Making Exam Appointments with CARMEN

(CARMEN = Computer-Aided Registration Management for Exam Appointments)

CARMEN is a simple online registration tool for managing appointments for oral exams taken with
our group (Lehrstuhl für Entwurf Informationstechnischer Systeme). Its purpose is for you to obtain
a date and time for each of your exams taken with us. It does neither include nor replace the formal
registration for the exam with the University's examinations office (Abteilung für Prüfungs-
angelegenheiten).
In short, these are the steps you need to take:
1. Register with Abteilung für Prüfungsangelegenheiten for your exam.
2. Unless you have already done so, register for CARMEN.
3. Log in with your email address as user name and with your password.
4. Select the exams you would like to take. The system will give you a date and time for every
exam and send you an email about it.

Registration
Before you can use the CARMEN system you need to register online and also with our secretary.
Please visit https://bordeaux.eit.uni-kl.de/carmen/register.php and enter your name, email address,
matriculation number, course, specialization and semester. Please make sure that all data is correct –
it will be used to print documents related to your exam results. Your email address will be used only
to send you notifications concerning your exam appointments. You will also be emailed an initial
password for logging in.
After online registration you cannot log-in directly. First you need to have your student ID verified.
Please visit Carmen Vicente-Fess, our secretary (room 12-557), and show your student ID card. You
only have to do this once. Your registration stays valid for use also in later semesters.
Once your account is verified you can log into the system.

Login
Visit https://bordeaux.eit.uni-kl.de/carmen/login.php using the password that has been mailed to you.
Change your password by clicking on “My profile” and then on “Change Password”.

Examination days
Examination days for the following courses are offered in every semester:
• Architecture of Digital Systems I (ADS-1)
• Architecture of Digital Systems II (ADS-2)
• Architecture of Digital Systems I+II, combined exam (see below)
 • Verification of Digital Systems (VDS)
• Robust Digital Systems (RDS)

The days are announced on the course web pages and on OpenOLAT.
Please, note, only the announced dates are available and no other dates.
If there is more than one examination day offered for a subject and there are free time slots you can
choose your preferred date. (You cannot choose the individual time slot, however.) The system will
give you the time slot and also send you an email.
If there are no more free time slots for your exam you can request to be notified by email once time
slots become available again. Click on the corresponding button.
Note that you cannot “undo” your selection, i.e., it is not possible in CARMEN to cancel an exam
appointment, (see more information below). Therefore, please:
→ Select the exam and the date carefully.

Change Requests
In case you would like to swap your examination date with another date that is currently full you can
request to be put on a waiting list for that date. If and when a time slot becomes free the system will
move you to the new date and inform you by email. A time slot becomes free only if somebody else
wants to swap their exam date.
Seven days before the date of the exam your appointment becomes fixed and any pending change
requests are canceled automatically.

Canceling Exam Appointments

It is not possible to cancel an exam appointment through the CARMEN system. If you need to cancel
your exam, please take the following steps:
1. Cancel the exam registration with the Examination Office (Abteilung für Prüfungsange-
legenheiten). Make sure to meet the formal requirements and deadlines applying to your
course/program.
2. Send an email to Carmen Vicente-Fess, our secretary, vicente@eit.uni-kl.de, with your
request to cancel the exam appointment. Please, include your full name, matriculation
number, date and time of your exam.

Problems?
The CARMEN system may have bugs. In case you encounter strange behavior and/or problems,
please send email to the system administrator (carmen_admin@eit.uni-kl.de). You also find the link
