Chapter I

ORGANIZATIONAL BACKGROUND

Business Profile

Panulce is a food business entity established in October 1995 through talent, hard
work, and sheer determination by its founder and owners Jerel and Yeyeng Angon. It set
out as a home-based business that produced sandwiches and pastries, which were sold to
friends and to various offices in the local community. Its maiden shop located in
Magallanes Street, Roxas City continuously enjoys a good flock of customers and after 12
years, has branched out in Gaisano City Roxas and is pursuing an ambition to establish
more branches in and outside Capiz province. Panulce is a local term in Capiz, which
means “dessert”. Its root word is “dulce”, which is Spanish meaning “sweet” or “candy”.
The name was received with enthusiasm by the public as it has a local tone and flavor
attached to it. Today, Panulce has become the “word of mouth” of most Capicenos when
it comes to cake and pasties in Roxas City. Panulce abides by its business principles, which
aim to utilize its resources in cost-effective ways; operate in a safe, clean, and hygienic
environment; promote welfare among its personnel; continue to learn new techniques for
product development; adapt to the changing demands of the market; foster faith. They use
the manual sales and inventory system in their everyday transactions. But having this kind
of system they encounter problems such as computing and recording the sale per day,
monitoring of the availability of products, searching the price of the certain products,
adjusting the number of stocks and monitoring the expiration of the products, adjusting the
number of stocks and monitoring the expiration of the products. To ease the problems that
are being encounter by the shop, the proposed Computerized Sales and Inventory
Monitoring System is designed to improve their task. The proposed system will help them
in computing and recording the sales per day, monitoring of the products to avoid the out-
of-stock. It will also help in monitoring the expiration of the product and adjusting the
number of stock.

Problem Statement

Traditional Panulce Bakeshop Inventory methods spans thousands of years in our country,
and frequently inventory today brings as well.

1. They require continuous monitoring to ensure that each transaction is accounted for
and that products are maintained at the appropriate stocking levels.
2. The manual system they used is active but incompetent.
3. The time spent monitoring inventory levels could be used in more productive
activities for the business.

Problem Objectives

General Objective

The general aim of the study is to develop a system that will maximize the resorts
efficiency in the business transaction by developing a computerized sale and inventory
system that will provide them secure and free form error computations.

1. To design the proposed system that business improvement through reducing errors
and waste by exception identification and remediation that streamlines processes.
2. To design the propose system that can correct all the errors had been encounter.
3. To design the proposed system that makes the task easier and faster.

Scope of the Project

The management of Panulce cakes and dessert shop is directly involved in the development
and implementation of the proposed system since the management is directly in charge of
giving sale inventory in the business. This study focuses only on sales and inventory
monitoring system of Panulce cakes and dessert shop. Along the process, the sales incurred
by the said establishment will be computed and updated automatically and dynamically
during every transaction (this transaction refer to the process) and recording of products
will be made accurate, fast and reliable due to the reduction of human errors accuracy of
data provided by the system. The system will also provide automated and dynamic
searching of product inquiries; it will generate accurate records on the inventory, sales and
transactions and lastly, it will provide system security to protect the business data stored in
the database obliging user to log in and open their specific account, which in turn, are
granted by the system administrator, manager or owner

Significance of the Project

Sales and inventory System is designed for a business that desires a control over stock
levels and inventory tracking. This system can be used either as simple inventory control
system or a complete manufacturing solution. In today’s generation, we are engaged in
highly computerized technology aiming to enhance individual lifestyle and most especially
in the world of business. For Panulce Cakes and Dessert Shop, the result of the study could
provide the management a view of their current and previous sales and inventory by the
means of Sales and Inventory Monitoring System. The employees and the management
would benefit the new environment innovated by the proponents of the said system that
would make the process flow much better than before. If the manager or the supervisors
wants to check the status of their sales, they just need to log-in in the system than to check
it manually in the accounting reports.

Definition of Terms

Terms here are conceptually and operationally defined for better understanding of
the readers.

Sales refers to the exchange of product or services for an amount of money or its
equivalent while making inventory in a business is total amount of goods and the act of
counting them

Inventory system is merchandise in stock and on hand also known as stock inventory is
basically the total amount of goods and materials held in stock by a factor. It can be done
manually by counting at the end of each day.

Monitoring generally means to be aware of the state of a system.

Database is an organized collection of data. The data are typically organized to model
aspects of reality in a way that supports processes requiring this information. For example,
modelling the availability of rooms in hotels in a way that supports finding a hotel with
vacancies.

Management in business and organizations is the function that coordinates the efforts of
people to accomplish goals and objectives using available resources efficiently and
effective.

Administration the performance or management of business operations.

System Functionality

In the case of Panulce Bakeshop in Magallanes, Roxas City is currently using


manual sales and inventory system where in computing for these are done manually.
However, in dealing with these transactions, accuracy, reliability and speed of human skills
in performing these transactions are limited because clerical errors often inevitable.
Whenever the bakeshop is to be conducted there are various tasked that must be done over
again. The used of manual processes in business has decline since the rise of computerized
and automated system. In fact, nowadays, the use of computer based business system has
become prevalent all throughout the developed and developing countries around the world
due to the increased productivity and efficiency of data processing. A collection of
components that work together to realize some objective forms a system. There are three
major component.

THE PROPOSED SYSTEM

System Overview

The Panulce Bakeshop (also known Panulce Cakes and Dessert shop). Core
business is awareness of high quality baked goods. Cake is an excellent source of fats and
oils through shortening and frosting also contains protein nutrients from the eggs that are
used as a binder for all ingredients. Today’s consumer has less time to create wholesome,
handmade bread, but increasingly appreciates the nutritional and sensory benefits it
provides. Cakes provide fibers and carbohydrates in a convenient, low fat form that
portable and delicious. Panulce will produce and sell high quality made with high quality
ingredients. Cakes will be baked and sold at a storefront facility using a 4 deck, steam
injected bread oven. Labor saving devices will allow the proprietor to run the entire
operation with the help of two-part time, seasonal employees.

Hardware Recommendation

The Panulce Sales Inventory System is automated sales and inventory system that deals
with recording necessary details on the customer, and the goldilocks has two computers.
We recommend that they must high specification computer for their speed of human skills
in performing their transaction and can help to reduce the time spend calculating sales and
auditing inventory if a bakeshop.

Software Recommendation

We recommend that the Panulce Bakeshop will use to propose the Inventory
System and Sales Recording of Panulce bakeshop, the Microsoft Access 2007, the Adobe
Dreamweaver as use in creating the system. Sales and Inventory Monitoring System can
improve accuracy and reduce errors. It can simplify physical audits by printing details
reports of inventory and speed of auditing process.

People - Ware Recommendation

The Staff are the personnel that have access to operate the system. They must
undergo an orientation about the proper usage of the sales recording and auditing inventory
for them to reduce the time spend in purchasing products and provide fast product
inventory.

CHAPTER V

SUMMARY, CONCLUSION AND RECOMMENDATION

Project Summary

Sales and Inventory Monitoring System is a system that provides the employee of
the company to conduct necessary recording details during inventory. It reduces time, it
allows the employee making inventory reports in terms of their everyday operation, it done
on time. Employee and staff who are prohibited can operate the system easy, it can add,
edit and delete account. Users can record and made calculations quickly, it can directly
save into the database.

Project Conclusion

1. It reduces time in recording inventory reports.


2. It is automatically generated by computerized report and receipt.
3. Admin and cashier can accurate, delete and update the inventory based on the
inventory details.

Project Recommendation

This recommendation was proposed by the group.

 Panulce Cakes and Dessert Shop should execute our proposed system to the
employee and staff so that it will be not hard for them to record the inventory
of their product.
 Our proposed system should be adopted by the employee and staff to get
accurate and timely information.
