I. Introduction
System Structure
When using PeopleSoft, it’s helpful to understand how the system stores and organizes
data. PeopleSoft is a table-driven application that operates in a client-server environment.
Client – any computer that can access information “served” on the server.
The client requests a service from the server.
Server – the central computer that stores files accessed by every person on the
Network. The server provides the service requested by the client.

Panel Groups
PeopleSoft HRMS can store and track a large amount of employee data. To make it
easier to find information, the system is divided into Main Business Practices or
Panel Groups.
One way to think about HRMS is to picture a row of file cabinets. Each cabinet holds a
subject category (window group).

II. System Navigation
System navigation refers to how you move in and around PeopleSoft. This section of the
guide introduces you to:
PeopleSoft windows.

multi-part key fields
primary and alternate key searches
search dialog boxes
search combinations using F4 function key variations.

“paths” which will take you to a particular destination within the system.

Frequently Used Panels – Saving Your Favorites
Using the GO and USE drop-down menus, navigate to the panel you want to
save as a favorite.
From the FAVORITES menu bar, choose “Add Favorite”
In the Favorite window, type a name for the screen you want to save.

Click on FAVORITES on the menu bar and select the screen you saved from the
drop-down list.

Valid Values Search
There are cases in PeopleSoft where drop down boxes produce long lists. Instead of
scrolling through all the information, you can enter the first letter of the search item in the
valid values dialog box and click OK (or shift + F4) to view a partial list.
Using a valid values search can be a more efficient way of accessing a list of options for a
particular field.
STEPS
Click the drop-down arrow in the Country field to search for the country code
for Germany.
Scroll to the codes beginning with G. In this example, Germany isn’t listed in the
G’s.
Enter the following: Description: Germany (case-sensitive)
Click: Search (The code for Germany displays).
Highlight Germany in the Description field and press Delete.
Enter the letter F in the Country field.
Click: Search. A list of possible matches should be displayed on the screen.
Click to close the valid values dialog box.
Country: Change USA to F
Press: Shift + F4. A list of possible matches displays.
Click: OK

Shortcut
PeopleSoft has an additional feature that provides a shortcut when navigating
through the menus and panels: Recent.
STEPS
Go
Recent. (The ten most recently accessed panels are displayed).
Select one of the panels listed.
Panel groups in the Recent list are only available during an active session.
Once you close PeopleSoft, the list is refreshed.
Click to close the panel.
REVIEW OF CONCEPTS
PeopleSoft Windows
Allows you to access panels or panel groups used to perform table
maintenance, data entry, process procedures, view procedures, and report
procedures.

KEY CONCEPTS FOR PEOPLESOFT NAVIGATION
Panel group.
A panel group is created when there are too many fields to fit on one panel.
The panels in the panel group are organized by subject or business process.

The Driver’s License Panel shown in the following example is the only PeopleSoft panel
that illustrates most of the data entry options. It was selected strictly for its demonstration
value. The University is not using this panel in HRMS nor do we keep such information
in an employee’s official personnel file.

Effective Dating
Future - Data rows have an effective date greater than today’s date.
Current - Close to but not greater than today’s date.
History - Rows have effective dates less than the effective date on the
current row.

Effective Date Status
Active or Inactive
Much of the data displayed in drop-down list boxes is effective dated. This means that
PeopleSoft records the dates when various activities take place, enabling you to track a
history of information. Effective dated tables contain both the effective date and an
effective status.

Using Data Entry Modes
Data entry modes determine how you are working in a panel. For instance, there is a
mode for adding records and another mode for updating existing records.
☺ By selecting a data entry mode, a search dialog box displays.
In order to open a panel, a mode must be associated with it. If the panel you select does
not contain any effective dated rows, the system defaults to the Update/Display mode,
which allows you to work with existing records. If the panel you select contains effective
dated rows you need to select a specific mode to work in.

V. THE ONLINE LIBRARY
The online Library is a training and reference manual for PeopleSoft HRMS. The Library
is in an infobase called Folio which is an application similar to MS Word. Library
contents are modified centrally so that all users at the University will be able to access the
same information from a single location.

The difference between Folio, an infobase (*.nfo), and the online Library.
Folio is an application like MS Word. An infobase is the type of document that exists in
Folio. Infobases are similar to Word documents (letters, reports, forms).
