Introduction:
In the assignment 1, the project had set clear and specific information. And in this
assignment we will define the data of calculating the project’s investment, and the Gantt chart in
order to understand more the project management. Also in this assignment, we will create a
questionnaire to survey the customers in the first month of implement this project.

Task 3.1 – Prepare project plans and establish the project


organization:

1. Project’s fundamental information:


According to all the information had mentioned in assignment 1, my UNIQUE SECRET
project consists of purpose, aim, objectives, budget, milestone, stakeholders, resources and
scope.

 Purpose, aim and objectives:


o Purpose: With this project, it will satisfy my passion in cosmetics, also help me
earn more money to pay college fee and living expense.
o Aim: Especially for teenagers, buying cosmetics lost a lot of time to save money
and sometimes there will be a series of lip pattern is produced, causing the client
into a state of complicated and lipstick is one of the problems.
o Objectives: teenagers and women.
 Budget:
o Total: 332.730.000VND
o Equity: 332.730.000VND
 Key milestone: In order to bring more benefit and make my business more unique. My
business might be the one which venturing in cosmetics industry. With cosmetics, by
selling in the same price (195.000VND per copper) I might not have any profit; however,
I will plan different strategies to obtain the best productivity. For example, how many
items I sell per day or how many customers becomes our VIP, so on.
 Scope: located in District 10, Ho Chi Minh City, near HUFLIT University.
 Timescale: in terms of 5 years
 Resources: 8 personal employees’ also main positions in store.
 Key stakeholders:
o Employees: who will help the store interact with the customers, selling products
and bring back more profit.
o Shareholders: there are 3 major shareholders to support the store’s total
investment.
o External customers: the ones who will come to visit and purchase the products.

Based on the assignment 1, this is the project’s organizational breakdown structure as


the functional type. My business just only one branch: headed by the owner, followed by
sub-leader, manager, and finally the staff.

3. Participants:
 Quantity: In terms of 18 months opening the shop, as reported from my manager, my
shop has roughly 50-100 clients visit every day. Since I didn't have enough experience to
assume control over an entire venture, this is a major motivation for me to proceed
onward. In this manner, the normal number of clients every week is around 300 clients,
so I am going to push my staff to work harder by PR the shop to different regions in the
city for pulling in more guests.
 Feedback: According to the survey at the task 3.4 below for customers about our service.
Fortunately, feedbacks I have received are mostly positive, especially about the shop’s
lipsticks and the decoration. Not only students have visited us, but also the women came
to purchase lipsticks. However, the minus point of my shop is the items which is limited,
cannot test colour. The reason that the lipsticks which in limited product line usually
expensive, I cannot open the guarantee if the customer not sure to buy it. In this time I
will try my best to deal with the suppliers in order to provide test items.

Task 3.2 – Apply project scheduling, estimating and cost control


techniques:

1. Gantt chart:
Gantt chart is commonly used in project management; this is the most useful way in order
to showing the activities, tasks displayed against time, this table invented by Henry Gantt in
1910. Till now this table still use in project management with brand new innovation, such as
network diagram.

The performance of Gantt chart: in this chart, it will illuminate the beginning stage of the
project. It will take me 18 months in total in order to set up all things of the project. The table
below is showing all the activities, duration, and previous activity of this project. With these
elements, we can easily create a Gantt chart.

UNIQUE SECRET’s Gantt chart

According to the table above, we can see it contains 5 articles: activities, description,
duration, previous activity and cost estimation. All the information and data in the table that
illustrates activities for the beginning stage of opening the project. At the bar chart, we can see,
the vertical axis represents for the order of activities and the horizontal one is the number of
months to conduct them, numbers of duration are listed as the table.

2. Critical path:
There is no critical path in my project; and all the activities above are related to each
together. If one of these activities could not complete on time, then this project will delay.

3. Cost estimate and sensitivity:


a) Cost estimate:
- Activity 1: in this activity, 35.000.000VND - the cost will be pay for gasoline of
motorbike, preparing all the stuff to decoration for the store.
- Activity 2: with 27.000.000VND in order to purchasing types of lipsticks at the head
company and order some items from abroad.
- Activity 3: 132.000.000VND is the investments from shareholders.
- Activity 4: 20.000.000VND is the fee that I have to pay in order to make them become
legally employees, such as: make contracts, commitments, insurance, and some
individual fee for each.
b) Cost sensitivity: The total of the cost estimation is 332.730.000 VND and has an
oscillation with reality about 20.000.000 VND and over, which means 312.730.000 VND
will be the real price to spend after conducting these activities.

Task 3.3 – Analyze the methods used to measure the project


performance:

1. Cost performance analysis:


 Activity 1: Find a renting premise and decoration:
 Cost estimation: 40.000.000VND
 Cost actualization: 35.000.000VND
 Reason: Looking a rental ground on the Web does not cost much, but utilizing motorbike
takes a lot of fuel and vehicle deterioration. Additionally, the cost of gas every month is
not costly so following 2 months the aggregate expense is fine. I will deal with the
supplier in provide decoration furniture, and all the decoration stuff will be pay in a
discount price.
 Activity 2: Purchase items:
 Cost estimation: 27.000.000VND
 Cost actualization: 27.000.000VND
 Reason: I’ve been research the price for each item from the suppliers and they’ve sent me
the document of price. And based on the market ground, these items are in the actual
price.
 Activity 3: Find shareholders:
 Cost estimation: 132.000.000VND
 Cost actualization: 132.000.000VND
 Reason: this figure that I have researched for this project, and totally reasonable to
implement.
 Activity 4: Recruit the personnel:
 Cost estimation: 20.000.000VND
 Cost actualization: 30.000.000VND
 Reason: based on the common market, the salary of employees will be 2.000.000VND,
for manager will be 3.500.000VND. The cost estimation of this project is
20.000.000VND, however, the fee increase up to 30.000.000VND and this is the actual
cost.

2. Monitor:
So far, I have finished 2 difficult stages: purchasing items and finding shareholders. The next
stage, also the last stage of this project: recruit the personnel and will be done 100% after 3 tasks
(25% for each):

 The passion in cosmetics: in the cosmetics industry, the passion is always the most
important element. I will have found those people who had a strong passion in cosmetics.
It will help the store get profit and show the professional. Status: 50% completed.
 The skill: about the makeup artists. I have founded 2 artists and they already had
certifications of their major. Status: 25% completed.
 The uniform: I will choose Cindy’s tailor in order to provide the uniform for my
employees. Status: 10% completed.
 Total at work amount: 85%

3. Control performance:
 Problem 1: Difficult in finding prestigious suppliers
 Solution: I will search for the cosmetics companies in order to import real items and high
qualities.
 Problem 2: Difficult to attract customers
 Solution: I will create some events on social media, such as: Facebook, Instagram.
Posting review cosmetics videos on fan page in order to promote the new items.
 Problem 3: Persuade the shareholders to invest the project
 Solution: I will presentation the project to the shareholders in order to attract them. Show
them how this project brings back profits?

Task 3.4 – Explain project control procedures evaluate the


completed project:

1. Project’s problems and solutions:


 Problem 1: wasting time to apply for proof of genuine or counterfeit. Customers are often
interested in the quality of products, especially cosmetics.
 Solution: The suppliers should provide this document at the same time while transport the
cosmetics to me.
 Problem 2: hard to find personnel who have a passion in cosmetics. Some people they
don’t have any knowledge about cosmetics even the type of products, so they couldn’t
consult to the customers.
 Solution: I will search for people who had the entire requirement for that job. However, I
could train them the knowledge about cosmetics; they can work and learn at the same
time.
 Problem 3: High cost is the most well-known issue of common businessman furthermore
also me. A student as I am absolutely not ready to have such an expansive sum as
recorded above, excluding the deterioration or contrasts of numerous expenses.
 Solution: Discover more shareholders from relative because they don't count the rates and
less borrow from the bank. When I have earned the huge income, I will pay the bank
when I can for not including more rates.

2. Questionnaire:
SATISFACTION OF CUSTOMERS WITH UNIQUE SECRET
This short questionnaire created for the customers in order to survey their satisfaction
after using the service of UNIQUE SECRET. This questionnaire will be including 5 questions of
asking regular services, products, quality, policy of change products, and so on. After paying the
bill, the customers will get a sheet of survey to answer how we serve you, we will improve our
services. Thank you for your supporting!

3. Feedbacks:
After collecting all the answers from customers for a week, I have fortunately received
compliments and the most positive answer is the number 1. Next up, customers absolutely agree
with the price for each items, because it fit and reasonable for middle incomes and for students.

Conclusion:

In this assignment, the beginning stage of this project seems smooth and well-
conveniently occurred. To a student like me, this project has lots of difficult and this is a
challenge for my project. And I will make it better, however, I have to thanks to my partners,
customers had supported me. Without them, I won't have enough strength to keep this project
going.
