Welcome to Fundamentals Training where you will be introduced to basic concepts and
activities in preparation for using PeopleSoft Human Resources.

Objectives

At the end of the training session you will be able to…

Training Database

A training database has been installed on your classroom PC so you can


perform certain procedures and do the practice exercises in this
participant guide without worrying about data corruption. At your work
HR75ENG
site, you will be using the University’s production database.

I. Introduction

System Structure
When using PeopleSoft, it’s helpful to understand how the system stores and organizes
data. PeopleSoft is a table-driven application that operates in a client-server environment.

Client – any computer that can access information “served” on the server.
The client requests a service from the server.

Server – the central computer that stores files accessed by every person on the
Network. The server provides the service requested by the client.

Data entry is done on PeopleSoft


panels like one shown on the right.

The information that you enter


into the panels is stored on tables. Table

Tables are linked together by


key fields (like Employee ID).
This structure is called a
relational database.

Panel Groups

PeopleSoft HRMS can store and track a large amount of employee data. To make it
easier to find information, the system is divided into Main Business Practices or
Panel Groups.

One way to think about HRMS is to picture a row of file cabinets. Each cabinet holds a
subject category (window group).

II. System Navigation

System navigation refers to how you move in and around PeopleSoft. This section of the
guide introduces you to:

PeopleSoft windows.
panels
key field
multi-part key fields
primary and alternate key searches
search dialog boxes
search combinations using F4 function key variations.
retrieving data

Navigation Path

When using PeopleSoft HRMS, you will proceed through a sequence of steps called
“paths” which will take you to a particular destination within the system.

PeopleSoft is “case sensitive” meaning that you should capitalize the first letter of names.

Frequently Used Panels – Saving Your Favorites

Using the GO and USE drop-down menus, navigate to the panel you want to
save as a favorite.
From the FAVORITES menu bar, choose “Add Favorite”
In the Favorite window, type a name for the screen you want to save.

To Access a Favorite Screen Later On

Click on FAVORITES on the menu bar and select the screen you saved from the
drop-down list.

Valid Values Search

There are cases in PeopleSoft where drop down boxes produce long lists. Instead of
scrolling through all the information, you can enter the first letter of the search item in the
valid values dialog box and click OK (or shift + F4) to view a partial list.

Using a valid values search can be a more efficient way of accessing a list of options for a
particular field.

STEPS

Click the drop-down arrow in the Country field to search for the country code
for Germany.

Scroll to the codes beginning with G. In this example, Germany isn’t listed in the
G’s.
Enter the following: Description: Germany (case-sensitive)
Click: Search (The code for Germany displays).
Highlight Germany in the Description field and press Delete.
Enter the letter F in the Country field.
Click: Search. A list of possible matches should be displayed on the screen.
Click to close the valid values dialog box.
Country: Change USA to F
Press: Shift + F4. A list of possible matches displays.
Click: OK

Shortcut
PeopleSoft has an additional feature that provides a shortcut when navigating
through the menus and panels: Recent.

STEPS

Go
Recent. (The ten most recently accessed panels are displayed).
Select one of the panels listed.
Panel groups in the Recent list are only available during an active session.
Once you close PeopleSoft, the list is refreshed.
Click to close the panel.

REVIEW OF CONCEPTS

PeopleSoft Windows
Allows you to access panels or panel groups used to perform table
maintenance, data entry, process procedures, view procedures, and report
procedures.

KEY CONCEPTS FOR PEOPLESOFT NAVIGATION

Uniquely identifying a row of data.


PeopleSoft uniquely identifies a row through the use of key fields.

Difference between primary and alternate search keys.


Primary search keys uniquely identify a row of data. Alternate search
keys help determine a unique row of data but you need more information
to narrow a search.

Panel group.
A panel group is created when there are too many fields to fit on one panel.
The panels in the panel group are organized by subject or business process.

How to move between panels in a panel group.

Helps narrow a search and the lists of options to choose from is a manageable size.

The Driver’s License Panel shown in the following example is the only PeopleSoft panel
that illustrates most of the data entry options. It was selected strictly for its demonstration
value. The University is not using this panel in HRMS nor do we keep such information
in an employee’s official personnel file.

SUMMARY

Moving from field to field on a panel.


Use the Tab key to move from field to field in a panel.

Saving data.
To save data, press the Save icon on the toolbar or the Enter key.

Inserting rows of data.


Adding rows in a panel allows you to insert more information into a record
Instead of updating existing information. You can insert a row by pressing the
Insert row icon on the toolbar or by using the F7 function key.

Deleting rows of data.


Rows can be deleted by pressing the Delete row icon or by using the F8
function key. It’s critical to have the cursor on the row you want to delete.

How multiple rows are indicated on a panel.


Multiple rows are indicated by scroll bars.

Main data entry elements found in a panel.

Effective Dating

Effective dating is an important PeopleSoft concept that allows you to:


recreate any point in time.
keep a chronological record of an employee’s history and the values
maintained through tables.

Effective Date Categories


There are three (3) effective date categories: Current, Future and History.

Future - Data rows have an effective date greater than today’s date.
Current - Close to but not greater than today’s date.
History - Rows have effective dates less than the effective date on the
current row.

Effective Date Sequencing


Actions that occur on the same date are entered in a certain order or sequence.

Effective Date Status


The status is either Active or Inactive.

Update/Display

The Update/Display Action allows you to do the following (if authorized) on an


effective-dated table:

View current and future rows.


Change future rows.
Insert future rows or a new current row.

Update/Display All

The Update/Display All action + allows you to perform (if authorized) the functions
noted above and and view history rows.

Effective Date Status

The effective date status can be:

Active or Inactive

Much of the data displayed in drop-down list boxes is effective dated. This means that
PeopleSoft records the dates when various activities take place, enabling you to track a
history of information. Effective dated tables contain both the effective date and an
effective status.

Data Entry Modes

Data entry modes determine how you are working in a panel. For instance, there is a
mode for adding records and another mode for updating existing records.
☺ By selecting a data entry mode, a search dialog box displays.
In order to open a panel, a mode must be associated with it. If the panel you select does
not contain any effective dated rows, the system defaults to the Update/Display mode,
which allows you to work with existing records. If the panel you select contains effective
dated rows you need to select a specific mode to work in.

✚ Add Inserts a new record to the database. Used when a
new employee is hired.
Update/Display Access existing records to view or add current or
future information.
Update/Display All Accesses existing records to view or add current,
future or historical information.
Correction Limited to central HR personnel only.

Benefit of effective dating
Allows a history of information to be maintained.
Need for effective date categories
PeopleSoft classifies each row of data as current, future or history which allows for a
chronological ordering of information.

Importance of effective date status


Effective data status allows you to determine whether effective-dated information
(employee address, job data, etc.) is active or inactive at any point in time.

Function of “Add,” data entry mode


“Add” creates a new high level record (new position, new applicant, new job
requisition).

Difference between Update/Display and Update/Display All


Update/Display All shows current, future and history rows.
Update/Display shows current and future rows only.

What does it mean if there is a choice of data entry modes when you select a panel?
If a choice of data entry modes is available on a panel you’ve selected, it means the
panel is effective-dated.

What does it mean when you see a scroll bar?


The scroll bar indicates there is more than one row of data present.
Do scroll bars indicate an effective dated record?
The presence of a scroll bar does not necessarily indicate an effective-dated record.

V. THE ONLINE LIBRARY

The online Library is a training and reference manual for PeopleSoft HRMS. The Library
is in an infobase called Folio which is an application similar to MS Word. Library
contents are modified centrally so that all users at the University will be able to access the
same information from a single location.

The library is subdivided into four (4) sections:

Using the Online Library – an overview of how to use the online library.

PeopleSoft Basics - how PeopleSoft operates; navigating the system, doing data
entry, explanations of key concepts.

Processes, Reports and Queries - how to run processes and print reports, use queries
to search for information.

PeopleSoft Human Resources - contains concepts and procedures specific to Human


Resources functions.

How to Access the Online Library


To get into the library while you are in PeopleSoft, simply press the F1 function key.

Locating Topics in the Online Library
The following instructions will enable you to successfully find a topic in the online
Library.

STEPS

In the Table of Contents (TOC) Window expand the heading Using the online
Library.
Locate and highlight the section on Navigation.
Double-click Navigation and view the information in the document window.

Click to collapse any expanded branches in the Table of Contents.

Using Jump Links to View a Topic

STEPS

Go to the Table of Contents window in the online Library.


Select PeopleSoft Basics. Topic subheadings should appear.
Double-click on System Structure.
Locate the jump link for System Structure in the document window.
Click the jump link.

Jump Link

Click the back arrow button on the toolbar to jump back to the starting point.
Click to collapse any expanded branches in the Table of Contents.
Click to display the history of jumps.
Click to close the window.

NOTE: Once you logoff of PeopleSoft


the jump history disappears.

From the Table of Contents window in the online Library:

Select Using the Online Library


Select Finding Information
Choose the type of search:
Concept and Procedure Search
Basic Query
Advanced Query

Click to collapse any expanded branches in the Table of Contents.

Click to clear the previous query.


Search Or click on the binoculars
Advanced Query
A dialog box displays.
Enter hiring employees in the dialog box.

The Table of Contents lists hits in PEOPLESOFT HUMAN
RESOURCES and the first instance of the hit displays in the
document window.
Expand PeopleSoft Human Resources.
Note where the largest number of hits occur.
The number of hits displays per topic in the Table of Contents.
Expand both Recruit Workforce and Administer Workforce looking for
procedures on hiring employees: Hire, Entering, Applicant, Hire, Entering.
The procedures are: Hire, Entering.

STEPS

Click to clear the current query.


Select: Search, Concepts and Procedures
The Concepts and Procedures query template displays.
Enter: hir

Any concepts and procedures that begin with “hir” display.


Select: Hire, Entering
Click: OK to view the procedure you’re looking for.

CONCEPTS

The difference between Folio, an infobase (*.nfo), and the online Library.
Folio is an application like MS Word. An infobase is the type of document that exists in
Folio. Infobases are similar to Word documents (letters, reports, forms).

A Concept & Procedure Search lets you locate all concepts and procedures in the online
Library.

QUICKIES

Action Date the date information was entered and saved on the system.

Checkboxes enable you to choose 1 more several data items.

Correction restricted to designated staff in Human Resources.

Effective Dated used to retain historical data and to store current, future &
Rows historical data.

Grayed Out Area signifies that an area or an action cannot be accessed by the system
user.

Menu Bar contains menu items: File, Edit, View, Go, Use, Process, Inquire,
Report and Help.

Panel a screen containing various fields which enable you to update and
View data that resides in PeopleSoft databases.

Panel Group a set of panels similar to a multi-part form.

Panel Status Update/Display, Update/Display All, Correction

Radio Button allows you to make one data selection choice.

Status Bar (located at the bottom right corner of your screen). Displays the
name of the open panel and action in use. Tell you what panel
and action you’re in.

Task Bar lists open programs (e.g., Administer Workforce).

Window A window in PeopleSoft allows you to access panels or panel


groups used to view information, do data entry, perform table
maintenance and generate reports. Windows are generally
organized by topic (hiring, training, recruitment, etc.)

Tab Moves the cursor to the next field on the panel.
F1 Access to the online Library.
F2 Displays the next panel in a group.
F2 + Shift Displays previous panel in a group.
F4 Displays a list of valid codes if the field accesses a prompt table.
F6 Displays next panel on the panel list.
F6 + Shift Displays previous panel on the panel list.
F7 Insert a row.
F8 Delete row.
F9 Displays the next employee or table record in the list created after
performing a search.
F9 + Shift Displays previous employee or table record on the list.
Alt + Tab Takes you back to PeopleSoft if you are in the online Library.
Esc Leaves a panel without saving changes.
