Regular Examination
I. How to Apply

There are seven main steps when applying for the Regular Examination:
Step 1: Read the instructions in this guide carefully.
Step 2: Check your eligibility.
Step 3: Prepare the application documents.
Step 4: Pay the screening fee.
Step 5: Submit your application.
Step 6: Take the examination.
Step 7: Wait for notification of admissions decision.

Note 1: The number of students in October 2017 admission includes the number of students admitted in April 2017

III. Eligibility Requirements

Applicants must satisfy one of the following requirements by the day prior to the day of desired enrollment. Eligible
applicants are those who have:

1. graduated from a Japanese university.

2. been granted a bachelor’s degree by the National Institution for Academic Degrees and University Evaluation
(NAID-UE) as stipulated in paragraph 4, article 104 of the School Education Law.
3. completed a 16-year curriculum of school education in countries other than Japan.
4. completed a curriculum at a foreign-affiliated university in Japan which has a university education curriculum
under the school education of its country (Its completion must be regarded as the completion of a 16-year
curriculum of school education in its country) and specifically designated by the Minister of Education, Culture,
Sports, Science and Technology.
5. completed a 16-year curriculum of school education in a foreign country by completing a correspondence
curriculum of an overseas educational institution while residing in Japan.
6. been granted a bachelor’s degree from a foreign university or other foreign institution of higher education by
completing a curriculum with a completion period of three years or more.
7. completed a specialized curriculum specifically designated by the Minister of Education, Culture, Sports,
Science and Technology at a vocational school on or after the date designated by the Minister of Education,
Culture, Sports, Science and Technology. The required period for graduation is four years or longer, and which
also satisfies other condition specified by the Minister of Education, Culture, Sports, Science and Technology.
8. been designated as eligible by the Minister of Education, Culture, Sports, Science and Technology. For example,
those who graduated from a university which is not under the jurisdiction of the Ministry of Education, Culture,
Sports, Science, and Technology.
9. Early Graduate School Entrance Program
Applicants for the early graduate school entrance program must have completed the required number of credits

 set by JAIST, which is approximately three-quarters of the necessary credits to graduate from a Japanese
university or an equivalent level of the curriculum in a foreign country, with excellent academic results.
Prospective applicants for the early graduate school entrance program are those who have:
a) attended a Japanese university for at least three years.
b) completed a 15-year curriculum of school education in countries other than Japan.
c) completed a 15-year curriculum of school education in a foreign country by completing the
correspondence curriculum of an overseas educational institution while residing in Japan.
d) completed a curriculum at a foreign-affiliated university in Japan which has a university curriculum under
the school education of its country (Its completion must be regarded as the completion of a 15-year
curriculum of school education in its country) and specifically designated by the Minister of Education,
Culture, Sports, Science and Technology.
10. enrolled in a graduate school as stipulated in Paragraph 2, Article 102 of the School Education Law, and
recognized as having sufficient academic abilities by JAIST.
11. been recognized by JAIST through the Judgment of Eligibility as having an equivalent or greater scholastic
ability than that of university graduates through a judgment of eligibility, and have reached 22 years of age.
Note: Applicants satisfying at least one of the eligibility requirements (1) through (8) are not required to pass
through the Judgment of Eligibility. Such applicants should move to Step 3.

[Judgment of Eligibility (For applicants who apply for the examination under the eligibility
requirement (9), (10) or (11))]
Applicants who wish to apply under the eligibility requirement (9), (10) or (11) must be screened by a Committee of
Judgment of Eligibility prior to applying. Applicants should request the Admissions Section to send the instruction
documents and forms for judgment of eligibility via email at nyushi@jaist.ac.jp, and submit all the necessary
documents before the following deadline. Each applicant will be notified of the result of the judgment of eligibility
before the last day of each application period (See IV B). Only applicants who have been admitted to obtain the
eligibility can apply for the examination.

Please note with great caution that if an applicant enrolls in JAIST under the eligibility requirement (9)a), the
applicants will leave their university prior to graduation. In this case, he/she will not be eligible for some Japanese
national examinations which require graduation from a university and a bachelor’s degree.

IV. Application Process

Following are the detailed instructions for Step 3 - 5.

Step 4: Pay the screening fee.

<For applicants in Japan>
Please pay the screening fee of 30,000 yen by bank transfer and get a receipt. When paying the fee at a
bank, you can utilize the designated payment slip (Form 8) only available from this booklet. However, it is
not mandatory to use the slip. You can pay the money from ATM or through online banking. In that case,
please submit any type of receipt. For details about the account information, please see the chart shown
on the next page.
Note: All transfer fees shall be paid by applicants.

Please send 30,000 yen to the following bank account by international bank transfer and submit a proof of
payment.
Note: Please make sure to arrange the corresponding bank fees to be “charged to the remitter”. If it is
charged to the beneficiary by error, the corresponding bank will deduct the fees from the amount of
remittance and your payment to JAIST will be insufficient. This will cause your application to be rejected.

A. Submission Method
Please place all the required documents in the envelope at the back of this booklet or normal envelope, and
bring it yourself or send it via registered express mail for applicants in Japan or via courier delivery (such as
DHL, FedEX, or EMS) for applicants abroad to the Admissions Section.

B. Application Periods
Applicants are responsible for the timely delivery of all the required documents to the Admissions Section. Your
application will not be accepted if the envelope is not postmarked by the last day of the application period.

Note:
 Applicants can apply for all the examination, but they must repeat the same procedure for each
examination.

  For April admission, there are four application periods. There is no advantage or disadvantage among the
periods.
 Applicants who are in their third year of a Japanese university cannot apply for the first examination.

C. Delivery of Examination Admission Card

When the application documents are accepted, we will send an examination admission card and related
documents to each applicant via mail after the application deadline. If they do not arrive 1 week before the
examination date you applied for, contact the Admissions Section at nyushi@jaist.ac.jp.

V. Application Documents

General Instructions:
 Applicants have a choice of using the forms provided at the back of this booklet or downloading the forms
from our website.

 If applicants fill in the forms by hand, they should use a black ink pen or a ballpoint pen. Applicants may not
use erasable ink pens or ink that disappears over time.
 Applicants under eligibility requirements (9), (10), or (11) do not need to submit the same documents with
those submitted at the time of eligibility screening (See III. Eligibility Requirements). In this regard applicants
should attach a memo to their application documents.
 All the documents must be prepared in English or Japanese. Documents in languages other than English
must be accompanied with an official translation in English or Japanese. Translations must be issued by the
university or government agency and bear a stamp or embossed seal of the school or the agency and the
signature of the authorizing official. Translations from a Japanese language school or translation company
are acceptable if are stamped with the official seal of the translating body.
 If the name shown on the certificates are different from the current one, please submit a copy of family
register or other official documents which certifies the change of the name.
 All the application documents are important to enable the Admissions Decision Committee to screen
applicants in a fair and accurate manner, and applications omitting any one of the required documents will not
be accepted.
 Please read the following instructions carefully before preparing the application documents.

A. Documents to be submitted by all applicants

1 Application form [Form 1]

 Regarding the photograph, please use a photograph of 4cm in length by 3cm in width, upper
half of body, facing camera, without a hat or any material covering your head and face, taken
in the past 3 months.
 Email will be the main medium of communication; therefore make sure to provide us with an
email address that you frequently use. Please check your email account regularly.

2 Examination admission card and photograph card [Form 3]

Please use the same photograph on your application form.

3 Official transcript
 An official transcript must be issued by the president, or a dean of the university, junior
college or technical college from which the applicant graduated (or will graduate), and bear
the school’s stamp or embossed seal and the signature of the authorizing official.
 If applicants transferred from a university, or attended a non-degree graduate program of a
junior college or technical college, please submit the transcripts from both the present and
previous schools (university, junior college or regular curriculum of technical college) together.
 Applicants should submit one of the following:
a) Transcript issued by university (original)
b) Certified copy of transcript by university
c) Certified copy of transcript by government agency / office

4 Proof of graduation
 Proof of graduation must be issued by the president, or a dean of the university, junior
college or technical college from which the applicant graduated (or will graduate), and bear
the school’s stamp or embossed seal and the signature of the authorizing official.
Preferably, it should specify the exact date of (expected) graduation.
 Applicants should submit one of the following:
a) Graduation certificate issued by university (original)
b) Official letter issued by university (original)
c) Certified copy of diploma by university
d) Certified copy of diploma by government agency / office

 Applicants who have not completed their final semester at the time of application must
submit an official document from their school indicating the expected date of graduation.
Such students should then submit either (a), (b), (c), or (d) to the Admissions Section by the
middle of April for April admission or middle of October for October admission. If an applicant
does not submit one of the above, his / her admission may be revoked even after
enrollment.

5 Short essay [Form 4]

Topic: “ Study and research plan at JAIST ”
The short essay should consist of about 1,000 Japanese characters or about 600 words in
English. The topic should be the study and research plan you wish to pursue. Applicants should
describe their research background, purpose, and methods in their own words. If applicants
write their short essay on a computer and print it out, they should use the form downloaded from
the website. In this case the short essay should be less or equal to one page in length,
single-sided, A4-sized paper. Applicants may not attach other documents.

 Applicants must write neither the name of the university they graduated or will graduate
from, nor the names of their supervisors on the sheet. Working adults must not write the
name of the company they work for.
 Do not fill in the back of the form. Do not attach any supporting documents.

6 Keywords form [Form 5]

Please answer the questions below
1) Select one academic area in which you are deeply interested from the 9 areas listed on p.2.
2) Provide the name of supervisor(s) in which you are interested. (If any. Multiple choices are
allowed. Write the name(s) in full.)
3) Fill in three titles of specialized courses in which you have excelled.

7 Label for official use and address labels [Form 7]

These labels will be used to mail documents to applicants (e.g. a letter of notification of
admission decision and a guide for admission procedures). Please fill in all the labels.
Applicants are expected to immediately notify JAIST, if there are any changes to their address
when applying. Only residence address is acceptable.

8 Receipt of screening fee payment (Receipt for JAIST) or proof of screening fee
payment

Please submit a receipt of 30,000 yen. Specifically, if you use Form 8, please attach Receipt for
JASIT of Form 8 to Form 1. If you do not use Form 8, do not attach a receipt to Form 1 and just
enclose it in the envelope.

The certificate must be issued by the National Institution for Academic Degrees and University
Evaluation or the head of the junior college or technical college in which applicants enrolled.
Copies are not acceptable.

<Only for applicants abroad or Japanese applicants who completed their education in countries
other than Japan>

10 Curriculum vitae [Form 2]

< Only for MEXT scholarship students who are currently enrolled in another Japanese university >

11 Certificate of Japanese government (MEXT) scholarship student

The certificate must be issued by the university which the applicant is currently attending, and
specify the period of receiving the scholarship. Applicants currently enrolled in JAIST do not
need to submit this. Copies are not acceptable.

< Only for foreign government scholarship students>

12 Certificate of foreign government sponsored student

The certificate must prove that the applicant is a foreign government sponsored student. Copies
are acceptable.

VI. Examination Schedule and Selection Method

A. Examination Periods and Venues

Examinations will be conducted on a date during the period shown below.
Each applicant will be notified of the venue, date, registration and examination time when they receive the
examination admission card. We cannot accept any requests for dates and times.

B. Selection Method
Selection is conducted by an oral examination. Applicants have a choice of speaking in English or Japanese.
The total time of the examination is 30 minutes per applicant.
1. 7 minutes for presentation about the short essay submitted at the time of application
 A document projector is available. Please bring a set of printed documents (plain paper, A4 size) for
a document projector to the examination venue. The number of pages is unspecified. It is
recommended to use horizontal sheets of paper (i.e. long sides of a sheet come to the top and
bottom).

  Applicants can speak from their manuscripts. However, they are strictly prohibited from distributing
any materials and using any other electronic devices.
2. 23 minutes for Q&A based on the short essay and the keywords form submitted at the time of application

C. Admission and Evaluation Criterion

The oral examination is conducted to comprehensively assess the basic academic ability of applicants and their
motivation to conduct research after enrollment.
All applications are evaluated on the same holistic criteria of screening the results of the oral examination and
all the application documents submitted.

VII. Notification of Admission Decision and Admission Procedures

A. Dates of Notification of Admission Decision and Admission Procedures

All applicants will be notified of the decision by mail. We do not release admission decisions via our website or
in person; no telephone or email inquiries concerning examination results will be accepted. We will mail the
result notification letter on the date shown below.
Successful applicants will receive information on admission procedures at the time of notification of the result or
later. Please conduct the procedures by the specified deadline.

B. Expenses Required for Enrollment

Note:
 The entrance fee is non-refundable.
 The entrance fee may be subject to change.
 In case the tuition figure is revised while a student is attending JAIST, the new tuition figure shall apply
from the following academic year.
 Preferably, the tuition payment will be made by automatic withdrawal from the student’s own bank
account.
 For new students enrolled in April, the withdrawal date for their first semester is May 20. For those
enrolled in October, the withdrawal date for their first semester is November 20. From the second year,
the withdrawal dates are April 20 and October 20.
 JAIST waives the entrance fee and tuition for MEXT scholarship students.
 It is mandatory for JAIST students to take out the Personal Accident Insurance for Students Pursuing
Education and Research (Gakkensai: PAS) and Liability Insurance for Students Pursuing Education and
Research (Gakkenbai: LSR).
 Instructions for completing payment will be sent to successful applicants along with documents for
admission procedures.

C. Campus
Students who enrolled in JAIST based on this entrance examination are allowed to study only at the Ishikawa
campus. Ishikawa campus students are not allowed to study at the Tokyo Satellite except for open seminars.
