Financial Policies

Fees & Services:

Inquiring Patients: (5-10 minutes) FREE by phone or in person, hourly rates apply after 10 minutes

New Patient Visits: starting at 90 minutes


Please note: first office visits can often extend to 2 hours or more based on the complexity of the case, all
visits will ultimately be billed at the hourly rate below for your time in the office.

Return Visits:
All return visits are scheduled for 60 minutes; however, the length visit may be shorter or longer
depending on the patient needs. Ultimately, the visits are billed at the hourly rates that apply. Minimum
visit charge is for 30 minutes.

Hourly Rates:
All patients - $160/hour ($40 per 15 minute increment, increments of time will always be rounded up)

If you have financial limits on the time of your visit, it is your responsibility to let the doctor know before
the visit begins. However, while Dr. Whitney is happy to try and work within your budgetary limits, some
visits simply require a certain amount of time at a minimum in order to provide an acceptable level of
care/counseling and thus cannot be abbreviated. If you have concerns about this please ask.

Tele-medicine (phone or video):


These appointment options are available for any patient not able to be present in the office due to
distance, disability, etc. The rates are the same as above for in office visits.

Food Intolerance Evaluation: $425


Includes initial intake processing/visit, sample collection kit and supplies, mailing, processing and
evaluation, personalized evaluation write-up, multiple implementation resources and up to a one hour
follow-up visit in which the results and resources will be reviewed, and individual counseling on
implementation steps provided.

If the follow-up needs to extend past the included 60 minutes, the time will be billed accordingly at the
hourly rates. The follow-up counseling may be done either in person, via phone/video chat, or pre-
recorded video with follow-up call.

Laboratory Studies:
These services/costs vary depending on the type of lab and the company doing the evaluation. All fees,
forms of testing, and what to expect will be discussed prior to initiating any of these services.

Hydrotherapy:
Constitutional hydrotherapy: (60 minutes) $75

Phone & Email Fees:
Any response requiring more than 5 minutes of the doctor’s time, which requires counseling beyond
clarifications of current treatment plans requires chart recording. Thus, this time will be billed at the
hourly rates above, however you will be notified prior to the response/charge of an estimate and given
the opportunity to either proceed with this service or schedule an in office visit or phone visit instead.

Travel Fees for Housecalls:


Mileage billed at $0.60 per mile to and from the visit and driving time billed at $40/hour.

Cancellation Fee:
A "cancellation fee" of 50% of the cost of the scheduled visit, plus applicable travel fees, and any card
processing fees will be charged for any appointment cancelled with less than 24 hours notice of the
scheduled appointment time. Cancellations will not be accepted by text message. Please call or email to
cancel/reschedule your appointment with more than 24 hours notice to avoid this charge; otherwise the
credit card on file will be billed accordingly. As such, a valid credit card must be on file at all times, for all
appointment bookings, and to hold/confirm new patient appointments.

No Show Fee:
A "no show fee" of 100% of the cost of the scheduled visit, plus applicable travel fees, and any card
processing fees will be charged for any appointment that you either do no show up for in the office or you
are not at your house/office call location, and the visit does not occur because you are not present. At 10
minutes past the scheduled appointment time a courtesy phone call will be made for your records.

Email appointment reminders are automatically sent 1 week and 1 day prior to your scheduled
appointments as a courtesy; thus “not receiving” these reminder emails does not negate being assessed
the cancellation or no show fee. It is your responsibility to keep track of your appointments.

Product Sales/Refunds & Shipping Costs


All supplement, vitamin, and homeopathic products are non-returnable. All sales are final, as legally once
a product has left the office premises it cannot be re-sold, even if the product(s) is/are unopened.

Shipping charges may apply to your invoice for products not readily available in office. Emerson & Seroyal
direct orders both have a flat $10 shipping charge, Standard Process direct orders charge $13, and USPS
office based shipping is billed accordingly – starting at $8 per special order. Office pick-up is always free.

Payments:
Payment is due in full at the time of service, unless prior arrangements have been made.

Cash, check, credit or debit cards are acceptable forms of payment. A fee of $50 will be charged for
returned checks due to insufficient funds, again the credit card on file will be charged for this fee.

A 2.75% fee is assessed for card swipes – even Health Savings Account (HSA) & Flex Cards. For manually
entered cards a fee of 3.5% + 0.15 cents will be assessed.

Insurance: Currently, insurance companies in WI do not cover naturopathic services. Health Savings
Accounts (HSA) and Flexible Savings Accounts (FLEX) may be used.
