 Style number
 Style name
 Colour
 Size / Fit
 EAN-13 barcode

Packing of items sold with a PACK code

Products that are sold in packs (fixed assortment of 4, 6 or more pieces & size) MUST be
packed 1 pc. in one poly bag with the SKU barcode sticker as shown on the illustration page
and the PACK (assortment) must then be packed in a mother poly bag with the PACK-sticker
outside, this sticker is different from the single piece sticker as it has a barcode indicating the
content of the PACK (i.e. 4 pcs, 6 pcs, Etc.)

Excess pieces are only allowed if supplier is capable of packing a full assortment as
pr. booked in purchase order.

o The PACK sticker must have the following information:


 Capsule
 Style number
 Style name
 Colour
 PACK code
 EAN-13 barcode (for PACK)

a mother poly bag and the PACK sticker must be placed in the lower right corner.

Packing of shoe

Shoes are sold in PACKS (fixed assortment of 8, 10 or more pairs & size). Shoeboxes vary
in size depending on the type of shoe (sandal, boot etc.) as well as the size of the PACK.
Due to the varying size of shoeboxes and number of shoeboxes in a PACK the size of the
outer box varies. If none of the standard sized boxes (shown in 2.5.3” BOX size”) is used IC
Group need to be notified.

Refer to the brand for guidelines regarding shoebox and packing of shoes in shoeboxes.

Packing of Hard Goods and other goods packed in boxes

Hard goods as well as other products packed in boxes shall be packed similar to shoes.
Depending of the size of the packaging box and the size of the pack that it is sold in, the size
of the outer box varies. What is important is that the box matches the product and that the
product is stable and do not slide around in the outer box on the way to the warehouse.

Refer to brand for packing of specific hard goods product/product packed in a box.

2.5.3 BOX SPECIFICATION

Box Quality Standard

o Material used for all parts of the carton/box must follow IC’s Restricted
Substance List (RSL), refer to IC’s RSL – Part 1.4.

o Material used for cardboard boxes must follow the Packing Directive 94/62
EC and the REACH regulation regarding Hazardous Chemicals in packing
materials

o The corrugated board fibre must be from a sustainable source that


guarantees a well-managed forestry (not applicable for re-cycled
materials)
 Use certified paper (FSC – Forest Stewardship Council
 Ask for verification on delivery note and invoices that can guarantee
that the fibre comes for a sustainable source

o Triple corrugated cardboard boxes must be used for all destinations.

o Box quality specification:


 Outer Liner board: Must be strong and coated in order to be resistant
to water absorption. No recycle paper must be used for the outer liner
board.
 Inside Liner board: Must be strong and coated in order to be resistant
to water absorption. No recycle paper must be used for inside liner
board.
 Middle Liner board: Recycled paper can be used.
 Flute board: Recycled paper can be used.
 Divider/Separator: To be double corrugated cardboard (7 mm or 9
mm), recycled paper can be used and no coating is needed.
 Top/bottom protection piece: To be single or double corrugated
board (3-7 mm), recycled paper can be used and no coating is
needed.

BOX Size

o In IC Group the following carton sizes are used in accordance with IC’s
recycling policy. If these standard sizes are not respected, IC is liable to issue
a fine of 7 DKK per carton.

o When the standard box sizes cannot be used due to a product that is too
small/big/heavy for these boxes, other boxes are allowed. Note! If other box
sizes are being used IC Group need to be notified in advance.
If not, IC is liable to issue a fine of 7 DKK per carton.

o Make sure to avoid empty load in boxes

Box marking

In IC Group we are re-using the boxes, therefor all boxes must have the following text and
“Mobius loop” pre-printed on the box:

Placement of the box marking

The box marking must be printed on the side of the box, in the lower left hand corner (it can
be printed on both sides). Refer to above for font type/size and size of the recycled logo.

Box labels

IC Group is using a Warehouse Management System that requires inbound shipments to


have a set of Box labels: A “License Plate” label and “Content” label. Both labels must be
attached to the end of the box.

The License Plate label:

This label has a unique barcode (Serial shipping container code). The destination marking
and the order number have to be added by supplier hand written or stamped. Below is an
example of the License Plate label which is subject to small amendments.

The Content label:

This label is used to attach the SKU barcode of the box content. The label used is the same
as the one on the outside of the poly bag. For Packs (fixed assortment of 4, 6 or more pieces
& size) it is the PACK barcode label.

Ordering of Box labels

 The box labels are printed by our nominated supplier: BS Studio.

 You can place the label order to BS through their website ordering system, their
online ordering website is : http://order.bsstudio.com.cn

 The Login & password are provided by BS. If you are a new supplier to their
company, please contact their sales person for creating a new login account. They
will send you an Online Ordering Manual as well when the account is ready.

 All box label barcodes must be registered into IC web client solution Astro prior to
shipment
 To register boxes each supplier will be provided with a Username and Password to
enter web client solution
 Access the web client through https://booking.Icgroup.net/ à this will open the login
page.

How to load the pallet

When loading the boxes on the pallet, make sure that the front box and the back box
contains same style, as we store the pallets against a wall. This will ensure that we at a
glance can see what is on the pallet. Refer to below illustration.

Broken boxes

A shipment with broken boxes will result in a penalty to the party responsible for the damage.
Is it the box quality – then the product supplier will be held responsible. Is it damage during
the transport – the forwarder will be held responsible.

2.5.4 LOADING THE CONTAINER OR TRUCK

To ensure that the volume due to customers are unloaded first, the container must be loaded
in capsule order i.e. the latest due capsule to be loaded first and the first due capsule
must be loaded last. If there are SSP styles they must always be loaded last – refer to
illustration on the following pages.

Capsule definition
The capsule is found on the barcode sticker. Capsules are used for all styles and the capsule
codes have the following taxonomy to indicate ‘Year’, ‘Season’, ‘Month’ and ‘Part of month’:
